Installation
Using your phone’s app store application, search for one of the following terms:
Laing O’Rourke LOR LOR Gearbox
Doing so will present you with a list of applications which will include Gearbox. Follow your phone’s normal app installation procedure.

Windows Phone users – please note that the name of the app in your store is LOR HSE Observations. The name will be updated to LOR Gearbox in the next release.

App Start-up
When you first start the app, you will be presented with a ‘splash screen’ which is displayed while the phone’s operating system loads the app.

I Have Never Logged In Before
If you have just installed the app you will then see the following screen which is prompting you to log in to the app.

I have Logged In Before
If you have used the app before and have therefore logged in before, you will see the following screen advising you that the app is logging you in, loading required data and getting ready for use.

Log In
To log in to the app, tap the ‘Login’ button.

NOTE: The remaining screen shots in this section are phone type independent as they look the same across all phone types.
You will then be presented with the following screen where you can enter your LOR / Select email address.

Tap into the password field and wait
If you enter an invalid email address or one which is not recognised, you will be advised accordingly. If this occurs and you’re sure that what you entered is correct, please refer to the contact guide on the Table of Contents page and seek assistance. As soon as you tap into the password field, you will see an ellipsis (dots) appear at the bottom of the user name field (next screen shot). This indicates that you do not need to enter your password yet, so please don’t – wait until the screen changes.
Depending on your account configuration (you do not need to be concerned about this), the next screen you see may be asking you to pick an account to use, in which case select ‘Work or school account’. Alternatively the next screen you see might be asking you to enter your password – in which case enter your password and tap ‘Sign in’.

Once you have successfully authenticated, you will see a screen similar to the below example – this indicates that the app is now validating your details, loading required data and preparing for use.

If the app cannot authenticate you, you will be advised accordingly. If authentication continues to fail and you believe you have entered your password correctly, please refer to the contact guide on the Table of Contents page and seek assistance.

Home Screen
Your home screen depends on whether you’re a project supervisor or not. If you’re not a supervisor, the screen you will see after logging in will be the ‘New Observation’ screen.

Conversely, if you’re a supervisor, your home screen will be the ‘Observations’ screen which lists the open observations assigned to you which require you to action them.

Android Users: depending on your phone, you may see screen headers as illustrated above, or you may see a screen header similar to: or In both cases, the important difference is that here you have what’s known as a ‘kebab’ menu (yellow dots) alongside the other buttons. Use this kebab menu to logout. If you don’t see the ‘kebab’ menu, use the phone’s hardware menu button to logout.

Submitting an Observation
To submit a new observation, navigate to the ‘New Observations’ screen and enter the following details. Supervisors: To navigate to the ‘New Observations’ screen from your home screen:
Android - Tap the New ( ) button in the top right corner. iPhone – Tap the menu button in the top right corner, then select ‘New submission’.
Windows – Tap the New (
) button at the bottom of the screen.

Enter the details of your observation – please be as informative as possible.
Photos

To add a photo (or 2) tap one of the ‘add photo’ icons on the screen. You will then be asked whether you’d like to take a photo using your camera, or select an existing photo from an album. Once you have made your choice and have a photo you’d like to include, you will see the ‘add photo’ icon change to the selected photo. To change the photo, view it or remove it, simply tap it and select the relevant option.

If you’re submitting an observation on behalf of a colleague, enter their full name here.
Employer
Yes
Enter your employer’s name. The defaults to Laing O’Rourke.
To submit an observation: Android - tap the tick button in the top right corner. iPhone – tap the menu button in the top right corner and then select ‘Submit observation’. Windows - tap the tick button at the bottom of the screen.
If there are any issues with the observation details you will be advised accordingly with directions on how to remedy the problem(s). Upon the successful submission of the observation, you will be advised and returned to a clear ‘New Observation’ screen. You will also receive an email similar to the following summarising your observation.

Actioning an Observation / Submission (Supervisor functionality)
NOTE: This functionality / section is only relevant for project supervisors.
To action an observation you first need to navigate to the ‘Observations’ screen where you will see any outstanding observations assigned to you. Note that this list will be empty if you don’t have any observations assigned to you.

Please note that this list is not self-updating, so in order to update it, please do the following:
Android - tap the refresh button ( ) iPhone – tap the menu button (top right corner) and then select ‘Refresh list’ Windows - tap the refresh button ( ) at the bottom of the screen
To action a submission, simply tap it – you will then be presented with the ‘Supervisor Review’ screen, which is broken up into two sections (Summary and Details).

The ‘Summary’ section simply summarises the observation for the supervisor to review before actioning. If there are photos you can view them (zoom) by tapping them. The ‘Details’ section requires you to input the following information. Field

Primary Outcome

Select the primary outcome of the observation and resulting action. This is not mandatory but it’s helpful if you provide one.
Secondary Outcome

Select the secondary outcome (based on the primary) of the observation and resulting action. This is not mandatory but it’s helpful if you provide one.
Photo

To add a photo tap one of the ‘add photo’ icon on the screen. You will then be asked whether you’d like to take a photo using your camera, or select an existing photo from an album. To submit your review: Android & iPhone – tap the tick button the top right corner Windows - tap the tick button at the bottom of the screen If there are any issues with the details you will be advised accordingly with directions on how to remedy the problem(s). Upon the successful submission of the review, you will be advised and returned to ‘Observations’ screen with the actioned submission no longer in the list.
7.
Logging Out
You don’t have to log out of Gearbox – you can simply put it in the background whilst using other apps on your phone. However, if you do want to log out, simply navigate to your home screen and do the following:
Android – tap the yellow ‘kebab’ menu (dots) or hardware menu button (depending on your phone) then select ‘Logout’ iPhone - tap the menu button (top right corner) and then select ‘Logout’ Windows – tap the menu button ( ) at the bottom of the screen and then select ‘Logout’.
