Welcome to eMammal Hello, welcome to eMammal! We are very excited to be working with you and assisting you with your camera trapping research. Staff at eMammal will be available to help with any questions or concerns you may have throughout your research/experience. This manual will help you navigate through the website and teach you how to execute basic tasks to make your experience with eMammal easier. You can look at the Contents pages and look for specific tasks you have questions on. Please look through this document if you have any questions before contacting an eMammal staff. Most questions can be answered by looking through this document and it will be much faster than waiting for an email response. If you still cannot find the answer to your question after reading this manual you may contact us through [email protected]. The eMammal website is organized by permissions; increasing permissions allow you increasing control over setting parameters for the projects and the website. One permission level can control the access of all levels below it but no levels above. The current permission levels are Administrator, Project Creators, Project Managers, Volunteers, Expert Reviewers, General Public. Administrators oversee all projects and site infrastructure, and can alter permissions and parameters for all projects. The Project Creator is assigned projects by the Administrator and has the ability to set parameters and permissions for all assigned projects. The Project Manager (often the same as Project Creator but not necessary) assigns deployments, manages volunteer lists, and contributes blog posts (only for the projects assigned to the Project Manager). The volunteer can check their assigned deployments, see project-specific blog and discussion posts and make comments. The Expert Reviewer is only allowed access to the ERT for their specific project and is assigned this permission by the Project Creator or Administrator. They have no special permissions within the Project site. The general public can view photos loaded at the site through the favoriting process; they can view, and download data that is past embargo time; and read texts of all projects but not manipulate or add to any project. When outside your assigned projects your access to the site and projects are the same as the general public, regardless of your status within the project (with exception of Administrator). We have crated four manuals to help each permission level understand the capacity of the site: I.

Administrator Manual a. This document covers everything dealing with the eMammal website. This manual is only meant for users that have full Administrator privileges. Project Creator Manual a. This manual is for people creating Home/Project pages. This manual is almost the same as the Administrator Manual except these users will not be allowed to assign users to a group. This manual will be accessible through Zoho. Project Manager Manual a. This is the manual that will be sent (via email) to the Primary Investigator(s). This document will not be accessible through the eMammal website. Volunteer Manual (this manual) a. This is the most basic manual that will be available to volunteers. The eMammal Home Page

Navigating to the eMammal website will bring a visitor to the eMammal home page where the visitor can view photos, see our efforts, recent blog posts, search the website for different projects and logon to the website. LOGIN: Click on the login button to sign in if you already have an account. To create an account click on the Login button and select the “create an account” link on the login page (see eMammal Sign Up and Login below). SEARCH BAR: This bar allows a visitor to search anything throughout the website. SOCIAL MEDIA: eMammal provides a link to both of their social media accounts: Facebook and Twitter. Simply select an icon and the appropriate feed will open in a new page. The MAIN MENU consists of: HOME: This allows users to return to the home page. ABOUT: This is a link to the about pages for eMammal. These pages provide descriptions of eMammal, Current Staff and Researchers, How to Participate, How eMammal Works, and Frequently Asked Questions.

Volunteer Manual VIEW PHOTOS: This is a link to a collection of favorite photos in eMammal. Users can search the photos by species, project, and date. EXPLORE PROJECTS: Explore projects using the Map of Projects or browse projects in some of project “collections” that house groups of similar projects from the Smithsonian, CTFSForestGEO, the Wildlife Conservation Society, and other organizations. BROWSE DATA: This link allows users to explore and download public data. Users can also perform several different analyses on camera trap data and download results. Projects with private data can view and download their data here after logging in to the site, but the data is not visible to other researchers or the public. RESOURCES: A listing of eMammal resources; including a link to download our Desktop App (registered users only), Camera Trap Recommendations, FAQ, and How To information. CONTACT US: This is a link to a page that provides a way for anyone using the website to contact the eMammal team to ask questions. The inquiries are sent to the [email protected] email.

eMammal Sign up and Login Page All project managers and volunteers will need to create an account. Once users have an account (account needs to be approved by an eMammal staff before the account is accessible) they can be associated with a project and have a personal dashboard. Each user’s dashboard will have information about the cameras that the user is assigned to deploy and a list of the user’s projects.

Create a New Account Accounts can be created in the login page. Select the blue link that says CREATE AN ACCOUNT to sign up.

Volunteer Manual All users are required to provide a user name (using a combination of their first and last name is preferred), email address, First Name, Last Name, Address, and Phone Number. Additional information includes: Training site: Volunteers can enter the name of the site, or type “online” if training was online only. Project managers can leave this blank. Training date: Date training completed. Project managers leave this blank. Projects interested: This field is only for volunteers who are registering for an existing project. The field has autofill and as the user types in the name of the project it will autocomplete. This helps eMammal Staff and project managers manage volunteers. CAPTCHA: Type in the code shown in the page, this is done to prevent spam.

When the account is submitted, an email goes to the user provided email and [email protected]. An eMammal staff member is in charge of approving all applications flowing into the website. When the account is approved by a staff member, the new account holder receives a second email with information about logging into the website.

Request a New Password If a user forgets their password, they can request a new password on the login page of the website, under the password textbox. Click on the REQUEST A NEW PASSWORD link.

The user should enter their username or email address and fill in the code for CAPTCHA. After this is complete click EMAIL NEW PASSWORD. A single-use link to login to eMammal will be provided in an email. The link will open a page to reset their password.

Registered User Project Dashboard

When a user logs into the website, they are directed to their Project Dashboard. The dashboard lists the DEPLOYMENTS assigned to the user and the details regarding these deployments including proposed camera locations and deployment status. There is a dropdown box for the PROJECT(s) the user has joined. The user can select a different project to change the map, information, and sidebar links. SIDE BAR: PROJECT DETAILS: This is the database page for a project. Information includes Home Page name, Project ID, Owner, Contact, Primary Investigator, Location, Description, and Sub-Projects. BLOG: This will take you to the blog page for a given project. DISCUSSION: This will take you to the Project Discussion page for your project. DOWNLOAD DESKTOP APP: This will direct you to the page where you can download the eMammal Desktop App. There are also instructions on how to use and install the app on mac and windows. EXPERT REVIEW TOOL: This will direct you to the sign in page for the Expert Review Tool. GET HELP: This will take you to a page where you can email an eMammal staff with any questions you may have.

Volunteer Manual ADMINISTER EMAMMAL: This tab is only visible to users who have administrative privileges. This link will take an admin user to a page with the same options as the black admin toolbar at the top of the page.

User Dashboard Users can look at all of their previous activities by going to the User Dashboard page. To get to the User Dashboard page click on your NAME ICON, there will be a dropdown, then click on USER DASHBOARD.

When the user arrives at the user dashboard page they will see all their activities organized by date and time. If the user wishes to search for a specific Project, Deployment, event, group, etc. they can use the FILTER button.

After activating the Filter a box will appear with options to select/type a SPACE (home page), SECTION, and TYPE. Space allows the user to choose a Project that they are involved in and Type allows the user to pick Deployment, Discussion Post, Group, Project, and more.

Editing Account Users also have the ability to edit their account and profile if needed. This includes editing their email, address, phone number, and more. To get to this page click on your NAME ICON and then click on EDIT PROFILE.

Adding Content to the Website Commenting on a Blog Post To comment on a Blog Post you first have to go to the Blog page. Once you have reached the page scroll to the bottom of the blog post. There will be section titled ADD COMMENT.

ADD COMMENT: In this box you can leave any comments on the blog post via text or photo. After you are finished writing/uploading your comment click SAVE.

Creating a Discussion Board A Discussion Board is like a forum for discussion among volunteers and other project members. It also can be used for project managers to answer questions. To create a new Discussion go to a project page and click Project Discussion in the project menu. When you arrive to the Project Home Page click on DISCUSSION BOARD (located on the toolbar).

Click on the icon then select CREATE DISCUSSION POST to start the processes of creating a Project Discussion.

All the content for this page is the same as creating a Blog Post, except there is no Featured Image. In the TITLE box enter the title you want for the Project Discussion. Select EDIT SUMMARY to allow the summary box to be displayed.

SUMMARY: Users can make a summary for their Project Discussion. The summary appears in search results. This section can also be left blank, this will cause a trimmed value of the body text to become the summary. BODY: This is the section where you add all of your written content you want to share on the Project Discussion. The icon can be used to add images to the Project Discussion. You can also add photos and other media using Document Type (see below). Click on the icon and a new page will pop up. This page will give you three options on how to put photos on your Project Discussion: UPLOAD, WEB, & LIBRARY.

UPLOAD: This tab will allow you to upload photos from your computer.

WEB: This tab will allow you to upload photos via file URL or Media resource.

LIBRARY: This tab allows you to look through photos on the website by filling out information and clicking APPLY After you have chosen your photo(s) select NEXT.

NAME: Create a name for you photo(s) ALT TEXT: Use key words to describe the photo(s) (ex. Red fox). This box is used by screen readers, search engines, and when the image cannot be loaded. By filling this section out it improves accessibility and search engine optimization. TITLE TEXT: This is used in the tool tip when a user hovers their mouse cursor over the image the TITLE TEXT will appear. Having a TITLE TEXT allows viewers to better understand the context of the image and improves usability. After you have filled out all the information click SAVE.

icon is used to increase or decrease the amount of icons shown on the toolbar.

After the photo(s) have been uploaded it can be modified (size and location). If the photo is selected it will be highlighted blue, any corner of the photo can be selected and dragged to enlarge or reduce the size. The photo(s) can also be moved around the body of the blog. Click on the photo and drag it to the desired location.

By pressing on the icon it allows you to create a caption for your photo(s). After the icon has been selected the box (above) will appear. CAPTION: Add any caption you desire. FLOAT: This allows you to align the photo and caption with the left or right margin. Click on the dropdown box next to FLOAT and the options will be displayed. After the desired modifications have been selected click INSERT.

EDITOR: This will be auto filled with WYSIWYG (what you see it what you get). Users can also create posts in html code by selecting the appropriate category from the drop down menu. WYSIWYG is recommended. ICONS: RELATED CONTENT: This icon allows the user to add related content to the Blog. After clicking on the icon a box will appear that will let you select add options. The options are Create Discussion Post, Create Event, Create Home Page or Collection, Create Document Page, Create Task, and Search. MEDIA GALLERY: This lets the user to add more photos. These photos cannot be moved in the body text and it does not have the option for a caption. The user can still create a NAME, ALT TEXT, and TITLE TEXT by selecting EDIT. SNIPPET: This icon permits users to grab a snippet from another project as a reference. After selecting the scissors the box (shown on the right) will appear. Click SEARCH to look for the project the user wants to reference in the blog. TEXT: This icon allows the user to add more text. This has all the same options as the body: text, formatting, photos, captions, etc.

Access will be automatically completed, but these are instructions if the user wants to change the settings. Click on ACCESS to unhide all the dropdown boxes for this field. This field allows the user to assign the Project Discussion to certain groups.

YOUR GROUPS: This should be auto filled, if not, select your group name from the dropdown box. SECTION: This is auto filled to be Project Discussion, do not change!

NOTIFICATIONS: Notifications can be sent to GROUPS, TEAMS, and USERS that this blog post was created and every time an edit is made to this post. Under COMMENT OPTIONS make sure that OPEN is selected. This allows other users to comment on your post. After you are done creating your discussion post click PUBLISH.

Commenting on a Discussion Board Go to the Project Discussion you want to comment on and then scroll to the bottom of the page. In the NEW REPLY box write in your comment then select SAVE.

Toolbar Information The TOOLBAR is a fast and easy way to get to the Blog, Deployments, Project Activity, and Project Discussion page. If a user is member of a Project then all of the options on the Toolbar should be visible. If a user is just visiting another Project Home Pages (as a non-member) only the Blog option should be visible.

Blog Click on the text BLOG on the Toolbar to get to the Blog page.

You will be able to view previous blog posts & comments and create new comments on existing posts. If you want to make a comment on a blog post go here  Commenting on Blog Posts.

Deployments Click on DEPLOYMENTS on the Toolbar. This page will show you all of the Deployments uploaded for the Project.

SUB-PROJECT (field_sub_project) allows you to filter the deployments to Sub-Projects. If you start typing in a Sub-Project name a box will appear with a selection of Sub-Projects you can chose from. With ITEMS PER PAGE you can select the amount of deployments that can be shown per page: 10, 20, 40, and 60. After you have selected all the filters desired click on APPLY. As shown in the photo above this page shows 9 different fields: Deployment, Sub-Project, Actual Lat, Actual Long, Actual Date Out, Retrieval Date, Camera Working, Deployment, and Comments Link. Some of the fields may be blank if this information has not been entered. For example deployments that have not been uploaded via the desktop app will not have Actual Lat or Actual Long values.

Project Activity

The PROJECT ACTIVITY page will show you all the activity/changes that have been made to the Project. If you scroll to the bottom of the page there will be a

button.

If you click this more activities will load to the page.

Discussion Board

The DISCUSSION BOARD page shows all the Discussion Posts made for this Project. If you select a Discussion Post you can read it and make comments. See Creating a Discussion Board to learn how to make a post or a comment.

Troubleshooting Permissions are a critical component of the eMammal website. Permissions are what control access to information about a project or camera deployments that should only be seen by members of the project, and they also control what information is sent to the eMammal Desktop App. Most problems related to users are not seeing content or deployments in the various applications, but are related to permissions. Permissions flow as follows: home page  project  sub-project  deployment. If any of the links are broken everything ‘downstream’ will not function.

I can’t see my Deployments in the Desktop App I. II.

Are you assigned to the deployments in question? Contact your Project Manager

I can’t see a Sub-Project or Deployment on the website I.

Ask your Project Manager to check that the sub-project or deployment is correctly associated with the project.

I don’t see a Species I need on the Species List I.

Contact your project manager or lead investigator to get the species added to the list.

I have uploaded a Deployment, but that Deployment only shows up as partially loaded in the website and Expert Review Tool (ERT) This problem can be caused by several different issues, from user error to an error in the eMammal software. Follow the steps below to troubleshoot the error: I.

Double check that all sequences from the deployment have been uploaded. Check that all sequences have a green check mark displayed. If any sequences display a blue square with a white arrow they have NOT been uploaded. a. If any sequences have not been uploaded then finish the upload.

I accidently loaded pictures from 2 different cameras into the same Deployment This is easily solved if you still have the data; can result in data loss if the problem is not caught in time. The upload process packages up photos and metadata from each sequence of a deployment, creates a zip file with uploads, and then this zip file is sent to the Amazon cloud. The ID is based on the deployment in the Desktop App that you are loading photos into, and multiple uploads from the same deployment will overwrite each other since they use the same IDs. If you uploads a camera with 15 sequences into a deployment, and then accidently loads another camera with 10 sequences into that same deployment the first 10 sequences will be overwritten with the new data but the last 5 sequences will remain from the old camera.

If you still have the data, ask the Project Manager to delete all sequences previously uploaded into the emammal_upload bucket in the Amazon cloud. Then have you can re-upload the data from both cameras into their correct deployments. If you does not have a copy of the data remaining in the app or on their computer than the data from one of the cameras is essentially lost. a. If the second camera that was uploaded contained the correct photos for the deployment, delete any sequences remaining from the original deployment if necessary. This will only be necessary if the second camera that was uploaded had fewer sequences than the first camera b. If the second camera that was uploaded contained the incorrect photos for that deployment, download all the sequence zip files, unzip them and combine them into one folder, and ID & re-upload the photos to the correct deployment. Make sure that you delete all the sequences from the Amazon cloud after confirming that you have downloaded all of them to your local machine for re-upload. If you are still have issues contact your Project Manager.
