Hosting a Successful Community Event More than 120 years ago in Milwaukee, a small group of community members came together to build a new hospital dedicated to the care of children. Today, that hospital — Children’s Hospital of Wisconsin — is one of the nation’s top pediatric hospitals, delivering leading care, research and community programs that give kids the very best. We have grown and changed a great deal in 120 years. What has not changed is the dedication and spirit of our community. Through the decades, Children’s has been supported, championed and protected by the community we serve — through fundraisers, advocacy, donations and gifts. Every year, thousands of Wisconsin residents hold community fundraisers, large and small, to raise money for the care we provide. On behalf of every child who has benefited, we are grateful. Thank you for choosing to support Children’s with your fundraising activities. In a spirit of gratitude, we want to provide as much guidance and support as we can as you plan your community event. We are, however, bound by some regulations that we must share with all community members organizing fundraising events in support of our mission. Please use this guide as you begin

Every summer, student-athletes from around the state gather in Oshkosh to compete in the WFCA All-Star Charity Football Game. For 39 years, this event has showcased young players with on-the-field talent and off-the-field community spirit. In 2015, the young players and their coaches raised an astonishing $500,000 for the kids we care for at Children’s Hospital. — Community Event Spotlight

How we can help you as you plan your event At Children’s, we organize and host numerous special events throughout the year and we appreciate the energy and heart that goes into them. We are happy to help you with your event when and where we are able: What we can help with: • Offer event ideas and planning advice for your fundraiser • Provide approved use of our Children’s Hospital of Wisconsin logo • Make sure people know your event is approved by us, with a letter of endorsement • Provide IRS-compliant tax receipts for donations made directly to Children’s Hospital of Wisconsin • Provide Children’s Champions posters for day of event • Offer access to a personal fundraising page • Ensure your donation supports an area of care that aligns with your wishes • If you raise more than $10,000, we will promote your great work on our Facebook page • For events raising $25,000 and more, we can link to your website from ours (this does require an approval step) • Take part in a celebratory check presentation

Tips for your success: • We try our best, but it is not always possible for our staff, patients or physicians to attend community events, but please make sure we know about your event! • Make sure you have plenty of volunteers to help. Children’s is unable to provide staff or volunteers. • Ask your insurance agent if you think you might need liability or other insurance for your event. • Get the word out! Ask friends and volunteers to help spread the word via email, fliers, posters and their social media pages. Consider using an email invitation service like Evite. • Plan your budget so your expenses can be covered. • Register your event to get approved use of our logo on your stationery and a letter of endorsement. • If your event features a raffle, obtain an approved raffle license from the Wisconsin Department of Administration, Gaming Division. • Say thank you, thank you, thank you! Your guests and supporters will feel great knowing they made a difference. Let them know how much they raised and remind them that their gifts and participation help give kids the best care.

Community Events Guidelines Making your event official is a great way to encourage people to support it — our community is generous and supportive of the work we do and we hope you’ll find people are very happy to reward your efforts. By registering your event with us, you can receive support, advice and approved use of our logo. We’ll also provide a letter of endorsement so you can make sure people know your fundraising event benefits Children’s Hospital of Wisconsin. As with all things official, there are some rules that we are obligated to follow, and we share them with you here: • Organizers of community events benefiting Children’s Hospital should complete and submit the Logo Use and Community Guidelines Agreement for approval in advance of their event. Children’s Hospital of Wisconsin reserves the right to request additional information prior to approval of the fundraising event. • Children’s Hospital of Wisconsin reserves the right to decline approval of the event at any time if there is a conflict of interest. • All event publicity in which the Children’s Hospital of Wisconsin logo is used (web and print) should comply with our logo usage guidelines outlined on our Logo Use Agreement form. Permission to use our logo is active prior to and 30 days after the event has been approved.

• Children’s Hospital of Wisconsin may only be identified as a beneficiary. For example, fundraisers should be promoted as “benefiting Children’s Hospital of Wisconsin.” • Due to confidentiality, Children’s Hospital of Wisconsin is unable to release mailing lists for promotion or solicitation of funds in support of community events. • Our events team will help you set up a personal fundraising page and provide approval of the page before your event is promoted. • If an event features a raffle, organizers must obtain an approved raffle license from the Wisconsin Department of Administration, Gaming Division. • Children’s Hospital of Wisconsin must approve all gift solicitations to corporations made on our behalf. • Children’s Hospital of Wisconsin will provide IRS-compliant tax receipts for donations made payable directly to Children’s Hospital of Wisconsin as long as we have contact information for the donor. • If Children’s Hospital of Wisconsin is not the sole beneficiary of funds raised, organizers should state clearly on event materials the percentage of proceeds being directed to the hospital. • We request that event proceeds be submitted within 30 days of the event date. • Checks should be made payable to Children’s Hospital of Wisconsin Foundation.

Logo Use Agreement The Children’s Hospital of Wisconsin name and logo are service marks of our organization and can only be used with written permission and approval of use. A member of our events team will provide you with a logo to use when promoting your approved event. When listing our organization on your materials, please choose from the following two options:

• An event benefiting Children’s Hospital of Wisconsin • (Event name), benefiting Children’s Hospital of Wisconsin Logo usage guidelines The logo should not be smaller than 7/16” high The logo can appear in all black, all white, or black writing with blue kids silhouette The logo can’t be adjusted in any way, including with special effects such as drop shadows Do not separate the silhouette image of the kids from the typography The proportion of the logo must remain the same The logo cannot be surrounded by a box or other shape Logo Usage and Community Guidelines Agreement Please print your name, sign and date this form and retain a copy for your records. Frequently Asked Questions At Children’s we are lucky to have a dedicated community, actively and passionately supporting the care we provide to kids. We have heard from many volunteers and event organizers that they find it very rewarding to do what they can to support our hospital and community programs. Many of our supporters have been doing this for years, and we are deeply grateful for the impact they have every day. If this is your first time organizing a community event for Children’s, we hope this FAQ is helpful. As always, please call us with any questions you have: (414) 266-6320. Can I get mailing lists from Children’s to help promote my event?

Will someone from Children’s help me plan/ run my event?

We would love to help, but confidentiality requirements won’t allow us to provide any mailing lists. We recommend asking friends and family to spread the word, and use an online tool such as Evite.

Our events team is busy planning Children’s events like Briggs & Al’s Run & Walk, and we are unable to help manage community events. We can, however, give advice and provide support materials for your event.

When will I know my fundraiser has been approved?

Can Children’s issue tax receipts to my donors?

We love when organizers register their events with us! A member of our events team will call you within 5 business days of your form being submitted. Sometimes we’ll call with questions to make sure things are in good shape before we endorse an event.

We supply tax receipt letters for all donations made directly to the hospital.

Can I use the Children’s name and logo?

Can I have a raffle at my event?

Yes! Once your event is approved, we are happy to provide a logo for you to use in your promotional materials. A member of our events team will review how you are using our logo to make sure you have our approval.

Raffles are popular and successful event ideas. Please visit the Wisconsin Department of Administration website for more information.

Who do I make checks payable to? Checks can be made payable to Children’s Hospital of Wisconsin Foundation.

Frequently Asked Questions Will Children’s provide items for my auction? We are sorry, but we are unable to provide auction items. Can Children’s send a press release or solicit media coverage for my event? Unfortunately, we are unable to help with media outreach. We highly recommend asking friends and family to help spread the word about your event, and using personal social media channels for publicity. Will Children’s design promotional materials for my event? We can provide our logo to organizers of approved events, and we have some posters and banners that you can use. We don’t have capacity to help with design and print work, however. Does Children’s accept toy donations? The Kohl’s Child Life Department would be delighted to accept new toys, games, books and art supplies. Please call the toy donation

hotline at 414-266-2787. These supplies are used every day to help the children in our hospital forget their worries and just be a kid for a while. Does Children’s provide insurance for my event? Children’s Hospital of Wisconsin Foundation can’t assume any liability for an event conducted on its behalf. Will Children’s find volunteers for my event? Event organizers are responsible for finding volunteers to help with planning and staffing of their events. How do I pay expenses from my event? We strongly encourage event organizers to include a budget that covers expenses. Children’s cannot reimburse these costs. We are happy to provide you with a budget planning worksheet to help you.
