A warm welcome to the University of Auckland One of the more important decisions you will need to make when planning to study at the University of Auckland, is where to live. Whether it’s your first time living away from home or not, living in university accommodation is an exciting time. Our residential teams understand that transitioning from high school to University can be an overwhelming experience, which is why all of our first-year halls offer a safe and supportive environment to guide you through your first year at the University of Auckland. Each Hall offers catering, your own room, a range of social activities, academic mentoring programmes and pastoral care. The friends you make during your

time in a Hall of Residence are likely to be your friends for life. This guide provides detailed information on all of our Halls of Residence to assist you in making your decision about which Hall to apply for. However, if you do require more information please email, call or visit our Accommodation Solutions Office.

On behalf of the Accommodation team, we look forward to assisting you with your accommodation requirements, and wish you every success at the University of Auckland in 2017. Brendan Mosely Director, Campus Life

Applying for a Hall Whether you are in your last year of high school in New Zealand or overseas, applying to live in a Hall of Residence for your first year makes adjusting to the demands, challenges and opportunities of student life at the University of Auckland that much easier. The Resident Managers and Resident Advisors at each Hall look after the welfare of their students. They actively promote a positive living environment that is conducive to your academic, social and personal growth. The academic support programme that each Hall provides gives you the chance to join study groups with other residents doing the same subjects, helping you to achieve your academic goals.

Applications open on 1 August 2016 To apply for 2017 accommodation, complete the First Year High School Leaver application online at www.accommodation.auckland.ac.nz

Apply before 30 September 2016 to be considered for a first offer There is no closing date for applications. However, you are strongly encouraged to apply by 30 September 2016 to make sure your application is considered for selection for a first offer. First offers are sent in early October. For students looking for accommodation in Semester Two, applications open online on 1 April 2017. We recommend that you apply even before being accepted into your programme of study at the University of Auckland. If you wait until you have confirmation about programme entry, which may be as late as February, it may be too late for you to be offered a place in residence.

Choose your preference carefully All of our Halls of Residence offer you the same student experience, are comfortably furnished and include free internet access and membership to the University Recreation Centre. A range of other hall facilities such as laundry rooms, reading libraries and TV and music rooms are available to you. You can enjoy three meals daily at O’Rorke Hall, University Hall and Whitaker Hall, while optional meal plans are available at Huia Residence, in addition to self-catering facilities. Please note: our self-catered apartments are not available to school leaver applicants.

Think carefully about your answers to the questions on the ‘About You’ section It plays an important part in the selection process as it provides an insight into who you are and what you can add to the hall community. Aim for at least three sentences for each question where possible.

Please advise us if you have any special requirements Whether it’s a health, height, dietary or religious requirement, please note these on your application so we can ensure you are applying for a residence that meets and supports your needs. Certain residences offer facilities suitable for students with some disabilities. Please see our website for more information, or contact Accommodation Solutions.

Domestic and international students who completed their last year of high school in New Zealand Students must arrange for a completed Common Confidential Reference Form (CCRF) to be sent to Accommodation Solutions. You will be prompted to submit a CCRF request to your school upon completion of your accommodation application. If your last year of study was completed at a high school overseas, no reference is required.

You can only submit one application You can only apply for, and be considered for, one residence at a time. If you wish to change your preference during the application process, email Accommodation Solutions ([email protected]) with your full name, student ID number and the name of the residence you wish to change your preference to and we will update your application accordingly.

Selection and first offers As we receive far more applications for accommodation than we have spaces, offers are made based on a selection process. Whether you are a domestic or an international applicant, your application will be assessed on the basis of a set selection criteria. Your academic achievement — whether you gained it in New Zealand or overseas. This is the most important consideration and is highly weighted when selections are made. Your leadership, sporting, cultural and community achievements and involvements as indicated on your accommodation application form. The recommendations on your CCRF (Common Confidential Reference Form). This only applies to students who completed their last year of high school in New Zealand. Your potential to contribute positively to the residential community as you described on your application form. If you are a New Zealand high school student, your application will be considered for a first offer, provided you have applied betweenn 1 August and 30 September, and have met all other requirements above. Your application will have priority during the selection process if you: • Have achieved your Year 12 NCEA with merit or excellence or similar high achievement in CIE/IB. • Are a University of Auckland Entry-level and first year Scholarship winner. • Are a Head Boy/Girl or awarded School Dux. • Are a Māori or Pacific student. • Are intending to study a Bachelor of Education (Teaching), Human Services, Physical Education or Social Work. • Are a female studying engineering or physical or computational sciences. • Are a male studying nursing. • Are an international student under the age of 18 years. If you are not in one of the aforementioned priority groups, we assure you that your application will still be considered for selection. Where there are more priority applicants than places available, offers will be made to these applicants on a randomised basis. We also reserve the right to offer more places than we have beds available in the expectation of some students withdrawing and cancelling their places in accommodation. If we are not able to offer you accommodation in your preferred choice of residence, we may offer you a place in an alternative residence. You can choose to accept this guaranteed place (which we strongly advise) or remain on the waitlist for your preferred residence. First offers for the Halls of Residence are sent out during early October. Students who have been selected to receive a first offer will be notified via email, (and also by text message if you supplied us with a New Zealand mobile number) and will have until 21 October to accept the residential agreement online and pay the required deposit. Both must be completed in order for the accommodation offer to be confirmed. There will be no extensions given.

5

Waitlist and on-going offers After first offers are made in October, applicants who have not received an offer of a place will be waitlisted for on-going offers. Applicants who applied before 30 September, satisfy the guaranteed offer and equity criteria, will be given priority within the waitlist pool for each residence. As offers are declined or withdrawn between October and the beginning of Semester One, offers will then be made to applicants on the waitlist. If you are made an offer for a Hall that you had not originally applied for, to ensure your place in accommodation, we strongly recommended that you accept that offer. Whilst you may decline the offer and stay on the waitlist for your preferred Hall it is unlikely that an offer will be made, as applicants who have had not received any offer will be offered first. To ensure the waitlists operate as efficiently as possible, we will email you regularly to confirm you would like to remain on the waitlist. If we do not hear from you within an appropriate timeframe your application will become inactive and will be withdrawn. In addition, please let us know if you are no longer coming to the University of Auckland to study so that we can make offers to waitlisted students.

If you withdraw after taking up residence:

If you are offered a place in residence, a deposit of $750 must be paid to secure your place.

• There may be a further charge for breaking your Residential Agreement.

The deposit is made up of: • Accommodation Deposit - $650 This amount forms part of your overall accommodation fees, and is credited to your room account. • Placement Fee - $100 This fee is only refundable under certain conditions. Your $750 deposit can be paid online via credit card, Visa/MasterCard debit card, Union Pay, or internet banking through our secure payment portal at the time of accepting your Residential Agreement, or by Eftpos at our office. We do not accept cash or cheque payments. If you withdraw before 16 January 2017 as specified in the Residential Agreement, you can apply for a partial refund of the deposit ($325). If you withdraw after this date, you are ineligible for any refund unless you are declined admission into a programme.

Fees The current accommodation fees for all residences are published on our website: www.accommodation.ac.nz

• The deposit will not be refunded.

• You will remain responsible for the accommodation fees unless (and until) a suitable replacement takes up residence. *The residential services fee covers laundry, membership to the University recreation centre, activities and O-week events. At Huia, laundry costs are not included, making the residential service fee slightly less.

Paying your fees All fee payments can be paid online through the Accounts section of your accommodation portal (only viewable if you are confirmed for a place in accommodation) by credit card, Visa/MasterCard debit card, Union Pay or via bank transfer. For detailed information on the accommodation costs for each residence and the required payment dates, please refer to the Accommodation fees section of our website.

Before you move in You are required to pay your residential services fee and the first installment of your accommodation fees prior to moving into residence. It is also possible to pay the full amount of your accommodation fees in lieu of the first installment.

The accommodation fees are calculated for the full residential agreement period and include all your meals (except for the optional plans at Huia, which are additional) in the fully catered halls of residence. They also cover utilities such as water and electricity, internet access to the University’s broadband system and a one-off residential services fee*.

We are here to support you At the University of Auckland we aim to provide an engaging and supportive campus environment. Our residential communities have robust academic and pastoral care support programmes to ensure our students achieve, grow and develop lifelong skills and connections. Our dedicated team at Accommodation works closely with services across the University campuses to ensure that our students have access to support, a positive experience and a solid platform for success.

Area Managers The Area Managers manage four geographical areas where our student accommodation is located. In addition, each manager looks after a specific portfolio to ensure high quality physical environments and catering, academic support, engagement and wellbeing programmes are delivered consistently across all Residences. Area Managers are supported in their role by Resident Managers, Area Administrators, Resident Supervisors and Resident Advisors.

Resident Managers Resident Managers live on-site or nearby the Residence to ensure a high level of support and connection to University services. They provide onsite support for students and ensure that the residential community is safe, comfortable, supportive, conducive to academic success and personal growth and is responsive to the needs of students. They manage the Resident Advisors and are on call to support students in case of emergencies.

8

Resident Advisors (RAs) and Area Officers (AOs) Our RAs are specifically selected and trained high-achieving senior students employed by the University. They act as academic role models and provide personal support. They support students by connecting them to leadership, social and academic development opportunities on campus and in the community. RAs live on-site and are the first port of call for students needing assistance or support as they navigate the challenges of being a tertiary student living away from home. Area Officers are senior part-time staff who live on-site or close by to ensure an extra level of after-hours support for our students. They support RAs and the management team in ensuring that the needs of residents are met and the environment is conducive to success. Area Officers primarily work in the evenings to provide after-hours supervision of the Residence.

Campus Life Accommodation is part of Campus Life at the University. Campus Life operates a range of ‘wellbeing services’, such as Accommodation, Counselling and Health Services, and Sport and Recreation, that are aimed at removing personal barriers to academic success. It also operates ‘engagement’ services such as support for student organisations, social and sporting events, volunteering and leadership support that is aimed at helping students maximise the non-classroom dimensions of the University experience.

Huia offers the best of both worlds where students who enjoy a more independent style of living can choose to be self-catered, or for those who want a more traditional Hall of Residence experience can choose to be fully-catered.

“When I first moved into Huia, I was a little nervous, but the support of the friendly RA team and new friends around me made it feel like home. I experienced an amazing O-week programme that allowed me to meet new people and get out of my comfort zone to try new things whilst having fun. Because of Huias location, it is very convenient to shop and study at either the City or Grafton campus. I am also very proud to be a part of the Huia community as it gives me the opportunity to participate in a variety of events and provides me with academic, cultural and social support whenever I need. If you come to Huia you will have an amazing experience just like me.” ChangWon Yang Bachelor of Law and Commerce conjoint student 12

For someone who has lived at home all their life, the thought of moving away felt quite scary, especially since I’d be the only one of my mates moving to O’Rorke, however since day one it’s been nothing but an adventure of a life time. Just being able to make close friends with people from all over New Zealand, even the world, and taking part in all sorts of exciting activities together really sets O’Rorke apart from the other Hall’s. Frequently asked questions What are my obligations?

If I arrive late/leave early do I pay less?

Before you accept an offer of accommodation, you must first read the Residential Agreement and Residential Rules carefully. You will be signing a legally binding contract.

No. Our Residential Agreement dates are set dates based to coincide with the academic semester. You are charged for the full period of your residential agreement regardless of whether you choose to move in late, or move out early. If you are replacing someone who is moving out, you pay from the day it has been agreed you can move in.

For those students under the age of 18 (at the time of receiving an offer of accommodation), your parent/guardian will be required to first view and accept the online agreement before you can continue the acceptance process. Full information about this process will be sent to you at the time you are made an offer. Before you move in, you must: • Pay your first instalment payment as indicated on the table of fees for your residence. Once you move in, you must: • Pay your instalment payments when due, for the full term of your contract, unless the Area Manager or Resident Manager agrees to release you from it. • Show consideration towards your fellow residents and neighbours, and their property. • Keep your room reasonably clean, tidy and free from damage. Inform the hall staff as soon as possible of any maintenance issues or repairs needed. • Be a respectful member of the community.

We know that moving away from home, or moving into a big city, can be a daunting experience. In our first-year Halls, plenty of activities are arranged for the first few weeks to ensure everyone gets to know each other. Most residents make new friends and settle in very quickly. Moving away from home is a time of major adjustment and you may need to talk through any difficulties with your Resident Advisor, Resident Manager or perhaps a University Counsellor. It can take a few weeks to adjust to major moves like this, so give yourself some time before you make any decisions.

Can the Halls accommodate me over summer? Yes - some of our Halls offer summer accommodation from mid-November to mid-February. Talk to your Resident Manager about booking a place over summer.

• Abide by the rules set out in the resident handbook.

Can I re-apply for the Halls in 2018?

Can I accept an offer and be waitlisted?

The Halls of Residence are strictly for first-year students but you are able to apply for non-catered University residences.

No. If you are made an offer for an alternative residence to the one you applied for, it is not possible to accept that offer and still be waitlisted for your preferred residence. You must decide at the time the offer is made, whether to accept the guaranteed offer, or decline it and stay on the waitlist. You must be aware that if you decline an offer in favour of the waitlist, we are unable to guarantee that another offer can be made to you.

I have impairment-related, dietary, cultural or other special needs — can the Halls provide for me? It depends on your requirements. Please contact us to discuss your circumstances so we can best advise you on the accommodation options suitable for you.

Can I take a tour of the Halls? We encourage all prospective students to attend the University of Auckland Courses and Careers Day in August. Each of our first-year Halls offer guided tours, with ample opportunity to speak with staff and current residents. Should you not be able to attend this event, you are welcome to contact us to request a tour of a Hall, and we will do our best to accommodate these requests where possible. For more information on Courses and Careers Day: www.coursesandcareersday.ac.nz

Can I arrive early? Some of our Halls take bookings over the summer period and may be able to accommodate you early. If it is possible, you will be charged a nightly rate. What happens if I don’t like living in a Hall?

I already live in Auckland, can I apply to live in a Hall of Residence? Yes. We want you to enjoy the many benefits of living in a hall of residence in your first year no matter where you are coming from. It’s a great opportunity to enjoy student life, make new friends and live in the centre of the city. You’ll be in a safe location, with amenities on your doorstep, and no travel costs or hassles. All of this puts you in a great position to continue to achieve well in your studies.

Are there any scholarships available for accommodation? There are scholarships available specifically for final-year school students which offer a guaranteed place in accommodation. For more information on these see the scholarships website: www.scholarships.ac.nz

Can I book an airport transfer to take me to my residence? If you are an international student arriving in New Zealand for the first time, you are eligible for the free Airport Transfer Service. Please use the Airport Pickup Form link on your Offer of Admission email, which is sent to you by the International Office, so that you can be met at the airport and taken to your accommodation. If you did not apply for a place in a university-managed residence, or do not have a confirmed place in a residence, two weeks’ temporary accommodation at your own expense can also be arranged for you.
