IMPORTANT: In many cases, a team of architects has carried out the work. It is essential that all the primary architects and architects of record responsible for the work and who should be credited as authors of the work sign the completed Submission Form.

A - Online submission of information Step 1 - Change Password Use the link that you have been sent by e-mail to reset your password. Click on the link, write your personal choice of Password and click “Change Password”. Do not forget your new Password!

Step 2 - Access to online Submission Profile After step 1 you will access your online submission profile. Before you close this window, remember to scroll to the bottom of the page and check your Username. Do not forget your Username and Password which you will need to access your online submission profile anytime you wish. If you do not feel like adding the information right away, you can always come back to your online submission profile through this link: www.miesarch.com/login, using your Username and Password. www.miesarch.com/login

Step 3 - Edit the online submission profile Once you enter your profile, you will find 2 tabs on the upper part: “Office Profile” and “Work”. Update the information of your “Office Profile” and remember to press “Update” at the bottom of the page.

Step 4 - Work tab Press the “Work” tab and you will find your work(s). On the right side of the work you will find two buttons: edit and print. Press edit and you will access a page with 4 tabs on the upper part: Upload images, Architects’ Information, Collaborators and Consultants and Edit Work.

Step 5 - Edit work Check and correct the existing information and fill in the missing information. To save remember to press “Update” at the bottom of the page.

The 4 texts should be complimentary and not repeat information! Headline A brief description of the project and its main achievements. General description Please summarise the project explaining the location, programme, relation to its context and materiality. Concept/ Context and strategy Please explain the problems the project had to confront and the strategy that you followed to solve the needs of the client, user and location. Construction/ Materials and structure Please explain the materials that have been used and the structure as well as sustainable issues regarding environment, structure and cost. Maintenance recommendations should also be included.

Step 6 - Architects’ information Check, correct the existing information and fill in the missing information. Fill information about all architects who should be credited as authors of the work responsible for the nominated work. If the work was done in collaboration with an office that is not listed, provide the name and contact information of this office. To save remember to press “Update” at the bottom of the page.

a) If the work has been carried out by only one office Check that all the authors appear in the List on the upper part of the window. If you need to add authors press on “create author”, introduce the required information and press “create author”.

Once you are back to the “Architects’ information” window, press on the “Office” menu and choose your office. Then press on the “Author” menu and choose the author that you have just created. Remember to press “Add author”.

b) If the work has been carried out by more than one office Check that all the offices appear on the list on the lower part of the window. If you need to add another office press on the lower “Office” menu and check if the office already exists. If so, press on the “Add office” button.

If not, press on “Create office”, introduce the required information and do not forget to press “Create office”. 1

To add authors from each office, select the office from the upper “Office” list and then check if the authors appear on the next “Author” list. If you need to add authors press on “Create author”, introduce the required information and press “Create author”. Once you are back to the “Architects’ information” window, press on the “Office” menu and choose the office. Then press on the “Author” menu and choose the author that you have just created. Remember to press “Add author”.

Step 7 - Upload Images Upload photographs and drawings and remember to add the photographers’ names. After uploading each image remember to press “Create Image”. 1

Step 8 - Collaborators and Consultants Fill in the information about collaborators and consultants that should appear in the credits

Step 9 - Printing Once all the information has been uploaded, corrected and checked press the upper “Work” tab. Click on the “print” button next to your work.

Step 10 - Signing and sending via e-mail You will print out 2 documents “License Form” and “Work Summary Form” Each form must be signed by all architects who should be credited as authors of the work. Scan the 2 forms and send them to [email protected] The subject on the e-mail should be your identification code + ‘PHASE 2’. Welcome! Welcome!

This form must be signed by ALL architects that should be credited as authors of the Work (hereinafter referred to as “ARCHITECTS”) In relation to any and all of the elements (including without limitation, photographs, video, designs, sketches, original images, drawings, diagrams, texts, models, hereinafter collectively called THE MATERIALS) related to the work submitted to the Fundació Mies van der Rohe for the ARCHITECTS’ participation in the European Union Prize for Contemporary Architecture - Mies van der Rohe Award:

1. License: ARCHITECTS grant Fundació Mies van der Rohe a non exclusive license to reproduce, distribute,

communicate and make available to the public and transform all the elements contained in THE MATERIALS in any digital or analogue format or way of exploitation related to the promotion or communication of the European Union Prize for Contemporary Architecture - Mies van der Rohe Award. Transformation right shall be limited to any modifications on THE MATERIALS for the purposes of editing in specific means of publication. Credit: In any reproduction of THE MATERIALS Fundació Mies van der Rohe shall do its best efforts to mention the name of the ARCHITECTS unless this is not a usual practice according to a specific mean of publication.

2. ARCHITECTS DECLARE and GUARANTEE to be the sole authors or copyright owners of all the elements included in THE MATERIALS, elements which have been developed originally by ARCHITECTS, and/or have been lawfully provided to ARCHITECTS by a third party (specifically photographic or audiovisual content produced by third parties for the ARCHITECTS) and therefore any authorized use of THE MATERIALS will not infringe upon or violate any Intellectual Property Rights of any third party anywhere.

ARCHITECTS shall indemnify and hold Fundació Mies van der Rohe harmless against all loss, cost, liability or expense (including legal fees on a full indemnity basis) and all claims of third parties based on possible infringement of Intellectual Property Rights of any third party in relation to THE MATERIALS.

3. Image and bio: ARCHITECTS authorize Fundació Mies van der Rohe to take (by photography or any other

audiovisual means) the ARCHITECTS’ personal image during the ARCHITECTS’ participation in any event related to the European Union Prize for Contemporary Architecture - Mies van der Rohe Award, and to reproduce and publish it (as well as other of ARCHITECTS’ images and biographical data provided by ARCHITECTS) in any way of communication or promotion of the European Union Prize for Contemporary Architecture - Mies van der Rohe Award

4. Extension: The license on THE MATERIALS and the right to use the ARCHITECTS’ image shall be non exclusive and without any temporal or territorial limitation. Fundació Mies van der Rohe shall have the right to assign the rights licensed herein to any third party, and specifically to any institution within the Directorate General for Education and Culture of the European Commission.

5. Data protection: Any personal data provided by ARCHITECTS or included in THE MATERIALS shall be processed by Fundació Mies van der Rohe pursuant to Regulation (EC) No 45/2001 of the European Parliament and the Spanish Ley Orgánica 15/1999 de Protección de Datos de Carácter Personal.

B - Postal sending of documentation Step 1 - Photos and Drawings Send a selection of eight to twelve photographs of the views that you think are the most important to understand the proposed work. The number of drawings and sketches is not specified. However, we recommend that a complete set of drawings be submitted which completely represents and explains the nominated work. The Jury will use these materials during its meetings. IMPORTANT: Submit the same set of photos and drawings in the following two formats: a. Good quality reproductions on paper. Do not send photocopies or digital copies printed on regular paper. Unmounted on separate sheets, labelled on the backside with a brief description of what the photos or drawing shows and a reference number that should be the same as the corresponding digital file. Size: A4 or 18x24cm.

b. USB with the same photos and drawings. Label the folders with your office’s name and the title ‘selected photos’ and ‘drawings’. In the ‘selected photos’ folder create different folders according to the photographers. Format: .eps (drawings) and .jpg (photos) Resolution: 300 dpi (photos) Image mode: CMYK colour (photos) If you wish to send photos in addition to the 8 to 12 that are required, send them in the same resolution, format and size, labelled in the same way as the ‘selected photos’ in a separate folder called ‘additional photos’ on the USB.

Step 2 - A2 Panel We require an A2 panel from each nominated work that will be on display for the Jury. Please compose one A2 sheet, of which one half will contain a selection of photographs and the other half will have a selection of the most important drawings, which altogether explain the nominated work. The format is prepared for easily filling out with Adobe inDesign and the layout of the photographs and drawings should fit within the margins established on those files. There is a grid on the lower half that should be used to fill with a maximum of nine photographs. One or more photographs can be used to fill two or more grid spaces (and so there will be fewer photographs than nine). The upper side is reserved for drawings, which can be organized in any way with one restriction: there should be a site plan. Step 3 - Checklist The checklist provides us with a guide so that we can make sure that we received all of the documentation that you sent correctly. The date for sending the documentation is on or before December 14, 2016 IMPORTANT: The package containing the documentation sent by registered post or courier, must be postmarked on or before this date.
