Quick Start Guide

For GradeQuick Web with LiveLink Important Information about your Interface Your version of GradeQuick Web requires an installation of LiveLink software. LiveLink will be used to create your classes and users at Edline and rosters used with the gradebook. When teachers export grades from the gradebooks, LiveLink will be used to download the exports from Edline. If your school is part of a district, the district will be installing and using LiveLink. You will not receive a link to the software or an activation. The steps below that refer to LiveLink can be skipped. This document outlines the main steps in getting GradeQuick Web ready for your school and includes an appendix that explains requirements specific to your interface with LiveLink. Each step refers to documents that detail the functions for the step. At the end of this guide is a list of those Help documents and where to find them. Information about your specific interface with GradeQuick is included in a separate document named Appendix. This document includes information about the name of your SIS file to download, names of special score test columns for exporting, if an attendance import or export is available, if you need a specific version of your SIS system to work with GradeQuick, changes that have been made to the interface, etc.

Setup Procedure Step 1: Set Up Edline. You will receive an email from Edline with setup codes and instructions. Single School not part of a District If you are not an existing Edline subscriber, you will receive at least two accounts - one account will be for you to use when logging in to Edline and GradeQuick Web to use those products. You will receive an additional code for your LiveLink user; this code will be used to create a screen name/password for LiveLink, which will sync the data between GradeQuick and your Student Information System (SIS). If you already use Edline, you will receive a code to create a screen name/password for LiveLink. 1. 2. Do not combine the LiveLink logon with a super user logon or the super user logon with a teacher logon. School part of a District If you are not an existing Edline subscriber, you will receive one account that will be for you to use when logging in to Edline and GradeQuick Web to use those products. If you already use Edline, continue to use your super user log in to Edline. 1. To activate your code, go to www.edline.net, click the Help button and follow the directions in the Account Activation Guide. 2. Do not combine a super user logon with a teacher logon. Your district will run LiveLink to transfer data between your SIS and Edline. Districts If you are not an existing Edline subscriber, you will receive at least two accounts - one account will be for you to use when logging in to Edline and GradeQuick Web to use those products. You will receive an additional code for your LiveLink user; this code will be used to create a screen name/password for LiveLink, which will sync the data between GradeQuick and your Student Information System (SIS). If you already use Edline, you will a code to create a screen name/password for LiveLink. 1. If you will be running LiveLink at the district to synchronize more than one school with your SIS, be sure you have entered your School IDs at Edline. To verify that your school IDs are correct, login to Edline with your personal district screen name. In the Contents section in the upper right, click Schools. You will see a list of the schools in your district on Edline. If the School ID is missing or incorrect, click on the school name. From the home page of that school, select Manage School from Tools and enter the correct School ID. When you run LiveLink it will automatically collect the names of schools and their IDs from Edline, you will be ready to use LiveLink to transfer data between your SIS and Edline.

Step 2: Install and Set Up LiveLink. (Ignore this step if you are a school that is part of a district) You should download the LiveLink software using the link in the ‘Welcome’ email. The Administrator Setup Guide contains instructions to install and set up the new LiveLink.

Step 3: Upload from LiveLink to GradeQuick Web and Edline. (Ignore this step if you are a school that is part of a district) 11/22/2011|Edline

Follow the instructions contained in the document Administrator Setup Guide sent with the ‘Welcome’ email. You will need to do the following to prepare GradeQuick Web to synchronize with your Student Information System. 1. Upload class schedules to Edline (Teachers, Students, and Class Schedules). 2. Create and upload class rosters to GradeQuick Web.

Step 4: Run GradeQuick Web 1. Log in to Edline as the school Super User. 2. From Tools, click Get GradeQuick Plugin the first time you run GradeQuick Web on a computer. If prompted, select Open, rather than Save, and allow the plugin installation to complete. 3. From Tools, click the appropriate semester for GradeQuick Web to run the program. GradeQuick Web will open, and open a default School Template Gradebook. 4. Select HelpAdministrator Setup Guides. This will present a page containing several administrators’ guides that contains instructions on the setup and use of GradeQuick Web. A copy of the Setup Guide has also been sent with your ‘Welcome’ email.

Step 5: Migrate your Current GradeQuick Setup If you are new to GradeQuick, skip to step 7. If you have been using GradeQuick, and want to migrate your current school settings to use with GradeQuick Web, see the Administrator Setup Guide sent with your Welcome email for instructions on migrating school settings.

Step 6: Migrate your Current Teacher Gradebooks If your teachers have begun this year’s gradebooks in GradeQuick Network, you can migrate those gradebooks to GradeQuick Web. See the GradeQuick Web Administrator Setup Guide for instructions on migrating teacher gradebooks. Note that once you have migrated teacher gradebooks, teachers should no longer use GradeQuick Network, or any changes they make will be lost. Be sure to rename the wgrade32.exe on your network so it is not available for teachers.

Step 7: Create or Update your School Settings 1. If you are new to GradeQuick, you can use the Setup Wizard that appears when you run GradeQuick Web to walk you through the selection of the most commonly used settings. 2. If you are an existing GradeQuick user who has migrated your settings, but you have not yet used GradeQuick this year, remember to update your attendance start dates for the new school year. Step 8: Upload Additional Custom Files If you have customized additional files, such as reports, that you want to use with GradeQuick Web, see the Administrator Setup Guide, or the Managing & Customizing GradeQuick Web document, for instructions on using the Custom Settings Directory.

Step 9: Give Edline Activation Codes to your Teachers See the documentation you received from Edline, or the help available on the Edline site, for instructions. 1. Instructions for activating codes can be found on Edline. Go to www.edline.net, click the Help button and follow the directions in the Account Activation Guide. 2. The Edline School Setup Guide provides instruction for distributing the activation codes. This document can be found online when you log in to Edline. Click Help, and then click Print Help Guides from the left side of the Help page to locate that document.

Step 10: Activate GradeQuick Web for your Teachers 1. Turn on GradeQuick Web for teacher access at your district or school after you have completed your customization. See the section Enabling Teacher Access in the Administrator Setup Guide. 2. Once you have activated your teachers, they will be able to log in to Edline, click Get GradeQuick Plugin the first time they run GradeQuick Web, and click the appropriate semester for GradeQuick Web to begin using their gradebooks. a. All of a teacher’s gradebooks will automatically be loaded for them, and their changes will be automatically synced to the Web. b.Teachers can get help in using GradeQuick Web from the Help menu in GradeQuick Web. •

The Teacher Guide walks teachers through setting up and using GradeQuick Web, and explains the features unique to GradeQuick Web. This link would be most useful for teachers who have used GradeQuick before, and only need to know about the new features.

Step 11: Edit your Export Settings If you did not edit your export settings as part of step 7, you should set these options before your teachers have to send grades or attendance. Note in SiteManagerExports Manager the option to Export Dropped Students. Most schools will not want to export dropped students, so you will want to check whether it is selected, and de-select it. Step 11: Use LiveLink to download Grades or Attendance (Ignore this step if you are a school that is part of a district) Once your teachers have exported attendance or grades (based on the settings above; this may happen automatically), you use LiveLink to collect the exports. See the Administrator Setup Guide for information on this procedure.

Step 12: Run your Administrative software and import the grades or attendance (Ignore this step if you are a school that is part of a district).

Appendix for LAUSD Interface A. Importing into Edline Gradebook 1) Rosters

File From ISIS Download the 5X10 CSV file and name it Roster.csv. The file can be opened in Excel if necessary but it should not be saved. Changes to the file should not be necessary. The first row of the download file should include field names. The first row will be ignored during processing.
