1. System Requirements For the convenience to provide you the best service, please make sure that the following requirements are met in your computer:

2. Account Logon Every time you use the Ge-TS Trade Declaration System, you should logon with the assigned User ID and the Password. Step 1: Type in our given URL to access the system. (e.g. “http://asp.ge-ts.com.hk/companyA/”) Step 2: Type in the User ID and Password assigned by Admin, and then press “Enter” button.

Step 3: After you logon the system, TDEC screen will be shown on the computer.

If you have left your account idle for 30 minutes, your account will be log out automatically. P 4 / 54

3. Register Signatory Step 1: Click “Administration” on the top of the screen.

Step 2: Click “Register Signatory”.

Step 3: Click “Register Signatory” on left hand side.

Step 4: Fill in the e-Cert Holder information on the following screen and click “Browse” to search the e-Cert file (A:\ drive).

Click “Save” to record the new signatory information. Step 5: New signatory record will be shown on the system.

4. Declaration Lodgment Flow (4-step-guide) A completed declaration lodgment included the following 4 steps:

4.1 Save Your TDEC Message (a) Create New TDEC Message Step 1: Click “TDEC” on the top of the screen.

Step 2: Click “Create TDEC” on the left hand side.

Step 3: Enter information in new TDEC message in relevant form, and then click “Save”.

Step 4: You could click “Cancel” to close the TDEC message if there is a URN shown on the right top of the TDEC.

(b) Create TDEC Message from Template Step 1: Click “Template” on the top of the screen.

Step 2: Search the necessary template.

Step 3: Click the following icon to copy the necessary template.

Step 4: Make any changes on the incomplete TDEC message, and then click “Save”.

Step 5: When there is a URN appears on right top corner of the TDEC, you should click “Cancel” to close the TDEC.

(c) Create TDEC Message from existing TDEC Step 1: Click “TDEC” on the top of the screen.

Step 2: Search the target TDEC message and click the icon to copy the content to new TDEC.

Step 3: The whole content from the existing TDEC would be copied to the new TDEC except the declaration date.

Step 4: Make any changes on the incomplete TDEC message, and then click “Save”.

Step 5: When there is a URN appears on right top corner of the TDEC, you should click “Cancel” to close the TDEC.

(d) Create TDEC Message from Import TDEC Step 1: Click “TDEC” on the top of the screen.

Step 2: Click “Import TDEC” on the left hand side.

Step 3: Click “Browse” to select the import file and then click “Import”.

Step 4: Wait until the process completed.

Step 5: Click the URN of the imported file to open the TDEC message.

Step 6: Fill in the necessary information and then click “Save”.

Step 7: The URN number will be generated with the status ”Validated”.

4.2 Sign Your TDEC Message Please sign the TDEC with a valid Digital Certificate (e.g. HK Post Electronic Certificate, Digi-Sign Certificate). Your digital certificate should be registered in the system before using it. (Refer to Topic 3 – Register Signatory). Step 1: Click “TDEC” on the top of the screen.

Step 2: Search the not signed TDEC.

Step 3: Check the box(es) for message(s) ready to be signed. Click “Sign”.

Step 4: Choose appropriate digital certificate and type in password in the following window. Click “Sign”.

The process of signing status is in the following window.

After signing the message(s), you will receive the following confirmation which shows that you have successfully signed the message(s). You can click “Outbox” to review the “signed” message(s) and they are ready to send out.

4.3 Send Your TDEC Message Step 1: Click “TDEC” on the top of the screen.

Step 2: Click “Send TDEC” on the left hand side.

All Signed TDEC message(s) in Outbox will be sent to government through Ge-TS. Step 3: The connection status will be shown as “Idle” on the screen after all the message(s) sent out.

All sent message copies would be saved in Sentbox.

4.4 Receive Acknowledgements Click “Receive TDEC” on left hand side of the screen and click “Mailbox” on the top to receive relevant notice message(s).

Acknowledgement After government receiving the message(s), you will receive an Acknowledgement in Inbox.

After opening the Acknowledgement, you can see the detail content as the following:

Application Error If the message(s) cannot be sent to the Government successfully, you can also receive an application error from Ge-TS.

If you have opened the application error, you can click the URN of “Go to” in order to open the relevant TDEC. Please repeat the steps of the 4 Declaration Lodgment Flow (4-step-guide) to complete the amendment. P 15 / 54

5. TDEC preview and printing Step 1: Click “TDEC” on top of the screen.

Step 2: There are 3 icons next to the URN. The first one is the preview icon. The last one is the TDEC printing icon.

Step 3: After clicking the preview icon, the TDEC message would be shown as below.

Step 4: On top right corner of the preview TDEC message, there is a printer icon which perform the same function as step 2 – TDEC Printing icon.

Step 5: Print preview for the TDEC will be generated after clicking the printer icon.

6. Save TDEC Message as Draft Step 1: Click “TDEC” on top of the screen.

Step 2: Create TDEC message from 1 of the 4 methods in topic 4.1.

Step 3: Click “Save as Draft” at the bottom of the screen.

Step 4: The UDR will be generated once the draft is saved and ready for use (When completed the TDEC detail).

Note: “Template” performs as a sample document for retrieving pre-set data. Step 5: The status is shown as “Draft”.

When the draft TDEC message is saved properly, the status is changed to “Validated”.

7. Sync AWB No. You may use the “Sync AWB No.” to copy air waybill number from the selected item to all other items. The HAWB No. in Item 2 is different from item 1(1234567).

You may click item 1 and click “Sync AWB No.” at right side.

The HAWB No. in item 1 will be copied to item 2.

8. Prepare TDEC reports Step 1: Click “TDEC” on the top of the screen.

Step 2: Click “TDEC Report” on the left hand side.

Step 3: Type in the report criteria on the following screen and then click “Print”.

Step 4: Here is the on-screen declaration summary report and you can click the printer logo of Internet Explorer to print out the report.

9. Prepare C&SD and C&ED Fax Cover Step 1: Click “TDEC” on top of the screen.

Step 2: Click “Print C&SD fax cover” or “Print C&ED fax cover” at the left hand side.

Step 3: Type the UDR in “UDR No.” field and click the printer icon.

The fax cover will be auto generated with necessary messages.

10. Define TDEC Columns You may decide which information is important and display at the TDEC listing page. Step 1: Click “TDEC” on top of the screen

Step 2: Click “Define TDEC columns” at the left hand side.

Step 3: Select appropriate column(s) move from left box to right box for displaying in the TDEC page.

Step 4: TDEC page would show all the items accordingly.

11. TDEC Batch or Select Print TDEC Batch or Select Print can help you to print the TDEC messages in a large volume. Step 1: Click “TDEC” on top of the screen.

Step 2: Select more than one TDEC which are needed to print.

Step 3: Click “Batch Print” at the bottom of the screen.

Step 4: Print preview for the TDECs will be generated. Step 5: You can click the printer logo of Internet Explorer to print out the selected TDECs.

12. Add User Products Step 1: Click “Profile” on the top of the screen.

Step 2: Click “Create product”.

Step 3: Fill in the product details on the following screen and then click “Save”.

You can click “Profile” on top of the screen and then click “Show all product” to view all saved product records.

You can click the Product ID to view or edit the product details if necessary.

13. Add Trading Partner Step 1: Click “Profile” on the top of the screen.

Step 2: Click “Create trading partner”.

Step 3: Fill in the trading partner details on the following screen and then click “Save”.

You can click “Profile” on top of the screen and then click “Show all trading partner” to view all saved trading partner records.

You can click the Trading Partner ID to view or edit the trading partner details if necessary. P 28 / 54

14. Edit Sent TDEC Message Step 1: Click “TDEC” on the top of the screen.

Step 2: Click “Change to advance search mode” on left hand side.

Step 3: Fill in the necessary information and then click “Search”.

Step 4: Click the View icon to view message details of the relevant TDEC.

Step 5: Click “Edit” button at the bottom of the TDEC to amend the TDEC if necessary.

Step 6: After completing the amendment, please click “Save”, “Sign”, “Send”, “Receive” message(s), until the acknowledgement at last.

15. Response Government Query by Electronic Step 1: Click “TDEC” on the top of the screen.

Step 2: Sort TDEC status to “Query” at right hand side and click “Query” to view the query content.

Step 3: Click ”Query Response” to open the relevant TDEC document.

Step 4: After completing the Query Response, please click “Save”, “Sign”, “Send”, “Receive” message(s), until the acknowledgement at last. You may also search Government Query from Inbox to perform the same function in Step 3. P 30 / 54

16. Advance Search Advance search mode extends the convenience of TDEC search capabilities by increasing various options. You may use this mode to search TDEC in a more accurate and faster way. This mode can be performed as filtering also as TDEC can be sorted by any single or multiple options. Step 1: Click “TDEC” on top of the screen.

Step 2: Click “Change to advance search mode” at the left hand side.

Step 3: You may fill in multiple fields to increase the accuracy in searching.

17. ROCARS function Step 1: Click “ROCARS” on the top of the screen.

Step 2: Click “Import ROCARS” at the left hand side.

Step 3: Choose the appropriate item in “CCRN” and click “Convert To TDEC” at the bottom

Step 4: Fill in the necessary data and click “Prepare TDEC”

Step 5: A Temporary TDEC will create successfully and show on screen. Click “Finished” to process.

Step 6: The newly generated TDEC will be shown with the status “TEMP_TDEC” in the TDEC listing page.

18. User Defined Fields Step 1: Click “Administration” on top of the screen.

Step 2: Click “Set up user defined fields” at the right column.

Step 3: Select the Form that the “user defined fields” will be displayed. The option “TDEC Import/Export Declaration” will be the default user defined fields for all form types.

Step 4: Type in self-defined name for those fields and click “Save”. Only one field input is also allowed.

You can find the newly defined name when you open or create a TDEC message.

19. Government Charge Calculating “Government Charge Calculating” can help you confirm the charge for the newly created TDEC or existing TDEC at once. (Excluding service charge) When the TDEC message is created completely, you may click “View Gov’t Charging Info” to active the charge calculator.

All the Government charges for the TDEC are shown clearly.

20. Change TDEC View Size You may change the view size at anytime without changing the resolution. This helps you to save time in doing the view size adjustment. Step 1: Click the “Down arrow” at the bottom right hand corner.

Step 2: Choose the optimal size for your viewing. You may also use the hotkey “Ctrl & Num+” to enlarge the view size or “Ctrl & Num-” to reduce the view size.

21. SSL Certificate Installation You may encounter the security certificate verification when using the link with HTTPS to login (e.g. https://test.ge-ts.com.hk/companyA/). To deal with the situation, you may install the SSL certificate as the following steps. Step 1: Click “Continue to this website” at the middle of the website.

Step 2: Click “Certificate Error” at the top right hand corner and a message will pop out. Then click “View certificates” at the bottom of the message.

Step 3: Click “Install Certificate”.

Step 4: Choose “Place all certificates in the following store”. Then click “Browse”.

Step 5: Choose “Trusted Root Certification Authorities”. Then click “OK”.

Step 6: Click “Finish” to end the certificate import setting.

Step 7: Click “Yes” to confirm the installation.

Step 8: If the installation is completed, a message “The import was successful” will pop out to remind you.

Step 9: Restart the Internet Explorer and login again. You will find the lock logo, which means the certificate installation is succeed.

22. Change Company Profile The following steps require administrator rights to perform. Step1: Click “Administration” on top of the screen.

Step2: Click “Show all company”.

Step3: Click the Company ID to open the company profile.

Step4: Update the necessary information and click “Save” to confirm the changes.

23. Create User The following steps require administrator rights to perform. Step1: Click “Administration” on top of the screen.

Step2: Click “Create user”.

Step3: Fill in the necessary information and click “Save” to create user.

24. Hotkey Press “Ctrl + F”- Change to advance search mode in TDEC listing page.

Press “Ctrl + N”- Create a new TDEC message in TDEC listing page.

Press “Ctrl + S”- Performs the same function as clicking “Save” in the page of creating new TDEC message.

Press “Alt + C”- Perform to close the existing TDEC message and same function as clicking “Close Window”. The TDEC message will be closed without saving any data.

25. Setup Scheduler for Auto Sending and Receiving TDEC message The following steps require administrator rights to perform. Step 1: Click “Mailbox” on top of the screen.

Step 2: Click “Set up Scheduler” on left hand side of the screen.

Step 3: Setup the scheduler by 2 steps [Connection Mode > Frequency].

Step 4: Click “Save” after finished the scheduler setup.

26. Platform/System logout Step 1: Click “Logout” on the top of the screen.

Step 2: You will receive the following logout confirmation:

You can click “Login again” to login the system again or directly close the window.

27. FAQ for Pop-up Blocker Q1. Why does the screen show blank page after I typed in the Ge-TS link? Ans. The cause may due to the pop-up blocker which blocked the Ge-TS link. When the pop-up blocker is turned on, Ge-TS link will be auto blocked. You may either turn off the popup blocker or set the permission for Ge-TS link. To allow the Ge-TS link to pass the pop-up block, click the highlighted bar.

To select “Always Allow Pop-ups from This Site…”.

Click “Yes” to confirm the change.

Or to turn off the pop-up blocker, you may click the highlighted bar, select “Settings” and click “Turn Off Pop-up Blocker”

Q2. Why does the screen still show blank page after I typed in User ID and Password? Ans. The cause may due to those additional toolbars installed in the Internet Explorer. Some toolbars may interrupt the process of Ge-TS. Fill in the User ID and Password to login.

The screen shows blank page and without any response. At this time, you may check whether there is any toolbar installed. The toolbars are normally displayed at the following position.

To turn off those toolbars, you may click “View”, and then select “Toolbars”. All the installed toolbars will be displayed. The symbol “” next to the name of the toolbars means those toolbars are turned on. You may simply click the name of the toolbars to turn them off/disable them.

After all the toolbars are turned off, you may re-login Ge-TS. The screen should be displayed properly.
