booking procedures & guidelines Tri-C Campus Dining Catering Services has a full range of event menus for breakfasts, lunches, meeting refreshments, snacks, receptions and dinners. We provide service on campus or off campus and can design a menu and service structure for any type of event for any number of people. We offer solutions for casual or formal events and we even have a “Pick up and Save” menu for ordering items to be picked up at the Campus Café for small office events or if taking off site. View our menu through My Tri-C Buys and select Catering or call your Campus Dining Services Representative at the number on the next page. Utilization of the Tri-C Campus Dining Catering Program drives the opportunity for the food service program to provide quality service and continue to offer the various retail services available at the numerous campus locations while providing the best possible financial scenario for the College. Please make your food and facility arrangements as early as possible to enable the procurement of food, specialty items and staff to ensure the success of your ev ent. Menu selections should be made seven days prior to the event for meals and typical services.

Menu and self ordering can be viewed and accomplished at the Tri-C Catertrax Website: Inte rnal Tri-C departments must access the Catertrax ordering site through My Tri-C Buy. External guests should contact the location Manager at the campus in which you will be holding your event. (please feel free to contact your specific Campus Dining Manager at the number below for assistance if needed) Please have the following information available to ease ordering: 1. Day and date of the event 2. Name of organization or on campus department 3. Purpose or description of event 4. Contact information 5. Billing information including an ORG, Fund, Acct, Prog numbers or Credit Card information for outside/ non-college budget charged events (other arrangements for payment can also be made on an individual basis) 6. Time the event starts and concludes 7. Location of event and anticipated attendance 8. Special needs: round tables, cocktail tables, linen colors or special linens, etc. (some additional fees may be applied for specialty linen colors) 9. Indicate whether the head count may change as the date approaches 10. general information & conditions Tri-C Catering looks forward to providing you with a full line of catering services, from initial menu consultation to setup and post event services our professional catering staff takes pride in the selection, quality and attention to detail concerning every event.

G u a ra nte e

To provide the best possible service and most competitive pricing, we maintain a policy of customer guarantees for each event. Please provide a guaranteed number of guests to be served at least three business days prior to your event. Reduction in the number of guests with less than 24 hours notice will be subject to the charge of the original number guaranteed. Additions to the number of guests with less than 24 hours notice will be subject to the availability of the menu items for the event.

All prices are guidelines and items listed in the catering menu are subject to change due to seasonal availability and market price fluctuations. Catering prices are based on groups of 20/25 people or more and are indicated under each menu heading for minimum numbers for service or additional charges for smaller groups. Prices include menu selection and standard service required for your event. Because services offered often vary for each group, some services and items are priced separately. These items include additional table linen, rentals, skirting, special labor and floral arrangements to name a few. These items must be considered to obtain a realistic cost estimate to your event. Events hel d after 5:00pm weekdays, events held on weekends or holidays and events requiring service staff to pick up items after the event will be assessed a service charge of $35.00 unless otherwise indicated in menu section header. Other labor charges dependent on the type of event and time of event may be charged $16.00/hour for a minimum of four hours, for each staff member needed to provide the service. The Tri-C Catering staff will gladly prepare a written proposal for you prior to your function. An event form will be sent to you prior to your event for your approval.

Linen will be provided for all tables that will be used for food service and buffet meal settings. Additional linen for other tables can be provided at an additional charge. All catered functions: coffee breaks, buffets and receptions include our high quality disposable products. There is an additional charge of $2.00 per person for china and glassware service unless noted otherwise on the specific item page. Any catering service approved for a campus sponsored event can be billed through the appropriate on-campus accounting procedure by the generating the account, organization, fund, and program numbers prior to the event. Groups outside of the campus need to make arrangements for payment. A 50% deposit is required three days prior to your event and the balance of the invoice is due the day of the event. A credit card is required and will be billed if final payment is not received the day of the event. We cannot accept personal checks.

The prices quoted for functions include food and/or beverage and accompaniments at the time of the catered event. Additional wait staff will be charged based on the needs of the event. Catering clients are responsible for all equipment provided for your unattended events and will be charged for missing or damaged items after the event. All equipment, utensils, service wares, decorative items and unused sealed condiments are property of Cuyahoga Community College Dining Services. Non return of these items to Tri-C Dining Services for re-use creates additional expense to Cuyahoga Community College and therefore must be charged to the customer to cover replacement. Help us keep the cost of your Catering p rogram down!

Li a bi l i ty

In adherence with local Health Department regulations, it is our strict policy that there will be no credit given or carry out of perishable food not consumed at your event. The quantities of the food prepared are based on the guaranteed number of guests and are ample amounts to ensure that all guests at the event enjoy a selection of food. Any food removed from the event becomes the responsibility of the event holder. Once removed from the event, Tri-C Dining assumes no responsibility or liability for quality & safety of these items.

When booking an event, please feel free to discuss any needs that may require special dietary consideration. We are committed to accommodating food restrictions and choices so everyone has an enjoyable dining experience.

Services must be cancelled within 24 hours of the event or Tri-C Dining will charge for the food and labor costs incurred at the time of the cancellation.

In order to ensure the quality of your event, the catering office must have sufficient time to procure food and service personnel. Sufficient notification is defined as at least three business days for meals and refreshment set ups. With less than 3 days notice, menu item availability may be limited. We will make suggestions for your menu based on available items, additional labor fees could possibly be assessed. Any catering order received with less than 24 hours notice will be assessed a 10% late fee charge. Events will be charged a delivery fee of $10.00 if the total cost is less than $100.00. We reserve the right to charge a $50 delivery fee for off site catering deliveries.

Guest meal tickets are available that can be used at any Tri-C Dining outlet. They are available in any denomination and can be ordered from your Tri-C Dining office.

This questionnaire helps to provide an understanding of the “customer perspective” in areas such as booking procedures, friendliness of service staff, quality of food and presentation.
