OVERVIEW Welcome to the IntelliClick SMTP Relay Service User Reference Guide. This guide covers the use of the Unified Email SMTP service to route emails sent directly from GoldMine. This service will provide you with the following features: 5 eMail servers that are online 24/7/365 with a 99.999% uptime guarantee 5 Alternate mail ports 25 or 2525 to avoid ISP restrictions 5 Avoid unaccepted mail due to no reverse DNS (no PTR record) 5 Supports Static or Dynamic IPs (DSL, FiOS, Cable, etc) 5 Send large file attachments 5 Support for both Inbound & Outbound TLS (Transport Layer Security) Message Encryption 5 ISP Feedback Loop notifications 5 Track your SMTP Relay usage and Bounce statistics with detailed charts and data downloads 5 Automatically remove messages that contain Hard Bounce addresses so that you don't get blocking by ISPs Once you have setup your SMTP relay account with Unified Email, you will also have access to your account via the Unified web portal to track your SMTP Relay Usage and Bounce Statistics: 5 Clear and Concise Charts 5 Month, Week, Day, Hourly and Custom Detail Levels 5 Categorized Bounce Statistics 5 Downloadable Detail and Summary Data in Multiple Formats 5 Downloadable Unique Hard Bounce Addresses for Easy List Management

The files generated with hard bounces will contain email addresses that can then be scrubbed by the IntelliClick Bounce Management module to flag and/or remove these bad email addresses from your GoldMine system.

YOUR SMTP RELAY EMAIL SETTINGS As part of your IntelliClick account setup, you will receive an email with details for your Unified Email account. Host Server: mx.mg1.unifiedemail.net Username: firstname.lastname@Intelliclick Password: XXXXXXXXX

This information is used to setup one or more email sending accounts in the IntelliSend module of IntelliClick or as an email account in GoldMine, permitting you to send your email campaigns via the Unified Email SMTP service. You can setup email accounts for one or multiple users. Anyone who needs to send email campaigns can have an account setup in their email settings to enable this. The instructions below explain how either can be setup.

ADDING EMAIL ACCOUNTS IntelliSend Module Of IntelliClick These instructions are for those using the IntelliSend module of IntelliClick. This module can be accessed under the SEND MANAGEMENT button.

From the main IntelliSend screen, choose the OPTIONS | PREFERENCES selection and then choose the Manage E-mail Sending Methods button:

Note: You can create multiple accounts to send on behalf of different people; Change the FROM field for each account you prepare

Display name as you will see it when using the IntelliSend module

Information provided to you as part of your IntelliClick account subscription setup (Use port 25 or 2525 only)

Set the desired Name & email address for the FROM area; this will be the Reply To email address

Click to prepare each account and then fill the fields on the right side of the screen

Allows you to send a test message to confirm settings are correct

Within GoldMine (Optional) These instructions assume that you are in the Email Center in GoldMine logged in as the user for whom you wish to setup an additional SMTP email account. In the MAIL FOLDERS area of the Email Center, right mouse click on the account name

Select EDIT E-MAIL OPTIONS under the OPTIONS choice in the drop down menu

In the lower portion of the screen, select the NEW button to enable you to setup your SMTP account

IntelliClick® SMTP Relay Service User Reference Guide – Unified Email When adding a new account, there is no need to set an POP3 settings; You only need to complete an Account Name and then use the right side of the screen to complete your SMTP settings.

Sending Email Using The SMTP Relay Account Using The IntelliSend Module The IntelliSend mail merge and sending module allows email campaigns to be sent based upon information stored within your GoldMine system. Use of existing GoldMine groups and email templates are possible once you have setup your IntelliSend module to connect with your GoldMine system. Setting The Connection To GoldMine When IntelliSend is first used, there is a need to create a connection to your GoldMine database. This can be accessed in the PREFERENCES window by clicking on the drop down arrow next to the greyed MANAGE button. You can then select the option to ADD A NEW GOLDMINE DATABASE. Please fill the necessary information to enable this connection.

Other Defaults Settings There a two preferences you can set that affect the behavior of your mail merge as follows: 1. URL SHORTNER: if this is checked, all IntelliClick hyperlinks will be shortened to a 15 character alpha/numeric code rather than contain an contact or other link details; this code is then decrypted by the IntelliClick tracking server 2. MESSAGE LOGGING TO HISTORY: if you want the email message to be logged to GoldMine history, select the LOG SENT MESSAGES IN MY DATABASE option; If you also want the body of the email message saves as well, select the INCLUDE THE MESSAGE BODY option – if neither of these are selected, no email message will be save to history NOTE: In all cases, an entry called MESSAGE SENT will be logged to the CLICKTRACK tab in GoldMine and this is used to determine the number of emails sent for success ratio reporting Once all your PREFERENCE settings have been saved (these become your defaults) then you are ready to start sending using IntelliSend.

Using The Internal GoldMine Mail Merge To use the SMTP relay account, you simply change to using this account as the default email account before you merge and queue your email messages. After messages have been queued to the GoldMine Outbox, you can then send with the SMTP relay account set as the default and this will route your email via the Unified Email service.

Right mouse click on the account (i.e. Unified Email) and then select SET AS DEFAULT

The account name will now show in bold type as being your new default account and you can now proceed to use the email merge capabilities of GoldMine to queue and then send your mail. We strongly recommend that you use the IntelliClick Send Management module to throttle your queue to the number of messages per hour that Unified Email permits for your account level. In addition, the Send Management module will also allow you to remove email addresses who have previously unsubscribed, helping with your compliance of the CANSPAM regulations.

REVIEWING SEND RESULTS & HANDLING BOUNCED EMAIL If you are using the Unified Email SMTP Relay service, included with IntelliClick, you will benefit from tracking all the soft and hard bounces for emails that cannot be delivered due to addresses that fail. This is very helpful because it separates the soft bounces and retries to deliver these on multiple intervals. Hard bounces which are emails that no longer exist on the receiving email server, are stored and available for download in a file from the Unified Email web portal. When you setup your account, you establish your username and password for access to that portal.

Once logged into the portal you can see your mail delivery statistics and download bounced email address files (Note: Statistics are available one day after mail has been sent)

Accessing Bounced Email Data You can access bounced email results one day after and onward from the day you have sent an email campaign. Select the file format as TXT and then click the Recipient Hard Bounce Summary download button. Save the file to any desired directory location on your workstation or network (c:\ RecipientHardBounceSummary.txt). Make sure you know where this has been saved so that you can locate the file afterward using the IntelliClick Bounce Management module. Select TXT format for the file to be downloaded to be used by the Bounce Management module of IntelliClick

Processing Bounced Emails To process the email file created and download from Unified Email, access the Email Processing area of the IntelliClick Wizard. Select the option to use an EXTERNAL FILE for processing

Browse to the file location and name that was created when you downloaded the data from Unified Email.

You can choose to select other settings if desired and then all emails in the file that match emails in GoldMine will be processed accordingly.
