Flu Update New York State has removed the mandate for all hospital staff to get the seasonal flu and H1N1 vaccines. This determination is based on the availability of the vaccines and not because the original concept of protecting yourself and your patients was in error. We still highly encourage all of our staff to get vaccinated. Additionally, Orange Regional has a flu task force, led by Dr. Eric Silva of the Emergency Department. The task force is working in conjunction with the Orange County Department of Health (OC DOH) and other agencies to coordinate care in case of unexpected volumes or more severe cases of illness resulting from the flu. We are working closely with the Orange County Department of Health and local schools to direct those who have the flu to visit their doctors’ offices instead of going to the emergency department. As an employee, if you have flu symptoms including fever, cough, sore throat and/or runny nose: • Do not come to work. • Do not go to the emergency department for treatment. Contact your primary care physician. • Contact your supervisor or the staffing office. • You must call Employee Health. If you have questions or concerns, please contact the Employee Health Office, Horton Campus, at 342-7307 or Employee Health, Arden Hill Campus, at 294-2266.

LEAN Initiative Update LEAN is a process of continuous improvement where Orange Regional employees will learn how to create efficiencies and improve overall effectiveness to achieve greater patient and employee satisfaction. The vision of LEAN is to continually improve how we work to enable employees to do the jobs they were hired to do which will positively impact our patients’ experiences. Recently, the Leonardo Group’s LEAN Assessment Team created two multidisciplinary teams of Orange Regional employees and reviewed the procedure of a patient entering the Emergency Departments at both the Arden Hill and Horton Campuses. They followed these patients through the process of admission to the respective Progressive Care Units. The two teams worked with the Leonardo Group, closely documenting workflow and recording current time span of each step while comparing it to the desired time for each step. The comparison illustrated that time could be saved if we LEAN the process. Next steps for streamlining the process were implemented with an end result of increasing efficiency and patient and staff satisfaction. Team members shared their enthusiasm, team spirit and desire to learn more about LEAN principles. For more information on the LEAN Initiative, please call Vice President of Quality, Susan Hodgson, at 342-7215.

Sandra is now Site Administrator for the Pavilion and oversees all Orange Regional’s off-site locations and outpatient services. She will lead the operations, planning and program development for Diagnostic Imaging; Outpatient Rehabilitation; Respiratory & Pulmonary Therapy; Safety, Security and Emergency Management and the Stanley S. Dunkelman, M.D. Diabetes Treatment Center. She is also responsible for overseeing Radiation Oncology and the Ray W. Moody, M.D. Breast Center. Sandra’s new office is located at the Pavilion and she can be reached at 695-5901 or [email protected] Vice President and Site Administrator of the Arden Hill Campus, Jonathan Schiller, will now oversee Orange Regional’s Laboratory; Pharmacy; Environmental Services; Facilities and Nutrition/Food Service departments. He can be reached at 342-7605 or [email protected]

Move Management Update After working with Orange Regional for three months, AOS has developed the first timeline for the physical transition from our existing campuses to the new hospital. Within this timeline, a “critical path” has been identified, which outlines critical tasks that must be completed sequentially within a specified time-frame in order for us to move into the new hospital. These tasks include construction completion, floor-prep, medical equipment installation and building orientation and training for all employees. The Management Team is working to ensure that, with proper resource planning and coordination, there are no delays in the critical path that would slow our relocation to the new hospital. More detailed information will be forthcoming over the next several weeks. Stay tuned! If you have any questions or suggestions about our move to the new hospital, please speak with your supervisor. -4-

MOMENT OF TRUTH Employee’s Support Goes Above and Beyond Patient’s Needs Karen Schroeder, Ph.D., a psychologist from the Rehabilitation Unit at the Horton Campus, recently took time to write a letter of appreciation to Orange Regional’s Director of Respiratory Services, Frank Salvatore, Jr. Frank’s staff had impressed her with the care and concern they displayed for a patient. An excerpt of Karen’s letter is below: “I wanted to tell you how truly wonderful your staff was yesterday! I was involved in the discharge of one of our patients who had worked so hard to recuperate from his many medical problems. His discharge was impeccably planned to ensure his safe transition home. All his belongings and equipment were loaded into his car and he was comfortably situated in the passenger’s seat. He said his “good-byes” and was looking forward to finally going home. At the last moment, in preparing to switch him from the hospital’s portable oxygen tank to his personal portable tank brought from home, we all realized that the family had left the regulator for his tank at home in New Jersey. After briefly consulting with our patient’s nurse, I called the Respiratory Department. Through a succession of problem-solving phone conversations, and to the point of resolution, your wonderful respiratory therapist Sakar Brown came to the patient’s car to assess the situation, provided reassurance that the matter could be resolved and ultimately located a regulator that the patient could borrow for his trip home. Your entire on-site staff demonstrated patience, supportiveness and true concern for the physical and psychological wellbeing of our patient and his family members. Each respiratory staff member I spoke with was professional and responsible. There was never a moment that I, or the patient, felt unsupported in seeking to resolve the situation. My great thanks for all the work that your staff did, and for all they do on a day-to-day basis!” We should all take a moment and honor the dedicated staff who work together each day to go beyond patients’ needs and deliver random acts of kindness and generosity. If you, or someone you know, has a story based on random acts of kindness illustrated by Orange Regional employees, please submit the information to [email protected]

Staff Announcements – Finance Division

‘Out-of-Towner’ Felt at Home with Orange Regional Below is a letter from a family member of a patient who was miles from home when medical services were needed. The letter speaks about his experience at Orange Regional’s Arden Hill Campus and emphasizes how the care administered was equal to any big city medical center.

To The Administration & Staff: We’re writing this letter to let you know how pleased we have been with the services we have secured these past four weeks for my husband, Carl Spencer. Everyone has extended themselves to make an out-of-towner feel welcome; getting to know their patient, from doctors to the cleaning crew. At all times we were given attention; taking time to answer questions to consulting on necessary treatment. It was a complicated case that was handled as well as any big city medical center. Being from Chicago, we have really appreciated that. While his stay has not yet been completed, we are looking at a possible end to extensive rehab. Again, our sincere thank you. Sincerely, Elaine Spencer (Mrs. Carl)

He can be reached at 342-7583 or [email protected] Tyler Whitcroft has accepted the position of Administrator of Capital Projects and Contract Management. Tyler is the key contact for capital acquisition processes for the Greater Hudson Valley Health System, Catskill Regional Medical Center and Orange Regional Medical Center. Tyler now works closely with Vice President of Special Projects, Wayne Becker and Chet Wans on all new hospital acquisitions. His office is located in the rear of the Pavilion. A Culture of Giving At Orange Regional, employees frequently demonstrate the capacity to serve, volunteer and give back both inside and outside the walls of our organization. Whether it’s by participating in a charity walk, volunteering within the community, sending packages to soldiers or monetary contributions in support of a good cause, our hospital family is incredibly generous. A perfect example of this is Orange Regional’s United Way Campaign. The Campaign doesn't rely on large donations from just a few employees; instead it is primarily composed of smaller gifts from hundreds of employees.  This creates a larger gift that truly demonstrates how every little bit can add up. This year, Orange Regional’s 2010 United Way Campaign raised more than $35,000. Thank you to every employee who contributed to this year’s campaign!
