Signinghub for Sharepoint SigningHub for SharePoint enables users to securely sign, verify, send and track documents as they work within SharePoint from any Internet connected location. The SigningHub for SharePoint App uses the standard Microsoft integration model and is available from the SharePoint app store so no integration is required. The app is easy to install and supports enterpriselevel controls. To ensure a comprehensive and seamless experience for SharePoint users, Ascertia’s SigningHub provides these additional features:
Active Directory integration to ensure that SigningHub user accounts are automatically created, managed, synchronised and authenticated with a corporate Active Directory; Webbrowser or mobile app based viewing, signing and verification of PDF and Word documents. Other office document formats are automatically converted into PDF/A documents; Document signing using esignatures that are embedded within longterm digital signatures using centrally held, locally held or mobile held keys and certificates; Integration with SigningHub on premise, or installed in a private cloud instance, or using the public Azure based SigningHub Cloud service, or one of the services offered by Ascertia global partners. Regional data protection, privacy, scalability and resilience concerns can thus be easily addressed; All system and centrally held user keys can be held in an HSM including the Azure Key Vault HSM, thus providing enhanced protection of signing keys. CC EAL4+ HSMs are supported (as are local smartcards and USB cryptotokens and mobile keys/certificates).
SigningHub works with SharePoint Online or SharePoint Server 2013 (Foundation, Standard, or Enterprise). The user only requires a modern HTML5 browser such as Internet Explorer 9+, Firefox 3+, Chrome 10+, Safari 10+ etc. If local signing is to be supported, then JRE 8 also needs to be enabled in the user’s browser to support our signed Java Go>Sign Applet.
Key features Share and Sign documents from within SharePoint Simply identify the documents from your SharePoint account that need to be signed by yourself, or create a workflow to ask other people to sign. You can create signature fields in the document and also set any other properties such as initials or access permissions as required.
When you want to sign, the SigningHub for SharePoint app shows the document within a View and Sign screen. You can see the document fully, complete any actions such as filling form fields or adding initials or comments and then sign. Once signed, the document status is automatically updated in the specified SharePoint document library. Signed documents are placed inside the ‘SigningHub Documents’ folder which is created by the app inside the document library where the document originally resides.
Track the status of your shared documents You can see the status of your documents within SharePoint and immediately see who is yet to sign.
Works with Internal and External users SigningHub for SharePoint provides a great solution when you need to work with both internal and external users. In either case, an email notification is sent to a user asking them to sign the document. Internal users can sign within SharePoint, external users simply follow the link within the email notification and sign the document within SigningHub.

Manage access to SigningHub The SharePoint administrator can control which users have access to SigningHub. When a SharePoint user is approved this action creates an Enterprise user account for them within SigningHub, and enables them to view, sign and share documents.
Compliance As SigningHub can generate longterm signatures including timestamps and signer’s certificate status information, all digital signatures can be verified years into the future beyond the certificate expiry date – this is a key requirement for business documents that must be shown to be unchanged into the future. An esignature image can be drawn using the mouse, or a stylus on a touch screen, or a font based script font signature can be used. Alternatively, an uploaded scanned image of the user’s e signature can also be used. For esignatures backed with unique peruser digital signatures, the signing password must also be entered, this authenticates the user’s access to the signing key and ensure the signature is a wilful signing act from a legal perspective. An optional, configurable “signature legal notice” can also be shown where required, for example to be FDA 21 CFR 11 compliant. A longterm digital signature is created and embedded in the document as defined by the user’s signature appearance. More secure user authentication using 2factor techniques can also be used e.g. sending of a One Time Password (OTP) to the user’s registered mobile phone or other options. When using a smartcard or USB token (a qualified signature creation device), the signing PIN will be requested and if entered correctly the signature will then be computed and applied.
If there have been any unauthorised changes to the document, then the signature is shown with a red “X” icon. All digitally signed documents can be verified within the SigningHub document viewer. They can also be downloaded and verified within Adobe® Reader software which is the ubiquitous software for reading PDFs. Other PDF viewers that understand ISO 32000 and ISO 19005 PDFs and ETSI PAdES digital signatures can also be used.
