Emergency Preparedness The SYSCO Perspective We have received many calls from health care customers regarding the status of SYSCO’s emergency plan should a potential influenza pandemic occur. Health care is a very important business segment to SYSCO, and in the event of a pandemic crisis, we will endeavor to provide our health care customers with priority service and delivery of food products to the best of our abilities. Included with this edition of Ingenium Healthcare Solutions is a letter outlining the steps that SYSCO is taking to prepare our company for a potential pandemic outbreak of influenza. All of SYSCO’s Canadian Operating Companies have extensive Business Continuity Plans already in place and we have established a Pandemic Task Force to address some of the additional challenges that are unique to a flu pandemic.

Remember Your Key Learning From Past Emergencies! As we look into the future to develop our emergency preparedness plans, it is important to keep in mind what you have already learned in dealing with past emergencies and work these into your plan. Many of our SYSCO

Operating Companies have provided exceptional service to health care customers during strike situations, snowstorms and large scale emergencies such as Hurricane Juan and White Juan in Atlantic Canada, SARS in Ontario and Hurricane Katrina in the USA.

Pandemic Planning Considerations In discussions with our many health care customers about the pandemic planning process they will all agree that it is proving to be a challenging task because there are so many unknown variables. One of the primary effects of a pandemic is predicted to be reduced staffing levels (as much as 30-50% ) which would have widespread effects in all industry business segments; the possibility of border closures and even the unknown timing and duration of a potential pandemic make it a real challenge to plan for. We would like to share some key learnings that have evolved out of the many meetings and discussions with our health care customers that may provide some “food for thought” in your planning process: • All facilities should have some type of emergency menu plan in place whether it continued on page 3

Where possible, facilities should try to keep some extra stock on hand in case of an emergency - dry products are generally easier to store and have a longer shelf life. • Contact your SYSCO Health Care Sales Specialist for assistance in planning your emergency menu. They can provide a list of ALL items stocked at SYSCO including prepared foods or individually portioned items for your emergency menu. Your SYSCO Health Care Sales Specialist can also provide you with a sample emergency menu to assist you in the planning process.

• Prepare an order list with SYSCO order codes and forecast volumes that you will require for your emergency menu for a defined period of time. Verify in advance that your emergency menu products are stocked in sufficient quantities at SYSCO. Special order items are not recommended for your emergency menu. • Build product and brand flexibility into your emergency menu plan to allow for possible substitutes! During a pandemic, suppliers will be faced with the same absentee rates which may have an affect on their production levels. It is good to identify backup products that will work for your emergency menu in case key items are not available. Soup will be a key ingredient on many menus and is available in

frozen, dry and canned format in different flavors and brands. • Communicate/Communicate/ Communicate your product needs for your pandemic plan to SYSCO and your key supplier partners. SYSCO purchases and replenishes products based on average volumes. Both your distributor and key suppliers will need advanced notice to increase stock levels and ramp up production on key health care products in order to meet a higher demand. Huge spikes in product volumes that are not forecasted may cause shortages to your facility or existing customers who use these products on a regular basis. • Once you invoke your pandemic plan and place orders for these products, you will need to commit to using these products. It is of prime importance that suppliers, distributors and customers at all levels of the supply chain have their own business continuity plans in place and we must COMMUNICATE with each other at all levels with respect to pandemic planning. The strength of the Food Industry during a pandemic situation depends on it!!!
