Tablet PC Introduction The Energy Management Assistance Partnership System (EMAPS) is an Internet-based database and processing system. EMAPS includes confidential information about SCE’s Energy Savings Assistance Program services, measures, and customers. All information provided by SCE and through this system is confidential information. SCE reserves the right to suspend or terminate the Service Provider's Purchase Order if any confidential information is used inappropriately or stored into an unauthorized database (or external source) by a Service Provider. See the EMAPS System User Manual and the Energy Savings Assistance Program Contractors' Manual for more information about EMAPS.

EMAPS On-the-Go EMAPS will support some business functions on Tablet PCs. Outreach workers will use a Tablet PC while they are at a customer’s home. Most of the data that processors previously entered into SCE's EMAPS database will now be entered directly into the system — by you — through the Tablet PC. You will create new leads and enter all data in the Tablet PC for EMA Program Customer Applications and Home Assessment (HAS) Forms. You will also schedule all assessment appointments.

Using Other Tablets or Laptops You can use the Tablet PC issued by SCE for this work, or click the "Installation Instructions" link on the Tablet home page for instructions on how to install the Tablet application on any compatible tablet or laptop.

Tablet PC Compatibility Requirements Your tablet or laptop must run on Windows 7 or Windows Vista, and you must have an SCE-approved printer and scanner with the proper drivers installed. If you are not sure that the printer and scanner drivers meet SCE's requirements, contact the EMAPS System Administrator (SysAdmin). During the installation procedure, before you can download the EMAPS application itself, you will need to download Microsoft.Net 3.5 Framework and Microsoft Report Viewer. These are required so you can run EMAPS.

Installation Procedure All users must sign the Terms and Conditions before using the system. Once this has been signed, the SysAdmin will provide you with the link to EMAPS-On-the-Go, your login ID, and a password. Follow these steps to install EMAPS On-the-Go, Microsoft.Net Framework, and Microsoft Report Viewer on your compatible tablet or laptop: 1.

Open your tablet or laptop browser and go to the EMAPS link.

2.

Log in, using your ID and password. For the login procedure, see Page 7, below.

3.

When the home page displays, click the Installation Instructions link to display the Instructions screen.

Tablet PC Install Microsoft.NET 3.5 Framework and Report Viewer 4.

Click the link for the Microsoft.NET 3.5 Framework. This will open in a separate window or tab.

5.

Follow the instructions given to download the application from Microsoft and update the Microsoft Windows Features.

6.

Go back to the Installation Instructions window, click the link for the Microsoft Report Viewer, and follow the instructions given to download the Report Viewer.

Note: The installation procedure may take a few minutes. Once you have completed it, you should never again need to run Framework or Report Viewer separately.

Install EMAPS-On-the-Go 7.

Go back to the Installation Instructions window, click the link for the EMAPS Tablet Application, and follow the instructions given to download the application.

Glossary of Terms It's important to get familiar with EMAPS terms so you can use the system effectively. Term

Definition

The account holder is the person SCE shows as the customer in its CSS Applicant and database. The applicant may be another person in the household. See Account Holder also Lead, below. Non-SCE parties: assessment agencies and installation or inspection Contractors contractors. Crew Contractor assessors, installers, & inspectors who go to customer homes. If you have access to an EMAPS function, the link or icon is enabled. If Disabled / not, the link or icon is disabled: either you can't see it at all, or you can see Enabled it but not use it. Enrollment An applicant approved for participation in the EMA Program. Fees Money SCE pays to contractors for certain types of EMA Program work. A note is useful information (example: Customer called with new Note cellphone #). A potential enrollment. EMAPS verifies the applicant's SCE Service Lead Account (SA). An action taken, or an item installed, to increase energy efficiency in a Measure home. For example, installing a replacement refrigerator is a measure. Page A "screen" or "window." Definition

Premise and Site SysAdmin Workflow

Customer's physical address. If each household has its own SCE meter, the premise is the location of the meter. If master-metered, the premise is the address of the SCE master meter, and each site is the address of each household, whether sub-metered or not. System Administrator — the person to go to for software help. The series of steps needed to move the customer’s application through EMAPS.

Important Things to Know Menu Bar The following Menu bar displays on each page. Clicking on a heading allows you to access a major function or page on the Tablet PC. PC Table Menu Bar

Leads Access Leads to search for a lead, create a lead, enter contact attempts, and add notes.

Enrollments Access Enrollments to search for an enrollment and complete the Customer Application and Home Assessment Workflow Steps.

Tools Access Tools to change your password, reprint the Customer Agreement, and log out of the system.

About Access About to see the current version of EMAPS On-the-Go.

Optional Function The right side of the Menu bar may contain screen-specific commands. The sample above shows the Run DMRI button. If there is no action or command for a certain screen, the area will be blank. Here are some common buttons that you will see on the Menu bar:

Tablet PC Saving Your Work and Scanning Documents The Tablet PC allows you to save your work at any time. If you are unable to complete an assessment on your first visit to a customer home, save it. The Status will be Tablet – In Process. When you return, you will not need to re-enter the data you collected on the first visit. You can also scan in documents (such as proofs of income or ownership) at any time during the process. This enables a reviewer back at your office to let you know immediately, while you are still at the customer's home, if you need to upload more or different documents.

Navigating the System To navigate the system, click on a heading in the Menu bar. The Leads, Enrollments, and Tools functions each open a series of additional screens.

Icons The windows on the Tablet PC also use icons to perform functions or open an additional window. Here are some of the most common icons you'll see:

The Information Required Icon The icon will display if you have not entered required data. Any tabs or sub-tabs that have required data that has not been entered will have the icon on it. In addition, the icon will be displayed next to the required field. If you see this icon, go back and fill out required fields.

The "Edit" Function EMAPS in the Tablet PC does not have an Edit

button.

To see a profile of a record, double-click an item in the record row.

Tablet PC Logging In To access EMAPS on your Tablet PC, you need to log in with your User ID and password. Action

If Your Login Is Not Accepted Your login will not be accepted if you type an invalid Username or Password three times. In either case, you will need to contact the EMA Program System Administrator (Sys Admin) to have your account re-activated.

Log-In Time EMAPS will retain the user login for up to 8 hours. After 20 minutes of no activity, the user will have to log in again.

Tablet PC Searching for Leads Assigned to Outreach Workers The Lead List is the first page to display when you login to the Tablet PC. You can view details about a lead on the Lead List. Click the Leads tab, if it is not already on the screen.

Click Search. The bottom frame of the page will populate with the search criteria. If a search returns more than 50 records, the bottom of the screen will display the message: Found more than records that match your criteria. Please refine the search and try again.

Excluded Leads The search results on the Leads tab will not include: •

Leads assigned to an outreach worker other than you, the user, and/or



Leads with a Closed status (for example, Enrolled).

Tablet PC Creating Leads You can add eligible customers as leads on the Tablet PC. 1.

Click Leads on the Menu Bar to open the Lead List page.

2.

Enter data in the Customers tab.

3.

Click Search to display the search criteria at the bottom of the page. If a lead cannot be created, the first column will show one of the following messages: • • •

Ineligible Rate Code Enrollment in Progress, or Inactive Account.

4.

If the customer is eligible, double-click the record row to open the Lead Profile page.

5.

Enter or select data in all the blank fields as needed: • •

Customer’s name, phone, Email, and Best Time to Contact, and Lead Type, Lead Source, Primary Language, and Occupancy Status

6.

If the Occupancy Status is Renter/Tenant, two radio buttons display on the screen: Owner’s Waiver Received and Owner’s Waiver Not Received. Select Owner’s Waiver Not Received to set the lead status to Open-Pending Owner’s Waiver. You are not required to select from the radio buttons.

7.

Date fields will display if you selected Lead Types from external programs (for example, So Cal Gas or Southwest Gas). Enter the date. See the illustration of the Utility Referral Date field, above.

If the address is not listed, select New in the dropdown list, and



The Site Address button will display. Enter the address and click Save and Close.

Change the Mailing Address only if it is different from the metering address: •

Check the dropdown list to see a list of addresses associated with the premise, then select the address



If the Mailing Address is the same as the Site Address, click Same as Site Address



If the Mailing Address is not the same as the Metering Address or the Site Address, select New in the dropdown list, and



The Mailing Address button will display. Enter the address and click Save and Close.

If a site is selected in the Site Address field, the screen will display a list of all enrollments for that site and a confirmation checkbox that says I confirm that this household has not previously participated in the program. Check the box to show that you have verified that the customer or lead has not previously participated in the program.

Run DMRI 11.

Click Run DMRI on the Menu Bar. EMAPS will determine the customer’s eligibility to enter the EMA Program.

Click the Process icon on the Menu bar. The illustration on the left shows a passed DMRI result, and the illustration on the right shows a failed DMRI result.

Other Processes on the Lead Profile From the Lead Profile, you may also make an appointment, enter a contact attempt, and add a note, as described below.

Tablet PC Making Appointments The Lead Profile includes an Appointment Information field that allows you to make a future appointment, if needed. Select the Date, Time, and Duration (estimated length of the appointment).

Making Contact Attempts The Add Contact Attempt button on the Menu bar allows you to enter attempts to try to reach the customer, when you don't succeed. Note: This process requires a Lead number, so the button will display only if a DMRI has been processed. To enter an unsuccessful contact attempt: 1.

Find the Lead or customer on the Lead List page.

2.

Double-click the row with the customer’s name to open the Lead Profile.

3.

Click Add Contact Attempt on the Lead Profile Menu bar to open the Lead – Contact Attempts page.

4.

This screen shows previous contact attempts, if any. To enter a new contact attempt, click Add Contact Attempts. The Contact Attempt Details page opens.

Select the Attempt Type from the dropdown list.

Enter any useful remarks in Comments.

Click the Save Contact Attempt button. The previous screen will return, showing the contact attempt that you just entered.

Add Notes The Add Notes button on the Menu bar allows you to enter notes about the lead. Note: This process requires a Lead number, so the button will display only if a DMRI has been processed. Follow these procedures: 1.

Find the Lead or customer on the Lead List page.

2.

Double-click the row with the customer’s name to open the Lead Profile.

3.

Click Add Note on the Lead Profile Menu Bar to open the Lead – Notes page.

This screen shows any previous notes. To enter a new note, click Add Note. The Notes Detail page opens.

Tablet PC Entering Enrollments You can enroll the Lead or customer in EMAPS after an appointment, or if you are at the site, after running a passed DMRI. 1.

Find the Lead or customer on the Lead List page.

2.

Double-click the row with the customer’s name to open the Lead Profile.

3.

Select Enrolled in the Disposition dropdown list.

4.

Click Process on the Lead Profile Menu bar.

5.

The screen will show the Contractor Agency and outreach worker. Do not enter information unless these fields are blank.

Lead Not Enrolled If the Lead is not being enrolled, you will assign a disposition of Cancelled, Refused, or Rejected. You must assign Cancelled as the disposition if there were three unsuccessful attempts to contact the customer or if the customer was a no-show for three appointments. 6.

Select Cancelled, Refused, or Rejected from the Disposition dropdown list.

7.

Select the Reason in the dropdown list. Different Reasons will correspond to the Dispositions.

8.

Click Process on the Lead Profile Menu Bar.

Tablet PC Completing Customer Application Information After creating a Lead, the next step is to complete the Customer Application Workflow Step. Instead of completing the Customer Application Form by hand, you will enter the data in the Tablet PC. However, if you cannot obtain all required information during the visit to the customer’s home, you must use paper forms and submit them to your agency. To enter the application: 1.

Click Enrollments on the Menu bar to open the Enrollment page.

2.

Click the Customer Information tab, if it is not already selected.

3.

Enter or select the information in the top portion of the screen.

4.

Check the Sub-Metered checkbox, which displays only if the Meter Type is Master. Note: This field is not shown in the illustration above.

5.

Enter any useful information in Comments.

6.

Click the sub-tabs to enter or verify additional data.

Tablet PC Complete the Sub-Tabs Meter Address Sub-Tab The first sub-tab shows the meter address (also shown in the illustration above). This information cannot be edited.

Installation Address Sub-Tab The second sub-tab, Installation Address, will show either the Meter Address or the Site Address, as specified in the Site Address field on the Lead Profile. This information cannot be edited.

Mailing Address Sub-Tab 7.

In the Mailing Address sub-tab, a checkmark will appear (if applicable) in the Mailing Address is same as Service Address box. To change to another mailing address, click the box to remove the checkmark and enable the address fields. If box is not checked (the default) and you are changing the mailing address to the service address, click the box to enter a check mark. The screen will display the changed information.

If the mailing address is a Post Office box, click the PO Box button to view the address.

Owner’s Info/Address Sub-Tab 9.

Enter information in the Owner's Info/Address sub-tab if the applicant is not the owner of the home (that is, the Occupancy Status is Renter/Tenant), as follows:

Owner Agreement Type – Select the applicable form in the dropdown list, and



Owner Sign Date – Enter the date the owner signed the agreement form.

If the Owner Agreement Type is: •

Declaration of Refrigerator Ownership, click the Applicant is Refrigerator Owner check box. You do not need to fill in the address information.



Owner's Authorization and Waiver, complete the fields for the Homeowner's Name, Phone, and address.

Applicant Info Sub-Tab The screen has fields for the applicant’s name, E-mail and phone from the Lead Profile. Enter changes only if needed.

Note: EMAPS will automatically validate that the E-mail address is in a correct format.

Tablet PC Scan Documents Scan the Owner’s Authorization and Waiver Form if you obtained the owner’s signature for leads when the occupant is a renter or tenant. Note: Remember, you can now scan documents at any time during the enrollment procedure. Click the Scan Documents button to open the Scan Document window.

Tablet PC Enter Customer Eligibility After the Customer Information is entered, follow these steps to enter data on all occupants that live in the home and determine if the applicant is eligible for the program. The system will look at the number of occupants and the total household income to determine if the customer is eligible: 1.

Click the Eligibility tab.

2.

Change or update information only if needed.

3.

To add additional occupants, click Add Occupant Row.

4.

Complete the following fields if the Lead Type requires income qualification and the customer is not CARE-verified: • • • •

Occupant First Name Occupant Last Name Relationship to Applicant, and Annual Income.

Note: If Other is selected in the Relationship to Applicant field, describe the relationship in the Doc Info screen. 5.

Click Income Qualify for only one person.

6.

Select the following icons only if applicable: -- Deletes the row. -- Adds a new row to the list of occupants with all the information copied. -- Opens the Display Info window, which shows all the scanned documents for the household member.

Tablet PC Enter Measures Outreach workers will enter all measures they have installed during their visit on the Tablet PC, but will not enter the fees. Instead, the Contractor or Agency administrators will add fees when they process the Customer Application Workflow Step. To enter the measures, follow these steps: 1.

Click the Measures tab.

2.

Follow this procedure to enter a measure: •

In the Select Measures area, select the measure from the dropdown list. You may enter a measure more than once.



Select the quantity in the next blank field.

The measure will display on the bottom of the screen in the Measures frame. 3.

Enter any information concerning the measure in Comments.

4.

The icon displays if you need to enter measure properties for the selected measure. Click the icon to open the Measure Properties pop-up. See the illustration on the next page.

Enter the Home Assessment After creating a Lead, the next step is to complete the Customer Application and Home Assessment. Instead of completing the Home Assessment Form by hand, you will enter the data in the Tablet PC. However, if you cannot obtain all required information during the visit to the customer’s home, you must use paper forms and submit them to your agency. 1.

Tablet PC E-mailing or Printing the Customer Agreement and T&Cs The system will display an Agreement Certification pop-up with a dropdown menu labeled Agreement Certification Delivery Method. The options are Email or Print.

The "Agreement Certification" includes two forms: •

The Customer Agreement, and



The "Terms and Conditions" (T&Cs), which include an Applicant's Declaration and a Statement of Understanding. See the illustrations on the next 2 pages.

If you select Email, the Customer Agreement and the T&Cs will be sent to the customer's E-mail address as PDF files, and a pop-up will display a confirmation message.



If you select Print, a Print dialog box displays.

There are two options for printing out the forms: •

Option 1: To print both forms on plain paper. click the Page Range > All radio button in the Print dialog box, then click Print.



Option 2: To print the Customer Agreement on paper that has the T&Cs pre-printed on the other side, click the Page Range > Pages radio button, enter 1 in the Pages field, then click Print.

Give the printed Customer Agreement and T&Cs to the customer. Note: You may also reprint the Customer Agreement from the Tools menu. Click Tools on the Menu Bar of the Enrollment Profile. To ensure that the agreement fits on one page, shrink the disclaimers.

Upon request, I agree to provide proof of gross household annual income. Southern California Edison Company (“Edison”) reserves the right to modify or discontinue the Energy Savings Assistance ("ESA") Program at its discretion, without prior notice, or by order of the California Public Utilities Commission. I understand that the ESA Program is subject to availability of funds. I understand that if I qualify, I may receive one or more of the following services (“Measures”) at no cost to me: Refrigerator Replacement, Outdoor Fixture Replacement, Compact Fluorescent Lamps, Torchiere Replacement, Pool Pump Replacement, Weatherization, and if I live in an approved climate zone, Room Air Conditioner Replacement, Evaporative Cooler Installation, Central Air Conditioner Replacement / Maintenance, Power Saving Surge Protector. I understand that, if I qualify and receive certain specific Measures, including but not limited to Room Air Conditioner Replacement, Evaporative Cooler Installation, and Refrigerator Replacement, a properly grounded electrical outlet must exist in the Residence in order for the Contractor to install those Measures. Applicable to Resident Homeowners Only: If work will be required to ground an electrical outlet in the Residence (the “Outlet Grounding”), I hereby authorize Contractor to perform this work at no cost to me. Applicable to Resident Homeowners Only: I acknowledge and agree that Edison shall not be liable for any damages or losses arising out of any act or omission of Contractor or any subcontractor of Contractor in performing the Outlet Grounding, and I hereby waive any and all claims against Edison that may arise in connection with the Outlet Grounding. I agree to hold Contractor solely responsible for the performance of the Outlet Grounding and for any and all claims, losses, liabilities, damages and expenses (including attorneys’ fees and costs) that I may incur as a result of such Outlet Grounding. Applicable to Renters/Tenants Only: If I qualify and receive any Measures, I agree that as a tenant who resides at these premises, I must obtain the homeowner’s approval in writing by completing in its entirety the separate Owner's Authorization and Waiver Form prior to receiving any Measures. Applicable to Renters/Tenants Only: If I qualify and receive any Measures, I understand that the installation may be contingent on a nonrefundable co-payment paid directly to the Contractor by the Owner of the appliance(s) being replaced. I acknowledge that Edison is not in receipt of any monies related to the co-payment. I understand that the non-refundable co-payment will be made directly to the Contractor, and acknowledge that Edison shall not be liable in any manner whatsoever for any damages or losses that arise out of or in connection with the installation of the Measures, including, but not limited to, the installation or the operation of any equipment. Applicable to Renters/Tenants Only: If I qualify and receive Measures, I agree that as a tenant who resides at these premises, I will not remove at any time the installed conservation improvements, with this exception: If I own the appliance, which will be replaced by a new appliance provided by Edison, I may remove the new appliance. If I do not own the appliance that will be replaced by a new appliance provided by EDISON, I will not at any time remove the new appliance without permission from the Owner of the old appliance to be replaced. I understand that if I qualify and receive services, Edison has the right to inspect the Measures and/or the Outlet Grounding. I agree to allow Edison and if applicable, local government representatives reasonable access to my home for this purpose. I acknowledge and agree that Edison shall not be liable for any damages or losses arising out of any act or omission of Contractor or any employee or agent of Contractor in the performance of any activities in connection with the ESA Program, including, without limitation, the performance of an ESA Program home assessment and the installation of any and all ESA Program measures (the “ESA Program Activities”). I hereby waive any and all claims against Edison that may arise out of the ESA Program Activities, and I agree to hold the Contractor solely responsible for any and all claims, losses, liabilities, damages and expenses (including attorneys’ fees and costs) that may incur as a result of the ESA Program Activities. I acknowledge that the Contractor has been authorized by Edison to contact me only with regard to the performance of an ESA home assessment and the installation of ESA Program Measures (including Outlet Grounding, if required). I understand that any other services, installations, improvements or equipment provided to me by Contractor have not been authorized by Edison, and Edison assumes no responsibility. I understand that I am entitled to receive a copy of this ESA Program Enrollment Form from the Contractor for my records. I understand that if I have questions about the work to be performed by the Contractor, or in regard to this Enrollment Form, I may contact Edison directly at (800) 736-4777 for additional information before signing this Enrollment Form. Confidentiality: I understand that Edison and the Contractor will treat the Applicant Information and Household Income Worksheet sections of this Enrollment Form as confidential information. However, I acknowledge that Edison may use this information and/or enroll me in other utility assistance programs if I meet certain income guidelines.

STATEMENT OF UNDERSTANDING In order to make this program cost-effective and offer it to as many qualified customers as possible, Edison and its contractors purchase high-quality, ENERGYSTAR®-qualified appliances and/or equipment in bulk. As a result, the ESA Program offers customers a limited number of energy-efficient models to help reduce energy bills. Replacement units may not be equipped with the same features as existing units. At the time of installation, the installation contractor will provide written warranty information and instructions specific to each Measure installed. The length of each warranty varies by Measure, but comes with a minimum two-year parts and labor. [Refrigerators only: The replacement refrigerators offered by the ESA Program are top-freezer models available only in white. The size of the replacement refrigerator will be approximately equal to the size of the existing unit. When two units are exchanged for a single unit, the replacement unit may not be larger than the combined size of the two existing units, and may not be larger than 23 cubic feet in any case. Tablet PC Searching for Completed Enrollments After a lead is converted to an enrollment it can be accessed on the Enrollments List. The Enrollments List will allow users to search for Customer Application Workflow Steps that have not been completed and are assigned to the tablet user. 1.

Click Enrollments on the Menu Bar to open the Enrollment List page.

Tablet PC Agency Processing of Workflow Steps After the enrollment is processed on the Tablet PC, the Customer Application and Home Assessment Workflow Steps (WFS) will receive a status of Tablet – Review in EMAPS. Agency users will first access the Customer Application Workflow Step. They will validate the data and check any fees that apply to the enrollment. After that, they will access the Home Assessment Workflow Step, validate the data, and check the fees.
