Elements of the Editing Page Editing To the left you see your own menu. You will have the same menu, even when you visit the editing page of another person. CV for ... Here you shift between the nine subpages that are used for editing data about Basic Information; Education/ Work Experience/Courses; Teaching/Academic Supervision; Research; Activities; Electronic Election; Attached files, and My Page. You are the Editor of the Following Persons: Contains a list of the persons of whom you have editing rights. You cannot change this list yourself, as it is the persons of whom you are editor who attaches you. The Following Persons are Your Editors: Persons to whom you have assigned the right to edit your data are listed here. Editors can be removed from the list by clicking 'Remove' against the individual name. Settings •

´Attach Editor´ opens a new window where you can search for the person in question. Search on name or employee ID. While you write, the PDS will find the persons who match the entered characters. Use the arrow keys to choose the person who is going to be your profile editor. Then attach that person.



Switch to English language – Shift language.

Log out – You will log out from the PDS.

The administrator has the following additional menu options: •

User role – You may edit your own fields



Telephone data editor – You may search for other persons´ editing pages and edit the fields Name; Work Address; Official E-mail.



Electronic election editor – You may search for other persons´ editing pages and edit the fields ´Electronic Election´ and ´Data Basis´.



Administrator – You may search for other persons´ editing pages and edit all fields.

Pages Data is edited through nine pages divided into topics. When you have entered or edited data, remember to click ‘Save’ at the bottom of the screen.

Basic Information At the top of the page is displayed photograph, contact data, date of latest updating, employee ID and employment data. • • • •

Nicknames o If you enter a nickname, this will replace your formal name in your personal profile. Academic degree Designation of Functions o Is used when the designation of occupation does not describe functions adequately. Work Address o The address which is your main address should be listed first. This address will be displayed on your personal profile. You can change the order of listing by using the blue arrows. o If you hold two occupations, you must open the drop-down menu and mark which occupation belongs to which address. o Please list telephone numbers in order of priority. o The data entered in the address field is validated by the system. If you have made an error while entering data, a yellow field with a warning will be shown. Correct your data, and the warning will disappear. Invalid data will normally not be saved.

Electronic Elections •

Electronic Elections, Data Basis o Data is used in connection with elections to AAU bodies. Information about this may be found at the election website of the Portal.

Photos • Publication of employee photos for ‘Admission card’. o Here you must consider whether you accept that this photo is published. The photo will be used as default profile photo in your personal profile. •

Photos o Here you may upload photos to your personal profile. In connection with uploading it is possible to adapt the uploaded photo. You may choose to adapt it to a portrait or landscape format. You may also choose between two different sizes. Please note the maximum and minimum size limits applying when adapting a photo. o You may write a brief description of the photo. o Copyright. If you are not the holder of full copyrights of the photo, you should state the name of the photographer. The name will then appear together with the photo in your personal profile. o Consent for publication. To upload a file, you must accept the agreement for publication.



Profile photo o If you wish to use an uploaded photo as profile photo, you may select this by ticking. Only photos in a portrait format may be selected as profile photos. You are always welcome to upload and select a new profile photo.

Attached files You should not upload files which contain confidential and personal data pursuant to the Act on Processing of Personal Data. The files will be publicly accessible and will be shown, for instance, via your personal profile at www.aau.dk • Files o Here it is possible to upload files: pdf, word, power point, excel. Notice max. size 10 mb. • CV-file o Here it is possible to add to data entered in PDS by uploading your personal CV in a pdf format. • CV-file in English o Here it is possible to add to data entered in PDS by uploading your personal CV in English, in a pdf format. The content on this page will appear on your personal profile under the menu item ATTACHED

FILES. My page • My page active o Tick off this box if you would like ’My page’ to be the entrance page in your personal profile. This function may be switched on and off according to your current needs. • My page contents o Here it is possible to enter relevant information of your own choice. You may also attach photos. • Link image to 'My Page' The content on this page will appear on your personal profile under the menu item MY PAGE. Overview Shows the status of your data. •

All Public Data o A list of data exposed in the Personal Profile. This data can be used on other web pages under the AAU Portal.



Protected Data o A list of data which is not exposed in other systems as default.

Personal PDS blog o You have the option of creating your own blog. It will be displayed via your personal profile as a website and as an RSS feed. o It is possible to attach photos when editing blog entries. It is not possible to scale photos for blog entries. External blog o If you wish a link for an external blog to appear in your personal profile, you may type in URL. o External blog URL o External RSS URL
