Approval of Conference Call #4 Minutes Ms. Callaway asked that the minutes be revised to reflect her presence at the meeting. Her presence was noted in the revised minutes. Ms. Schopplein moved to approve the revised minutes, Mr. Nix seconded. The revised conference call minutes were approved without further discussion. 6. Overview Reports A. Chair’s Report (Mike Pouchak) Mr. Pouchak discussed the items ECC is currently involved with such as the alignment of the ECC strategic plan and the request from ExCom to revise the social media policy. B.

Vice Chair’s Report (John Nix) Mr. Nix discussed the progress made by ECC so far during SY 2014-2015 and ECC’s efforts to align their work to the larger goals of the Society through alignment with the Society’s strategic plan.

Staff Report (Joslyn Ratcliff) Ms. Ratcliff discussed the recent redesign of High Performing Buildings Magazine’s website and launch of the associated app, the ability to post comments being available on ASHRAE.org, and the redesign and move of ASHRAExCHANGE℠ to an external server on updated software.

7. The request from ExCom to revise the ROB (Web policy for ASHRAE groups) regarding social media policy was discussed at length and the revisions from the social media subcommittee were reviewed in depth.

Mr. Pouchak called for a motion to approve the changes put forth by the ECC social media subcommittee.

Ms. Androff moved to put forth the changes to the policy to the functional subcommittee of PEC. Mr. Galler seconded. Mr. Faulkner moved to table the vote on this motion until the end of the ECC meeting to have time to word the motion. Mr. Murthy seconded. Motion was tabled. (10-0-0) Ms. Androff moved to un-table the vote on this motion. Ms. Callaway seconded. Mr. Pouchak called for a vote on the motion on the table.

ECC – Motion #02 –012415 ECC recommends that PEC approve and pass to SRC the ASHRAE Policy and Procedure for Format, Activity, and Content of Web Sites for ASHRAE Groups (ROB 1.201.010) be revised to include:  reference to “social media” in the title of the policy  clarification that only ASHRAE groups, not individuals, may establish social media pages with ASHRAE in the title  that ASHRAE group social media pages must be tied to ASHRAE positional e-mail aliases PASSED (8-0-0, CNV) (Attachment C: Motion and full text of the changes recommended.) 8. Subcommittee Reports A.

ECC Strategic Planning Subcommittee Mr. Pouchak asked for the committee to review the recent changes to the ASHRAE ECC Strategic Plan to be ready to vote at the next ECC conference call. ATTACHMENT D: ECC Strategic Plan, Last revised 1/29/2015

Electronic Collaboration Tools Subcommittee Ms. Callaway led a review of the survey to be sent to the trial user group of fourteen projects. The survey will be finalized for a send date as planned.

C.

Websites Subcommittee Mr. Galler sent a survey to 20 webmasters, 5 of which answered questions and asked questions in regard to the policy. The document with details has been posted to Basecamp. A next step would be to refine or to send out to all the chapters as-is. Mr. Potter created a comprehensive document that examines each ASHRAE chapter and Region website in

regard to compliance for thirteen points in Mr. Galler’s document. Mr. Potter plans to summarize his research to serve as a basis for potential future updates to the Web Policy for ASHRAE groups. Two different issues are noted: meeting the needs of the members and complying with the policy. Mr. Morasch suggested an option that recommendations be suggested for the Manual of Chapter Operations, potentially in parallel to any ROB changes to the policy that may be identified. Any suggestions / changes should be consistent throughout. Mr. Morasch suggested to poll the RECC where that position is filled. Ms. Androff suggested that appropriate points regarding website updates be put into the PAOE criteria, specifically in a way that forces them to read the policy and comply with multiple points. Ms. Callaway offered that it’s important to let PEAC know now if ECC will suggest changes to the PAOE . Action Item to Mr. Potter: Create a best practices PPT for use by Chapters ATTACHMENT E: Web site survey ATTACHMENT F: Web site comprehensive document

Social Media Subcommittee (Pam Androff) Ms. Androff discussed the MBOs for the subcommittee. A PowerPoint presentation has been created by Heather Schopplein to be shared at CRCs and sent out to RECCs as appropriate. Ms. Androff and Ms. Schopplein, with assistance as needed from Mr. Murthy, will plan to submit a seminar for Atlanta regarding social media that contains the following: Track 1) overview Track 2) social media best practices for ASHRAE groups Track 3) using social media for your business / as an individual. Ms. Callaway suggested talking to TC 1.7. The subcommittee has been working on developing hypotheses for best social media posts. For example, does a funny photo get more traction than a link to an ASHRAE Journal article? The San Diego and Atlanta chapter Facebook pages as well as the ASHRAE Society page will likely be used as test cases. The subcommittee will use the results of the research in an effort to increase engagement on the ASHRAE Facebook pages. Ms. Androff would like to create a “someday maybe” list for SMS. One item would be use of hashtags.

ECC – Motion #01 –12092014 PASSED (6-0-0 CNV) (Attachment A: Conference Call #3 Meeting Minutes) 6. Overview Reports A. BOD Ex-Officio’s Report (Daryl Boyce) Mr. Boyce mentioned the Excom initiative assigned to Chuck Gulledge regarding social media policy documentation updates. Another item of focus for ECC should be strategic planning initiatives in order for ECC to be ready to discuss progress in Chicago as it relates to alignment of ECC objectives with the new ASHRAE strategic plan. Mr. Boyce informed the committee that he is on the call to listen and be available to assist as needed. B.

Chair’s Report (Mike Pouchak) Mr. Pouchak provided an update on ECC initiatives. MBOs have been completed and submitted to PEC. In addition, each subcommittee also has its own MBOs, which are posted to Basecamp. Mr. Pouchak encouraged the committee to continue using Basecamp for communication and collaboration. A file index system has been set up in Basecamp.

Vice Chair’s Report (John Nix) Mr. Nix has been working with Mr. Pouchak on the ECC strategic plan revisions to ensure that the ECC Strategic Plan (ECCSP) is in alignment with the new ASHRAE strategic plan. Areas where the ECCSP matches up have been identified, and subcommittees have reviewed to ensure that the ECCSP continues to remain in line with larger ASHRAE Strategic Plan.

Staff Report (Joslyn Ratcliff) Ms. Ratcliff offered to help the committee with items they may need assistance with prior to Chicago.

7. Subcommittee Reports A.

ECC Strategic Planning Subcommittee (ESP) (Mike Pouchak / John Nix) The subcommittee has met once and is planning another meeting. A draft of the revisions to the ECCSP will be available for review prior to Chicago. In reviewing the ECCSP many opportunities were identified where ECC work could benefit groups across ASHRAE. For example, almost each group within ASHRAE could somehow benefit from networking, collaboration, policies, that have been developed by ECC.

B.

Electronic Collaboration Tools Subcommittee (ECT) (Cindy Callaway) A draft survey for Basecamp trial users has been prepared and is posted on Basecamp. It needs review/comment by the subcommittee. Ms. Callaway is in the process of getting the Basecamp presentation and User’s Guide fleshed out. Good and unsolicited feedback from groups participating on the Basecamp trial has been received. How Basecamp is applied to ASHRAE is a consideration. A need exists for policy and procedure to be developed surrounding Basecamp use. A conference call with the subcommittee will be set up for the first of the year prior to Chicago. Ms. Callaway would like to investigate potential for an informal get-together among Basecamp test users while in Chicago to receive face-to-face feedback and establish dialog regarding pros/cons, general experience of using Basecamp. ECT MBOs were reviewed and will be updated regarding progress and to remove MBOs that can be fulfilled by the Websites subcommittee.

C.

Social Media Subcommittee (SMS) (Pam Androff) Ms. Ratcliff gave a report for Ms. Androff based am e-mail update Ms. Androff’s provided prior to the conference call. The SMS will meet Friday evening at the Chicago meeting. Ms. Schopplein is working on updating the PPT and Ms. Androff will work on the Facebook (FB) page. Ms. Androff will look at ECC promotion via FB/Twitter to promote their attendance at ASHRAE & AHR. Mr. Nix asked if the ECC Facebook page has been updated, Ms. Schopplein has been updating and has noted a few new likes; if anyone has anything to post it can be sent to her. She cautioned that an issue needing addressed is that passwords need to be available in perpetuity for any accounts set up under ASHRAE aliases. Mr. Galler suggested setting up ASHRAE social media presences using the existing ASHRAE e-mail alias system. Mr. Pouchak suggested the creation of draft guidance to those effects and offered that a possible option to consider would be having a

named ASHRAE staff member with the information. D.

Websites Subcommittee (Mike Galler) Mr. Galler has prepared a cover letter to chapter webmasters. Mr. Pouchak asked that MBOs for the subcommittee be updated.

6. Overview Reports A. Chair’s Report (Mike Pouchak) – Mr. Pouchak provided an overview of the status of ECC, highlighting successes of Basecamp specifically during the fall PEC meeting. He empowered the subcommittee chairs to work within their subcommittees on their MBOs and action items. B.

Vice Chair’s Report (John Nix) – Mr. Nix gave a recap of the PEC meeting of Oct. 23, stating that ECC’s MBOs are up to date and in line with the new ASHRAE Strategic Plan, ECC is continuing to work on enhanced visibility among ASHRAE groups, ECC has its own Facebook page, and that the Basecamp trial is going well with 10 (now 12 since funding has been approved) projects. ECC indicated to PEC that a survey will be prepared by ECT and ECC’s Strategic Plan revisions are hopeful for the winter meeting. He thanked the subcommittee chairs for having their MBOs complete.

Coordinating Officer’s Report (Mark Fly) – Mr. Fly mentioned the interest of PEC in Basecamp as a tool and foreshadowed direction to come to ECC regarding the need for policies and procedures to be developed.

Staff Report (Joslyn Ratcliff) – Ms. Ratcliff mentioned that ECC will likely be busy with items in terms of Social Media and Basecamp, Ms. Ratcliff is here to help with any items as needed.

7. Subcommittee Reports A.

ECC Strategic Planning Subcommittee (Mike Pouchak / John Nix) A draft of the strategic plan (SP) has been posted on Basecamp. The subcommittee will ensure that the SP will be revised to be in line with the new ASHRAE SP.

Feedback is most welcome from the entire committee. B.

Electronic Collaboration Tools Subcommittee (Cindy Callaway) The subcommittee met October 23. Revised MBOs exist as a result of the meeting. The revised MBOs have been reposted them to Basecamp. ECT is looking to have a survey on Basecamp approved in Chicago for distribution by March 2015. (March in case there are tweaks needed after Chicago). Preparations are underway for formidable discussions at the Atlanta (annual) meeting. Ms. Callaway will schedule a second conference call for the future. Regarding team make-up, with approval from Cindy received on the call, Mr. Potter will be starting and maintaining a web applications subcommittee as a separate entity in the future. Mr. Potter will edit the text document in Basecamp to reflect the new subcommittee.

C.

Social Media Subcommittee (Pam Androff) The subcommittee met on Sept. 28 and minutes are posted on Basecamp. The subcommittee has three MBOs for the year, which Ms. Androff detailed during her report. MBOs are posted to Basecamp and Ms. Androff will be reaching out to the subcommittee to possibly schedule a future call and/or take volunteers to help complete the established goals.

8. Report on Action Items (Attachment B: ECC Action Items) 9. New Business this Meeting Dissolving the Google Site – the Google site will be dissolved in favor of Basecamp. Ms. Ratcliff will retain the site for historical/ staff purposes, but ECC work will now take place on Basecamp instead of on the Google site. Subcommittee meetings in Chicago – the committee may or may not have subcommittee meetings in Chicago. Ms. Ratcliff to check with Ms. Marshall regarding availability. Mr. Potter discussed reforming the subcommittee on web applications / websites. Mr. Pouchak mentioned the policies in place may need to be reviewed over time as well as the issues of the non-standardization among various web sites. Mr. Potter would like to look closely at the current guidelines and make recommendations as to what should be offered on (chapter and regional) websites as a minimum. Ms. Schopplein – asked for clarity about the RECC (Regions Electronic Communications) position. Ms. Ratcliff to pull up descriptions of RECC and CECC and post to Basecamp.

Background Information: The Electronic Communications Committee (ECC) was tasked by BOD Executive Committee through Vice President Chuck Gulledge to review the ASHRAE Policy and Procedure for Format, Activity, and Content of Web Sites for ASHRAE Groups (ROB 1.201.010) (also known as Web Policy for ASHRAE Groups) “to ensure that ASHRAE has control of URL’s, Titles, Hashtags, etc. concerning current and expired ASHRAE positions.” The complete recommended changes to the ASHRAE Policy and Procedure for Format, Activity, and Content of Web Sites for ASHRAE Groups (ROB 1.201.010) are included in the attachment to this motion. As defined by Wikipedia, social media is a set of computer-mediated tools that allow people to create, share or exchange information, ideas, and pictures/videos in virtual communities and networks. Some examples of social media sites are: Facebook, Twitter, Pinterest, Instagram, and Tumblr. Social media sites can be owned by groups (e.g. “The White House”) or by individuals (e.g. “Barack Obama”). The revised policy requires that only ASHRAE groups may use the word “ASHRAE” in their title. The log in (and therefore account owner) for the site must be an ASHRAE e-mail alias, and the site should have the ASHRAE disclaimer. Individual ASHRAE members may not use the ASHRAE name nor ASHRAE logo in the title of their individual social media site. This follows social media best practices (e.g. “The White House” and “Barack Obama”).

ASHRAE Policy and Procedure for Format, Activity, and Content of W eb Internet Sites for ASHRAE Groups (12-06-27-20) This policy applies to Internet sites such as web sites and social media pages web sites on the Internet developed and maintained by ASHRAE groups including Standing Committees, Chapters, Student Branches, Regions, and Technical Committees (TCs). An ASHRAE group that develops a(n) World Wide Web Internet site(s) shall follow these guidelines, which provide further definition to what is stated in the restrictions stated in the General Rules of ASHRAE’s Rules of the Board: “2.101.005 Restrictions / 2.101.005.1 / 74-06-23-21: Matters pertaining solely to politics, religion, or trade are considered inappropriate for a technical society and therefore shall not be a subject of discussion at meetings of the Society or be included in any of its publications.”

A. Web site Hosting - ASHRAE encourages ASHRAE groups to use web sites for internal and external communication. 1. ASHRAE makes server space available to chapters, regions, and technical committees for web site housing. 2. A section of the Society’s web site is dedicated to the posting of information pertaining to activities of each of the Society’s Standing Committees. The committees direct staff liaisons as to what information should be posted on the site and submitted to the Society's webmaster. Then, just as the editors of ASHRAE Journal and ASHRAE Insights use editorial judgment in the preparation of editorial content, the webmaster uses his/her judgment in placing the information in the appropriate section of the Society's web site. 3. If Society Standing Committees wish to make more extensive use of the Internet for communication, they may establish a web site on a non-Society server provided they follow the ASHRAE web site policy and they do not post ASHRAE information protected by copyright nor information that is competitive with Society activity. Such sites will be linked from the Society’s web site, but no staffing resources are to be used in their establishment and maintenance. 4. ASHRAE does not make server space available to Student Branches. 5. Social Network Sites, Pages or Groups established and managed by an ASHRAE group: If a Society group (e.g., Standing Committee, Chapter, Region, Student Branch, TC/TG/SSPC) wishes to make more extensive use of the Internet for communication, it may utilize a social networking site provided it follows the ASHRAE web site policy and commercialism policy and does not post ASHRAE information protected by copyright nor information that is competitive with Society activity. 6. ASHRAE shall assign appropriate URLs for hosted groups as needed. Insofar as possible, the URLs shall be designated with the intent of clarity, consistency, and simplicity.

B. Web Internet Site Designation - Web Sites developed by ASHRAE groups shall be titled as follows: 1. Chapter web sites shall be titled: "ASHRAE (registered symbol) (chapter name) Chapter." 2. Student branch web sites shall be titled: "ASHRAE (registered symbol) (branch name) Student Branch." 3. Regional web sites shall be titled: "ASHRAE (registered symbol) Region (region number)." 4. TC web sites shall be titled: "ASHRAE (registered symbol) Technical Committee (TC number) 'TC name.'” 5. Web sites of Standing Committees sites shall be titled: "ASHRAE (registered symbol) (Name of Committee). 6. ASHRAE shall assign appropriate URLs for hosted groups as needed. Insofar as possible, the URLs shall be designated with the intent of clarity, consistency, and simplicity If a site has restrictions on the formatting of identifiers, then the identifier used should be as close as possible.

C. Multiple Sites - All web Internet site content posted by each ASHRAE group shall be available for navigation through a single home page via the group’s web site. D. Disclaimer - Web Sites must prominently feature an appropriate disclaimer on the home screen page (first screen), as follows: 1. Standing Committee, Regional and TC sites shall include the statement: "This web site describes the activities of (Name of Standing Committee) or Region (region number) or Technical Committee (TC number) of ASHRAE. It does not present official positions of the Society nor reflect Society policy. ASHRAE is not responsible for this site's content. To learn more about ASHRAE activities on an international level, contact the ASHRAE homepage at http://www.ashrae.org." (This address must be linked to the Society's home page.) 2. Chapter and Student Branch sites shall include the statement: "This web site is maintained by the (name of Chapter or Student Branch) of ASHRAE. All material on a web site must be reviewed for appropriateness of material and timeliness. All material that is posted on a web site must be approved for posting by the chair or president of the ASHRAE group. Format of the web site must be approved by the ASHRAE group. 2. Rosters published on web sites will conform to ASHRAE’s Security and Privacy

Policy. 3. Content posted on web sites must not violate copyright policies nor infringe on intellectual property rights (including those of ASHRAE as represented in its copyrights) and must reflect the professional standards of ASHRAE. 4. may not endorse nor describe or state by name products, services and companies, except to identify the business affiliations of persons named on the site. Links may be provided only to other ASHRAE web sites and to noncommercial sites if the purpose is clearly for information only. Before the link is executed, viewers must see a message indicating that they are leaving the ASHRAE group’s web site and that ASHRAE does not endorse the content of the target web page. Company URLs may not be posted and no links to company sites are allowed except as provided in 8H.4. 2. J. Link to ASHRAE 1. Each web site must link to the Society's home page. 2. The Society will provide a link to the chapter's home page, providing that the chapter has followed these standards. 3. Procedures for ASHRAE Hosted Sites a. An ASHRAE region, chapter, or TC may develop a web site that may be hosted on the

Society's server. The site shall conform to the following requirements: b. Each regional director, chapter president, or TC chair shall designate a single individual to be the webmaster for that group or region. This person will be responsible for web site postings from that group or region. c. Files shall be uploaded to the ASHRAE hosted site by the group’s webmaster using the FTP procedure provided by staff. d. Files shall be uploaded in the following format: (Formats to be specified by staff.) e. Staff will not review files for content, but ASHRAE reserves the right to edit or remove material that conflicts with ASHRAE policies. f. Files for the web site shall occupy no more than 20 MB of hard drive space. g. Only the designated webmaster may upload files to the server. h. Links may be provided only to other ASHRAE web sites and to noncommercial sites. K. References to ASHRAE Products - W eb sites should refer Internet users to the Society's home page for pricing information about ASHRAE publications and Society programs. L. Site Review - ASHRAE staff will periodically review web sites with links from the Society Home Page web site. If a site is found to be in violation of any of these policies, the designated webmaster of the site will be notified to correct the violation. If the violation is not corrected, staff will remove the link to the site from the Society Home Page web site. M. Contact for Linking or Policy Questions - N. Background Who is ASHRAE? ASHRAE, founded in 1894, is an international organization of over 50,000 members. It is the world’s foremost technical society in the fields of heating, ventilating, air conditioning and refrigeration (HVAC&R). Through its meetings, research, standards writing, publishing and continued education, the Society helps keep indoor environments comfortable and productive, deliver healthy food to consumers and preserve the outdoor environment. In 2014 ASHRAE launched a new Strategic Plan. ASHRAE’s Electronic Communications Committee’s Strategic Plan seeks to advance the Goals and Initiatives of the ASHRAE Society-wide Strategic Plan. Therefore those Goals and Initiatives are noted in this document as reference. Alignment is noted beside each point in the ECC strategic plan, indicated as “G” for Goal and “I” for Initiative. The official ASHRAE Strategic Plan and supporting documentation may be found at http://www.ashrae.org/strategicplan There are 4 goals in the ASHRAE Society Strategic Plan (Starting 2014): 1. Foster vibrant, informed and engaged ASHRAE and industry communities. (G1) 2. Create learning experiences that enhance the knowledge and effectiveness of individuals who apply building sciences. (G2) 3. Develop, refine and optimize methods to increase awareness, adoption and application of ASHRAE's offerings. (G3) 4. Work collaboratively within the global community to increase the value, usefulness and accessibility of building sciences and technology. (G4) There are 4 initiatives in the ASHRAE Society Strategic Plan: “To achieve its four goals, ASHRAE will embark on the following initiatives.”

What is the Electronic Communications Committee (ECC)? As defined by the title, purpose, and scope (TPS), the Electronic Communications Committee identifies the electronic communication needs of the membership and staff, recommends and maintains policies, and ensures that the implementation of information technologies meets the objectives and needs of the

Society. ECC is multidisciplinary and works to meet the needs of multiple groups within ASHRAE that have different roles and goals. Within the ASHRAE Strategic Plan (Directions, Rationale and Strategies amended June 26, 2011), Direction 4: ASHRAE will be a global leader in the building and energy system community, strategy 4.8 is most relevant to the ECC. Strategy 4.8 states “Volunteer participation obstacles will be addressed through meeting planning and organization that is sensitive to global participation and incorporates electronic communication technology.”

History of the Electronic Communications Committee The ECC was founded in 2004 to help ASHRAE embrace and incorporate electronic communication technologies as appropriate to the needs and goals of the Society. It was a market transformation effort to help move ASHRAE into the electronic communication era. See appendix H in the ECC Reference Manual for details of accomplishments and history of ECC

The Role of the ECC within ASHRAE The ECC is a general standing committee of the Society and operates under the direction of the Board of Directors and Publishing and Education Council. Responsibilities and duties of the ECC are described in the ECC Manual of Procedures (MOP) and the ECC Reference Manual. Overall, the role of the ECC is to:  Create electronic communications policies and guidelines  Create, collect and disseminate electronic communications best practices  Support the evaluation and definition of new electronic and communication technologies and how they can be used in ASHRAE  Recommend and support development of training as appropriate to help ASHRAE staff and ASHRAE groups  Provide support to key ASHRAE electronic and communications initiatives including but not limited to ad hoc committees ECC operates at a “high level in ASHRAE”, and as such, it is important to note what areas do NOT fall in ECC’s role in ASHRAE. The following are simply listed as examples, but is not all inclusive:  ECC does NOT provide guidance on writing computer code.  ECC is NOT the home of ALL electronic tools (including “apps”) and detailed processes, however those tools including communication features may be considered.  ECC is NOT involved in day to day operations, maintenance and content of ASHRAE websites, social media pages, ASHRAE Wiki, the ASHRAExCHANGE℠ and other ongoing electronic communications tools. However, ECC IS involved with high level policies, guidance and direction regarding those electronic communications tools. Day to day operations, maintenance and

content normally fall under the ownership of the ASHRAE group and / or ASHRAE staff assigned as the “owner” ECC is NOT the ASHRAE “IT help desk” for all things electronic. The role of the ECC does NOT include maintaining and owning the technologies. However, ECC can make recommendations about who should own and maintain them.

Title, Purpose and Scope of the Electronic Communications Committee The Electronic Communications Committee provides leadership to ASHRAE members and staff to support electronic communication initiatives and the needs of the Society by providing strategic direction and policy guidance to support the implementation of electronic communications across the Society to keep up with the increasing pace of changes in technology to support ASHRAE’s goals.

Development of the Plan The Strategic Plan was developed collaboratively over time by ASHRAE’s Electronic Communications Committee (ECC) and past ECC chairs using the structure of the Publishing and Education Council Education Strategic Plan (April 23, 2012 version) as a guide. It was reviewed in 2014 to align with the most current ASHRAE Strategic Plan. Input was provided by members of the committee, past ECC chairs, ASHRAE staff and others through meetings and email. An initial list of goal topics was formed based on the input and deliberations of the committee. The finalized goal topics are documented in the plan under the strategic directives.

Near Term ECC Specific Topics for Development Below are specific topics that are currently on “ECC’s plate” for further development as of the most current revision date of this document:     





“Apps” (application specific programs) Language translation websites Emerging and popular IT and industry technologies Data integrity and security Web Meetings / Electronic and Physical (E & P) Meetings o Opportunities beyond paperless meetings and voice and video sharing; such as online forms to record attendance, meeting minutes, motions and votes to more effectively use volunteer and staff time. Social media (Facebook, LinkedIn, Twitter, Instagram, Tumbler, etc.). Make high level recommendations to ASHRAE Groups about how to incorporate these specialized websites into their operations. “Collaborative Tools” – Electronic tools that help support ASHRAE Groups to be more effective and efficient in their work – both within their group and outside the group. For example, sharing group files and data storage.

 

Determine how ECC can provide support and better interact with Society groups, such as regions, chapters, and TCs. Basecamp usage by ASHRAE Society-level groups including, but not limited to standing committees, technical committees, Regions, Chapters, and other groups within ASHRAE with a need for electronic collaboration. o Basecamp will allow subject matter experts (SMEs) to post information and communicate more effectively. Basecamp will allow for logging the entire development cycle. Analytics for big data. Understand communications technologies (i.e. private collaborative wiki-type tools) and products useful to Society. Create best practices, whitepapers, and YouTube videos of how interest to ECC and PEC. Identify a high-value search engine method for content. ASHRAE communication feedback tools that can improve user experience and feedback speed. Allow access to basic HVAC information with references to more advanced knowledge in the ASHRAE Handbook or domain knowledge. May include a topic index system. Assist with proper marketing of materials to match ASHRAE materials with customer needs.

Update on the response from sending out the draft guidance document to a subset of chapters: I have contacted 21 chapters. I have received responses from 5. Only two declined to participate: one was because they are transitioning to a new webmaster, the other needs to focus on other chapter activities. Two of the others also responded with their own questions and suggestions, including: · Please issue something similar for newsletters developed in PDF and in third party services (such as Constant Contact). · Are there any regulations for using PayPal or similar sites? · Please discuss how best to handle job postings (since there is company specific information and a possible conflict). · Are there any regulations for using a third party hosting service (such as Google Apps for Non Profits) and the logos and regulations they place on our site? · Are there any regulations for using chapter specific emails…[email protected] for example? and · We have two sections, the member section and the non-member section. The member section requires a login, it is ok to put the meeting minutes on the member side?

The remaining response and the two who asked questions did indicate that they found the document helpful. They did not provide additional feedback.
