1. Open Microsoft Outlook 2007 2. Goto the Tools menu and click Account Settings 3. Click the New button on the E-mail tab

4. At the Choose E-mail Service screen, select Microsoft Exchange, POP3, IMAP, or HTTP and click Next. 5. On the following screen (Auto Account Setup), check the “Manually configure server settings” checkbox at the bottom of the dialog box and click Next 6. On the following screen (Choose E-mail Service) select Internet E-mail and and click Next. 7. On the following screen (Internet E-mail Settings), populate all fields as shown below (substituting name, username, and email address for your own) and click Next.

7. Click Finish, then click Close. 8. You will be prompted for a password. Enter your normal network password and click OK Outlook will now begin downloading your GroupWise email “headers”. Headers download some information ABOUT the email (subject, date, sender) but not the CONTENTS (or Body) of the email, to include attachments. Were this an account that was remaining online, Outlook would download the message “on the fly” as you opened them, but because GroupWise is being taken offline, you must instruct Outlook to download the entire email and not just the header.

9. Goto the Tools menu and click Options 10. On the Mail Setup tab click the Send/Receive button

11. Select “All Accounts” and click the Edit button 12. From the Accounts vertical navigation pane on the left-hand side, select the bottom-most of the two account icons that appear. 13. Select Use custom behavior defined below 14. Right-click the top-level folder ([email protected]) and click Check All Subfolders 15. Select (single left-click) your Inbox folder 16. Select the Download complete item include attachments radio button (to the right of the folder)

17. Right-click on your Inbox folder and click Apply Option to All Checked Folders

At this point, all folders should be checked, and each folder should have Download complete item including attachments selected. Spot check a few folders to verify this is the case, then click OK. 18. Click Close, then click OK to return to the main Outlook screen 19. Press the [F9] key or click the Send/Receive button to begin the download Outlook will now begin downloading all of your GroupWise email. Your existing GroupWise folder structure will be preserved. Depending on the size of your mailbox, this process may take anywhere from a few minutes to upwards of an hour. Allow all tasks to complete. If any task fails, wait for all other tasks to complete, then press [F9] or click Send/Receive again to repeat the failed tasks.

After the download has completed, a mailbox file is created on your local C: drive. This file must be moved to your I: drive for you to be able to access it from anywhere. 20. Close the Microsoft Outlook client 21. Click the Start button and open the Control Panel 22. Double-click the Mail icon 23. Click the Data Files button 24. Select (left-click) your IMAP account ([email protected]). Note the filename listed there. 25. Click the Open Folder button

26. Select the proper file ([email protected] in the example above; the proper file will be selected automatically after clicking Open Folder). Cut the file ([Ctrl] + X or Edit > Cut) 27. Open your I: drive (through My Computer). Paste the file there ([Ctrl] + V or Edit > Paste) 28. Switch to the E-mail tab 29. Select the IMAP/SMTP account and click Remove. Click Yes when prompted for confirmation.

The remaining steps must be done at the workstation from which you require access to your GroupWise email

30. Open Microsoft Outlook 2007 31. Goto the Tools menu and click Account Settings 32. On the Data Files tab, click the Add button 33. Select Office Outlook Personal Folders File (.pst) and click OK 34. Browse to your I: drive, select the .pst file previously pasted there (step 27) and click OK 35. In the Name field, enter “GroupWise” and click OK (do not change any of the other fields) 36. Click Close 37. Breathe a sigh of relief – you are done! You should now see a group of folders called GroupWise in the Navigation Pane of Outlook, under your regular Exchange mailbox. You can view all of your old GroupWise email from here. Optionally, if you wish to bring your GroupWise mail into your existing Exchange account folders, you can drag & drop emails from your GroupWise folders into their corresponding Exchange folders.

You are now freed from the tethers of GroupWise! Please contact IT to coordinate removal of the GroupWise client from your machine. Doing so will eliminate any dual-client issues that may exist.
