System Distribution List (SDL) User Guide Overview A System Distribution List (SDL) lets users create a large list of message recipients (up to 5000 recipients per list). An SDL contains a list of individual members, a group of SDLs or a combination of both. Messages are not sent from the SDL, they are sent from a Talkmail or regular MessageManager mailbox.

I. How to Log On. 1. Launch your browser and log on to www.sasktel.com. 2. From the SaskTel.com homepage, under the Quick links menu, click on Manage my Voice Mail.

3. Enter a 7 digit System Distribution List number in the Phone Number field (area code + telephone number) see figure 2. 4. Enter your assigned 7 digit PIN. (The assigned PIN is your 7 digit System Distribution List number). 5. Click on LOG IN and it will take you to System Distribution List Home page.

II. Administering PINS Administrative password (PIN) is a PIN an owner or administrator of the account use to manage the SDL. The Administrator uses this PIN to add or delete members from the list and to create or remove user PIN. The assigned PIN should be changed for security reasons.

1. Click on My Account from the SDL Home page. Select the Security tab. 2. Select a new PIN and enter it in the New Administration PIN field. Reenter the New Administration PIN to confirm it. 3. Optional: If you want to control the use of the SDL enter a User PIN (password), between 4 and 15 digits long, in the User PIN field. If you no access control is desired leave the field blank. (If you assign a User PIN you must provide the User PIN to the users of the SDL.) 4. Enter your assigned Administration PIN in the Current Administration PIN field. 5. Click on Update.

6. Click on OK to return to the SDL home page.

III.

How to Name System Distribution List (SDL). 1. Click on My Account from the SDL Home page. 2. Click on SDL Description tab and type the name of the SDL in the Description field. (e.g. SaskTel Test SDL) 3. Click on Update. 4. Click on OK to return to the SDL Home page. Figure 4

How to Create System Distribution List (SDL). There are two ways to create an SDL. i.

Create a list using List Management at the SDL home page.

1. Click on List Management from SDL home page. 2. Enter the 10-digit phone number or the 7-digit SDL into New Member field separated with comma.

3. When you have entered all the numbers, click on the Add button and the numbers will appear in the List Members box. (Note: This function works both to create a new list or to add to an existing list of members) 4. Click on the OK button when finishe to save the changes.

ii. Import a list saved on a computer as a text file.

1. Create a file containing members of the System Distribution List. (Note: Only one phone number per line is allowed. There should be no dash or space in between the telephone number.) 2. Save the file as a text file on your computer.

3. Click on List Management from SDL home page. 4. Locate the list file saved on your computer using the browse button.

5. Click on Import button. A screen appears and warns you that the process will completely replace the existing SDL.

6. A screen will appear to advise that you have successfully updated your list. It also provides the number of members imported. 7. Click on OK to return to the SDL home page.

V. How to Export List members

1. Click on List Management from the SDL home page.

4. Click on Save and save the file to a folder on your computer.

5. A screen will appear and notify you the result of your export.

6. Click on OK to return to the SDL home page.

How to Use An SDL 1. Login to a mailbox capable of addressing to an SDL. Capable mailboxes are: - Centrex, Basic Business, Super Mailbox, Talkmail, Talkmail Enhanced and Super Talkmail 2. Compose a message by pressing 2 in the main menu. Or alternatively forward a message if desired by pressing 8 in the Message menu. 3. Record the message and when finished press #. 4. To send to an SDL, enter the 7-digit SDL mailbox number followed by the # key. Please note that this is the 7-digit SDL number and not a 10-digit mailbox number. 5. If prompted, enter the SDL user PIN. If no more destinations press #. For more destinations, press 5 in the send message menu and follow the instructions. 6. Press # when you finish entering. (NOTE: When sending to multiple destinations which include mailboxes enter the 10-digit mailbox number and wait for the send message menu. DO NOT press # after entering the mailbox number as it will be delivered immediately.)
