KAPOLEI GOLF CLUB BANQUET & CATERING INFORMATION AND AGREEMENT Kapolei Golf Club provides several banquet areas for your special occasion. We offer a selection of menus for breakfast, lunch and dinner and optional amenities to suit your needs. 

 

Main dining room offers a beautiful view of the golf course for groups of up to 250 guests. The Kapolei golf club reserves the right to partition off a section of the restaurant for parties with less than 125 guests. The tee room (minimum $600) can host groups up to 50 guests Outside lanai (minimum $2,500.00) can host groups up to 100 guests

Functions are limited to four hours. Amplification must be terminated by 10:00 pm and all parties must vacate the premises by 10:30 pm.

BANQUET HOURS OF OPERATION Breakfast: 6:00am – 11:00 am Lunch: 11:00am – 3:00 pm Dinner: 5:00pm – 10:00 pm DEPOSIT A minimum deposit of $500.00 is required for the main dining room and outside lanai. $200.00 for the tee room within ten days following the date of booking. The Kapolei golf club reserves the right to cancel a reservation without notice if a deposit is not made within ten days. Deposit amount is not refundable.

BANQUET POLICIES AND PROCEDURES 

A completed and signed banquet information agreement form and a credit card authorization form for a minimum deposit of $500.00 is required. Once you’ve selected you menu selections, we will create an event order contract/invoice to confirm your event.



We ask that menu selections and final head count 2 weeks prior to event. Once final head count has been determined, count may not be decreased. Any cancellation of guests will still be charged. If you cancel less than one month in advance, Kapolei Golf Club restaurant reserves the right to retain any amounts paid including the deposit. Initial deposit is non-refundable.



Final menu selection is required two weeks prior to the function date.



No substitutions allowed. (Prices subject to change without prior notice).



Children that are five to eleven years old receive a discount of 40% off the buffet price. Children under five are free.



The buffet line will remain open for one and a half hours after the start of meal service. Last call for alcoholic beverages will be thirty minutes prior to the conclusion of the function. Guests are not allowed to take home food from banquet functions.



The Kapolei golf club is a full service food & beverage operation. No outside food & beverages allowed on premises, unless approved by a manager. The “assumption of risk & indemnification” form is required for all outside food allowed for a function, and the “consent & indemnification agreement” is required for all outside alcoholic beverages allowed for a function.



Should you decide to bring in your own cake, there is a cake service fee of $50.00, which will cover storing, cutting and serving.



All banquet guests must remain within the clubhouse and/or the lanai area. Guests are not allowed onto the golf course for safety reasons.



Loitering or tailgating in the parking structure is not allowed and will be enforced by golf course security.



Decorations are allowed only if customer agrees to remove all decorations at the end of the party (no staples, tape, nails, glitter or confetti). Parties will have a 30-minute grace period to finish cleaning.

Entertainment for parties is allowed at the discretion of Kapolei golf club. Noise levels will be monitored and controlled by management. All entertainment must finish 30 minutes before the function is scheduled to end. All amplification must be terminated by 10:00 pm.



Hosts are responsible for any damages to the facility or golf course caused by negligent actions by person(s) associated with the event.



Hosts are responsible for any injuries to the general public or guest(s) caused by negligent actions by a guest(s) attending the function.



Hosts are responsible for the conduct of person(s) associated with the function. The Kapolei golf club will not tolerate any type of violent, threatening or intimidating behavior by person(s) associated with the function. The Kapolei golf club reserves the right to terminate the function or remove any guest(s) or invitees that may be disorderly or out of control from the property in its sole discretion. No refunds or discounts will apply.



A uniformed Honolulu police department officer will be provided for banquet functions with 100 or more guests in attendance. The Honolulu police department requires one officer per 100 guests. There is a charge of $250.00 per officer (subject to change without notice).



The Kapolei golf club will not be held responsible to carry out a banquet function as arranged due to uncontrollable events such as, but not limited to: strikes, accidents, labor disputes, government actions or regulations, restrictions on travel, availability of food and/or beverage, riots, national emergencies, acts of war, acts of god or other similar events. Upon refund of deposit, the Kapolei golf club will not be held liable for consequential damages of any nature for any reason whatsoever.



The Kapolei golf club reserves the right to relocate the function to an alternate venue of equal or better value should the need arise. In the event that relocation is necessary, the Kapolei golf club will notify the host(s) as soon as practicable under the circumstances.



Dependent on the nature of the event, public liability and property damage insurance may be required.



If prior to or during the function, the host(s) breaches any term or terms of this agreement, the Kapolei golf club may terminate the agreement, cancel the function, and retain all deposits and sales proceeds paid by the host(s).

BAR POLICIES: 

In accordance with Honolulu liquor commission regulations, a guest must be 21 years of age or older to purchase or consume any alcoholic beverage and provide identification upon request. Alcoholic beverages will not be served to a person failing to present a legal form of identification for proof of age.



In accordance with Honolulu liquor commission regulations, it is unlawful for an adult to give any alcoholic beverage to a person under the age of 21 years. Failure to adhere to this policy may result in immediate closure of the bar.



No outside beverages are allowed in the restaurant or banquet areas, without the prior approval of a manager.



The Kapolei golf club reserves the right to refuse service to persons that appear intoxicated.



Hosts are responsible for notifying their guests of all policies and will be held responsible for any actions and/or violations by their guests.

PAYMENT: 

Full pre-payment of the invoice amount must be made at least one week prior to the function date upon notification of guarantee count. Payment for any additional charges or increase in guest count over prepaid guarantee count is to be paid prior to the end of the function.



If the host cancels the function within one month of the event, the Kapolei golf club reserves the right to retain the total amount paid to the Kapolei golf club including the deposit.



A 20% gratuity, 4% event planning fee and the standard 4.712% Hawaii sales tax is added to the food and beverage total. The event planning fee is for setting up and planning of your event, as well as printing out customized menus and any other special details your event may require.



Payment of any additional charges is to be paid prior to the end of the function.



The amount of the deposit shall be applied towards the final payment.

Acceptable forms of payment are: cash, credit cards, cashier’s check, or company check. Personal checks or debit cards for final payment are NOT accepted. There is a $40.00 service charge for all returned checks.



Any amounts owing under this agreement shall carry interest from the date the same becomes due until paid at the rate of twelve percent (12%) per annum or the highest rate permitted by law, whichever is less.

WAIVER OF LIABILITY AND INDEMNITY Neither the Kapolei golf club, not its managers, members, officers, directors, employees, agents, affiliates or representatives (collectively, the “indemnities”) shall not be liable to the host(s) or any of host's guests, employees, agents or invitees, for any injury or damage to persons or property sustained by the host(s), or any of host's guests, employees, agents or invitees, or made against host(s), or any of host's guests, employees, agents or invitees resulting from any cause, including but not limited to: (1) any accident in or about the banquet facility, including the parking area; (2) any personal injury or property damage resulting directly or indirectly from an act of negligence of the host(s), or any of host's guests, employees, agents or invitees; or (3) any personal injury or property damage resulting directly or indirectly from natural disasters, acts of god or similar events. In addition, the host(s) shall indemnify, defend and hold the Kapolei golf club indemnities and each of them harmless against all liabilities, losses, without limitation, attorneys' fees and costs incurred by the indemnities arising out of the host's use of the banquet facility that arises from personal injury or property damage caused wholly or in part by any act or omission of the host(s) or any of host's guests, employees, agents or invitees. The host(s) also agree(s) on behalf of the host(s), and the guests, heirs, guardians, legal representatives, assigns and other successors in interest of the host(s), that the host(s) will not make any claims against, sue or undertake any proceedings against the premises, owners, developers, officers, employees, agents, attorneys, or affiliates or representatives of any of the aforesaid parties, or the indemnities, for any death, injury, sickness, damage, accident or other loss which arises directly or indirectly out of, occurs during, or is related in any way to the host's use of the banquet facility.

MISCELLANEOUS PROVISIONS 

Compliance with laws. At all times during the function, the host(s) shall observe and comply with all laws, ordinances, rules and regulations now or hereafter made by any governmental entity or authority.



No waiver. No failure by the Kapolei golf club to insist upon strict performance by the host(s) of any of the terms and provisions of this agreement shall constitute or be deemed to be a waiver of any such term or provision, or constitute an amendment or waiver of any such term or provision by course of performance, and the Kapolei golf club, notwithstanding any such failure to insist upon strict performance, shall have the right thereafter to insist upon the strict performance by the host(s) of any and all the terms and provisions of this agreement.



Hawaii law. The agreement shall be governed by and construed under the laws of the state of Hawaii.



Sole agreement. This is the sole and only agreement between the parties relating to the subject matter hereof. Any and all prior oral or written representations, correspondence, letters of intent, and agreements are merged into and superseded by this agreement and shall be of no force or effect.



Partial invalidity. If any provision hereof is held invalid or not enforceable to its fullest extent, such provision shall be enforced to the extent permitted by law, and the validity of the remaining provisions hereof shall not be affected thereby.



No joint venture. The execution and performance of this agreement, the Kapolei golf club's and the host's review and approval rights described in this agreement, the



Agreements of the parties and the exercise of any rights hereunder, are not intended, and shall not be construed, to create a partnership, joint venture or co-tenancy between the Kapolei golf club and the host(s).



Headings of sections. The headings of sections and subsections herein are inserted only for convenience and reference and shall in no way define, limit or describe the scope or intent of any provision of this agreement.



Amendment. The provisions of this agreement may be amended only in writing with the consent of both parties.



Menu items and price subject to change accordingly to market price. Kapolei Golf Club Restaurant reserves the right to make adjustments to menu items and pricing when necessary.

Binding effect. Upon the execution by the host(s) of the agreement, this instrument shall become binding and enforceable according to its provisions. If more than one party is obligated to perform an act by any provisions stated in this agreement, those parties shall be jointly and severally liable and obligated for the performance of those acts. The rights and obligations of each party named in this instrument shall bind and inure to the benefit of each party, respectively, and the respective heirs, personal representatives, successors, and assigns of each party.



Survival. Representations and warranties stated in this agreement shall survive the termination of the agreement, unless otherwise specifically stated.
