1. Extension Description Magento Order Management Extension allows you to modify the standard Magento Orders grid and make it maximally informative and individually adapted.

Extended Orders Grid - Fully adjust the view of the standard Orders Grid. Display all necessary orders attributes without necessity to go to the ‘View details’ page. Hide any columns you do not want to see in the orders grid. Order Modification - Modify orders without canceling them: edit order & product details, set a custom price, modify discount coupons, preview grand total amount. Archiving/Deleting Orders – Archive, delete orders completely or mark them as ‘Deleted’ (to restore later). Specify the number of days before orders get archived. Bulk Actions - Invoice and/or ship orders, print invoices and credit memos, send invoices and shipments in bulk, etc. Manage Order Comments - View order comments, attach downloadable files, change order status while posting a comment.

2. Extension Installation To install the extension, follow the steps below:

1. Disable the Compilation Mode (if enabled). 2. Log out of the Magento Admin Panel (if logged in). 3. Unpack the contents of the Extension folder (depending on your current Magento version) from the package file purchased from Mageworx to your Magento root folder. 4. Log into the Magento Admin Panel. 5. Go to System - Cache Management section, choose the Refresh option under the All Cache drop-down menu and press the Save Cache Settings (if Cache Control is enabled in Magento). 6. Enable the Compilation Mode back (if necessary). 7. Go to System - Configuration - MageWorx tab - Extensions & Support section. If you see Order Management in the list of installed MageWorx extensions, the installation is done.

5

3. General Settings To configure the extension, log into the Magento Admin panel and go to System Configuration - MAGEWORX - Order Management. Here is what each of the settings does: • Enable – enables/disables the extension. • Sync Orders to Extended Orders Grid – sync is needed when you installed the extension for the first time or disable and enable it. • Enable ‘Invoice Orders Mass Action’ Option - enables/ disables invoicing orders in bulk. • Send Invoice Email - sends invoice emails in bulk. • Enable ‘Ship Orders Mass Action’ Option - enables/ disables shipping orders in bulk. • Send Shipment Email - sends shipment emails in bulk. • Enable ‘Archive Orders’ Option - allows archiving orders manually or automatically (using the Magento cron). • # of Days before Orders Get Archived - specifies the number of days before orders get archived and hidden from the standard Orders Grid (note that you can restore all orders from the archive). • Archive if - selects the statuses of orders, which will be archived.

6

• Frequency - specifies the order archiving periodicity (can be set to daily, weekly, monthly). • Start Time - specifies the start time for the archiving option. • Manage Columns Order – hit this button to manage columns in the order grid. • Enable ‘Delete Orders’ Option - enables/ disables the possibility to delete orders. Note, this option just marks orders as ‘deleted’, so you can restore them later. • Hide Deleted Orders for Customers - hides the deleted orders in the customers’ accounts. • Enable ‘Delete Orders Completely’ Option - physically removes orders from the database. • Number of Comments in Grid – specify the number of comments to display in the grid. • Show Thumbnails – enable/disable the display of the products thumbnails. • Thumbnails Height – define the height of thumbnails in the grid in pixels.

To modify the orders grid hit the Manage Columns button. In the orders grid section you can enable or disable columns and define their order.

7

In the Customer’s Orders Tab section you can enable or disable columns and define their order.

This is how an extended grid looks like:

4. Orders Modification To modify orders without canceling them (Magento lacks this feature by default), go to Sales – Extended Orders. With this Magento Order Management extension you can: • • • • • •

edit the order’s date, status and billing details, change the payment or shipping methods (tax will be recalculated accordingly), edit the customer’s details (email, billing and shipping details), adjust shipping costs, assign orders to different customers, set custom shipping price for new orders.

Also, under these settings you can: 1. add/edit/remove the products added to the order, 2. modify the discount coupons, 3. apply the discounts and save the discounted price; 4. NEW! set a custom shipping price when adding new orders.

9

The standard Magento reverts the product price back to the original one while editing the order. The Order Management extension keeps the discounted price unchanged, so you don’t have to edit the price again. Also, the extension lets you Preview Grand Total Amount for each order. The feature comes handy when you make changes to an order and need to make sure everything is correct before saving.

NOTE! If the order total changes, a new invoice gets created automatically. If an order total decreases while editing, the extension creates a credit memo for a price difference.

10

NEW! If the order is not fully shipped, the ‘Partially Shipped’ status appears in the ‘Shipped’ column.

5. Archiving Orders To configure the ‘Archive’ settings, go to System – Configuration – Order Management. From here you can:
 • Set up a scheduler for archiving Magento orders, • Select the status of the orders to be archived, • Specify the number of days before your orders get archived.
Note: launch Magento cron to make it working.

11

To archive orders and hide them from the Orders Grid, go to Sales – Orders, select orders and choose the ‘Archive’ option in the ‘Actions’ drop-down. You can restore archived orders using the ‘Restore’ option.

6. Deleting Orders With the default Magento there’s no way you can clean up the Orders grid from the unwanted orders. All you can do is just to mark them as ‘Cancelled’.
To configure the ‘Delete’ settings, go to System – Configuration – Order Management. From here you can delete orders completely, or mark them as ‘Deleted’ (to restore later):

12

Go to Sales – Orders, select the necessary orders and choose the ‘Delete’ or ‘Delete Completely’ options in the ‘Actions’ drop-down.
Also, you can hide all orders marked as 'Deleted'.

7. Bulk Acations To apply the same operation to multiple orders (e.g. ship, Invoice, Archive, Print Shipping Labels, etc.), select the order from the list -> unfold the drop-down menu in the right upper part of the Admin Panel -> select the action you’d like to implement and click the ‘Submit’ button.

8. Order Comments Hit the Browse button to attach downloadable files to any order comment. These files can be visible in the back-end only or on the front-end, so the customers can download them.

13

You can also view all order comments in the back-end, change order status and post comments at the same time, edit or delete comments, specify the # of comments in the Orders Grid.
Note! All order changes get logged in the comments.
