Expiring Real Estate Objects

Overview Occasionally, there may be a need to expire Real Estate Objects in Umoja. This may be due to incorrectly created objects, or objects for which the validity period has ended. This process involves A. Expiring any linked Usage Objects B. Expiring the Architectural Object C. Expiring any linked and subordinate Functional Locations Note: the process for AO Rooms differs slightly from any higher-level Objects (i.e. AO Site, Building, Land, Floor). When a higher-level Object is expired, this means all subordinate objects will be expired as well (e.g. a Room cannot be valid if the higher-level Floor has been expired). Please refer to the below on how to proceed. TCODES USED:  RE80 – Real Estate Navigator  IL03 – Display Functional Locations  IL05 – Change Functional Locations (multiple)

Procedure Recall that the relationship between Architectural and Usage View is as below:

When any object is end-dated, all subordinate objects will likewise automatically be end-dated. If a Room is to be expired, it is important to navigate to the corresponding Rental Space via the Pooled Space linked to the Floor and make sure the Rental Space has also been expired: ROOMS higher-level Floor (in this example, we are expiring room 200046.001.01.002, so navigate to 200046.001.01):

1. Navigate to the Room to be expired in RE80. Double click the Higher-Level Object to view the

2. Click on the Usage tab of the AO Floor to check for a linked UO Pooled Space:

3. If no UO exists, skip to step 5. If a UO exists, check if any Rental Spaces have been extracted

A. EXPIRE LINKED UO

from this Pooled space by selecting Rental Object in the toolbar on the left, then entering in the UO ID (1000/200046/1) and expanding the Subordinate Objects node:

4. If no subordinate Rental Spaces exist, skip to step 5. If Rental Spaces exist, double click on the UO Rental Space corresponding to the AO Room to be expired (1000/200046/2) and end-date the rental space by filling in the Valid To field. Save the change:

5. Return to the Architectural Object Room (200046.001.01.002). Enter change mode and end-date

8. Type in “EXPIRED” in the SupFunctLoc and save the change. This will realign the expiring room to be subordinate to the Functional Location “EXPIRED” so it will no longer show up as subordinate to 200046.001.01:

9. Set the Deletion Flag by navigating through Functional Location > Functions > Deletion Flag > Set. This will prevent other users from assigning equipment to the FLoc. Click save:

10. User will be returned to the original AO object Room and room will have been successfully expired. To check the Functional Location has been expired, navigate to IL03, Display Functional Location. Enter in the higher-level Object (200046.001.01) and click the hierarchy button

ALL OTHER ARCHITECTURAL OBJECTS

A. EXPIRE LINKED UO

1. In this example, we are expiring Floor 200046.001.01. Subsequently, any subordinate rooms will also be expired. In RE80 navigate to the Floor to be expired. Check for a linked Usage Object by clicking on the Usage tab. Highlight the corresponding Usage Object and click the Display button. (If no UO exists, skip to step 3):

2. Usage Object will open in the window. End-date Usage Object by entering change mode, clicking the change button and filling in the Valid-to Field on the General Data Tab. Save the change:

B. EXPIRE AO

3. Return to the Architectural Object General tab, enter change mode and fill out the Valid To field with the same end-date. This information will be automatically copied down to any subordinate RE objects in the Sup.Obj.Valid From field, and prevent any transactions against these objects outside of the validity dates specified. Save the change:

4. Navigate to the Assignments tab. Reenter change mode, highlight the assigned Functional Location and click the change button (pencil). Functional Location will be opened:

5. Navigate to the Structure tab and click on the Change Superior button. In the SupFunctLoc. field, enter EXPIRED. This will move the Functional Location and all subordinate Functional Locations under the EXPIRED hierarchy so it no longer appears under 200046.001, the higher-level object. Click Save:

6. User will be brought back to the Architectural Object. Save the object and verify Functional Location has been expired by navigating to IL03, entering the higher-level Architectural Object (200046.001) then clicking on the Hierarchy button:

7. Since in this example, the expired floor was the only floor for the higher-level building, error message appears that there are no substructures available. Clicking Yes to expand structure upwards, the user can see that there are no Functional Locations subordinate to the higher-level object 200046.001 exist as expected:

8. Finally, deletion flags must be set for all expired Functional Locations to ensure that no new transactions or changes are processed against these locations. To do so, navigate to IL05, Change Functional Location and enter in the ID of the object just expired, followed by a * (200046.001.01*). Click execute. The list generated will display the expired Functional Location

9. Set the Deletion Flag by highlighting all records and navigating through Goto > Functions > Deletion Flag > Set. Click save:

User can verify deletion flag has been set by clicking into any of the records successfully changed. Warning message will appear that Functional Location has been flagged for deletion. Clicking Yes will bring the user to the record, and show that the status is now CRTE DLFL and expiration is complete:
