From traditional white weddings to civil ceremonies, small or large we at the BEST WESTERN Kings Manor Hotel are delighted to help you celebrate your special day. The BEST WESTERN Kings Manor Hotel is an ideal venue to host your wedding celebration. There are a number of rooms available that are licensed to hold civil ceremonies or partnerships. Our largest suite is the Lothian Suite which can hold up to 95 for a wedding ceremony and breakfast and up to 120 for an evening reception. There are also smaller rooms available in which to celebrate your wedding. Information on all our wedding packages can be found in the following pages, however, if there is something you are looking for that we don’t offer in our packages please do not hesitate to ask and we will be happy to discuss your requirements. If you wish to hold your civil ceremony here then after making a provisional booking with us we can assist you in filling in the relevant paperwork for the registrar. The hotel has 95 bedrooms. All our rooms are designated as non- smoking rooms. All are tastefully furnished and have: en-suite bathroom, satellite TV and radio, direct dial telephone, hairdryer, hospitality tray and FREE WiFi Broadband internet access. For that extra special occasion why not book one of our Club Rooms? These rooms were recently built to the highest specifications and include attractive design and 21st Century comfort and facilities. All of our club rooms exceed the minimum size for 4-star bedrooms and all have digital flat screen tvs with Freeview channels and some satellite channels, there is also a playstation consol for game playing and playing DVDs and CDS ( Games, DVDs and CDs are not provided, but we have a small selection of PS2 games available for hire). Amongst these rooms are family rooms, rooms adapted for wheelchair users and rooms with interconnecting doors. All double beds are King-size continental doubles. The Fountain Spa Health & Leisure Club is one of Edinburgh's finest private health clubs and is described by members as being friendly, social and relaxed. It comprises of a 20m pool, gym, spa bath, sauna, steam room and The Balcony health and beauty spa. Treat yourself, come and be pampered at The Balcony. If you want to feel relaxed, de-stressed or invigorated, we are here for you. We offer a full range of facials, massage and body, hand, foot and nail treatments. We also offer waxing, self-tan, male treatments and pamper packages.

The Menu Selector The aim of the menu selector is to allow you to compile a menu to suit your requirements and budget. The dishes are priced on the understanding that you choose one starter, one main course and two desserts for your menu. We automatically offer a choice of Fruit Juice as an alternative to your chosen starter and a Cold Meat Platter as an alternative to your chosen main course. Should you wish to choose more than one starter or main course for your menu, there will be an additional surcharge as follows: £2.00 for an additional starter and £3.50 for an additional main course. All prices are current and will be valid up to 31 December 2013. V.A.T. is included in all prices at the current rate. The final cost of your menu will be agreed and confirmed 5 weeks prior to your event. FOOD INGREDIENTS GM Foods. It is the policy of the BEST WESTERN Kings Manor Hotel to avoid, whenever possible, genetically modified (GM) foods. However, since some items are purchased by the hotel in a partially prepared state we cannot guarantee that any foods are totally GM free. Vegetarian items are marked with a V. Wedding Booking Terms and Conditions. Confirmations: A Provisional booking can be held for 14 days from date of booking. To confirm a provisional booking a deposit of £300.00 is required. The booking will be confirmed on receipt of the deposit and a signed copy of these terms and conditions. Payment of this deposit and the signed terms and conditions contract will acknowledge acceptance of our booking conditions and an official receipt will be issued. All deposits are non-refundable. For any reservation remaining unconfirmed after 14 days, the Hotel reserves the right to automatically release the booking. If you wish to extend the 14 day period please contact the Duty Manager before the 14 days have expired. Wedding Ceremonies: In addition to wedding receptions, you may wish to have the wedding ceremony at the hotel. We are licensed for Civil Marriages and Civil Partnership Ceremonies. Room hire of £100.00 for ceremonies in addition to your reception costs. Payment: We accept payment by cash, credit and debit card or cheque. Payment is deemed to have been made when cleared funds reach our bank account. Timetable: We would hope to have the wedding package, menu and approximate numbers agreed 6 months prior to the wedding. Final details with regard to the wedding arrangements are requested at least 5 weeks prior to the event. 4 weeks prior to the wedding a pro-forma invoice will be issued for the final balance. Settlement of this is required 2 weeks prior to the date of the wedding. Should the funds for payment not be cleared through the Hotels bank account 5 working days prior to the Wedding Day, the hotel retains the right to withdraw the facilities and services offered with the deposit being forfeited. Should the services provided on the actual wedding day exceed those charged on the pro forma invoice, an additional invoice will be forwarded, settlement of which will be due within 14 days following receipt. Final Numbers: Changes up to 20% of the final numbers will be accepted up to noon on the date 2 days prior to the wedding (For example if the wedding was a Saturday you can adjust the final numbers up to noon on Thursday.) Changes in numbers etc may be notified after this date but no reduction in charges will be made at this late stage. Minimum Numbers: Our function suites require a minimum number of wedding guests during the months of June to September inclusive for your day time guests. The Lothian Suite requires a minimum of 50 guests. The Treetops Suite requires a minimum of 20 guests. These are the minimum number of guest that you will be charged for in these rooms, regardless of the final numbers actually attending. If, however, a more suitable smaller room is available and you would prefer to change rooms this may be possible.

Cancellations: Weddings are booked many months, and even years, in advance. If you cancel at short notice it is unlikely that we will be able to take a replacement wedding booking and in such circumstances the following cancellation charges will apply: More than 6 months prior to the date of the wedding – your deposit is forfeited. 3 – 6 months prior to the wedding – 50% of the estimated total of the wedding is required. Less than 3 months from the wedding – the full estimated cost of the wedding is required. VAT: All quoted prices are inclusive of VAT at the current rate and are subject to change without prior notice. The rate of VAT in place at the date of wedding is the rate that applies to the account. Discos & Bands: Those clients wishing to have the services of a disco are obliged to use our Resident disco only. On occasion in the past other disco suppliers have played at such a level that they have disturbed our neighbours and hotel guests as a result of which we must adhere to certain noise levels agreed between the Department of Environmental Services and ourselves. These restrictions also cover the employment of a band and clients may arrange their own and must advise them that the band must adhere to any instructions given by the hotel management. Damage: The client is responsible to BEST WESTERN Kings Manor Hotel for any damage or loss of business caused by the client or their guests, agents, employees etc. Clients are able to have our function suites decorated for their event; however we respectfully request that blu-tack is used only on hard painted surfaces under the prior agreement of the Duty Manager. Licensing: The client must inform the hotel of any guests under the age of 18 who are attending the wedding and the client will be responsible for ensuring that no alcoholic beverages are supplied to any guest under the age of 18 years. Please note that guests who are fortunate to look under the age of 21 may be required to provide photographic id. Any guest in breach or attempting to breach these laws will be asked to leave with immediate effect. Hotel Responsibilities: With over 40 years experience in catering for weddings we are well used to caring for our clients and their possessions and all reasonable care will be taken with any items left in our care, however: The BEST WESTERN Kings Manor Hotel or it employees will not be held responsible for any loss or damage of any wedding gifts. The BEST WESTERN Kings Manor Hotel or it employees will not be held responsible for any damages to your wedding cake. Date Restriction: There are certain dates in the year e.g. weekends in December, Christmas Eve and Day, Hogmanay and New Years Day, which will incur a price supplement. Please see a Duty Manager for more details. Food and Beverage No wine, spirits or food products may be brought onto the premises and be consumed by clients or guests on the premises of Best Western Kings Manor Hotel without the prior written agreement of BEST WESTERN Kings Manor Hotel. A corkage charge will apply for any still or sparkling wines brought onto and consumed on the premises. (Please see page 5.)

Civil Ceremonies Whilst the BEST WESTERN Kings Manor has always been popular with couples wishing to get married here in a religious service, we are now able to offer couples who would prefer a civil ceremony with their local registrar the same facilities. We are an Approved Venue for civil marriages and partnerships. The system is fairly straight forward. We will fill in a form (AP1/AP2) on your behalf and you must forward it to the local registrar. This must be done at least 8 weeks before the wedding takes place. You will need to pay the current registrars fees as well as the normal statutory fees for lodging marriage forms, the marriage fee and the extract of the licence. The registrar will fully explain the procedure and it is certainly no more complicated than having the service at the registrar’s office. Details of the service and current fees can be found on the registrars website www.edinburgh.gov.uk/marriage. You need to discuss with ourselves where you would like to conduct the service. It is sometimes possible to hold the service in the room where your wedding reception will take place or it may be preferable to hold the service in an entirely separate room. A room hire fee for the service will apply (see page 4). The advantages of all your guests being in the same place for the marriage service and the Wedding reception are obvious as is the fact you will not have to organise two sets of cars. If you are interested in exploring this possibility please discuss it with our Duty Manager.

Relaxation can be found in our 20-metre Swimming Pool. Teamed with a bubbling Spa Bath, Sauna and Steam Room this area of the Club is an ideal escape from every day life. With lane ropes a constant feature the Pool can also be used to integrate exercise with rest.

Health & Beauty can also be found at The Fountain Spa. With a team of highly Professional Therapists, a complete treatment guide is available to both Members and Non-Members alike. Treatments available extend through Waxing to Massage and from Tanning to Complementary Therapies.
