Interface Overview

On the top, we have the tool bar which features the buttons to load, start and other miscellaneous features which we would be using quite regularly. Before that we have two tabs, the Control Center and Preferences. The Control Center is where you will find the file listing, the preview and save in properties. The Preferences tab is where all the bulk of the settings are found which we will explore later.

Tool Bar

Load Files This option will allow you to select one or more files from your systems to be processed. The file types supported includes PDF, TIFF, PNG and JPG files. It may take a while to load the entire list especially if they are complex in nature as the application needs to open the files to determine the number of pages and the PDF details such as Document Title, Subject and Keywords used in each file.

It’s worth to mentioned that Batch TIFF & PDF Converter also supports Drag and Drop. Just grab a list of files you want to include and drop them into the File Listing and Batch TIFF & PDF Converter will handle the rest.

Load Folders Like Load Files, Load Folders will let you pick folders containing the files you want to include. It will prompt you if you want to also include sub-folders of files. Start Start will start the conversion, merging and extraction process. Stop This will issue a Stop order to the application which will be handled at the next file itineration. Clear List This option clears the File Listing and Resets all the counters.

Load Settings Profile This option will let you select the Settings Profile File which contains the settings to be used in this application. Save Settings Profile This will let you save the Settings used in this application into a single XML style file.

Settings Profile Files Settings Profile Files are portable XML formatted files which contains all the settings used within the application. They are saved with the file extension .CMZ . The file is not encrypted so you can view the contents via a standard text reader. As there are numerous settings with the application, we feel that it is only proper to provide a quick method to get to your favorite settings or presets with ease. By opting for a file based settings, you can create as many such Settings Profile Files as you may require for your different projects.

File Listing

The File Listing is where the list of TIFF, PDF and other support image files will be listed. The first column is the original file name, followed by the Number of Pages, Page Ranges, Document Titles, Subjects and Keywords (where applicable). The Filenames and No of Pages columns are Read-Only columns so they cannot be edited. However, clicking on the Filename will bring up the Preview for that document on the right hand side. If there are multiple pages to that document, you can preview the other pages using the Page Number dropdown box under the picture. To reorder the files, you can click and hold on to the filename and drag them into a different position in the list. To delete an entry, bring up the contextual menu using Control + Click and select Delete. You can drag and drop files right into the File Listing too. Page Range is a powerful control which let you determines which page within the document to include, remove or reorder. More on Page Range later. This is an editable field. Double Click in this column to begin editing and hitting the Return key will lock in the page ranges. At this stage, the application will check to make sure that the page ranges are entered correctly and make the necessary modification. For PDF documents, the Document Titles, Subjects and Keywords will be imported which can be modified here. When you click on the file, you will see the filename appear at the bottom of the File Listing so that you know which file details you are editing.

Page Ranges Page Ranges let you determine the pages you want to include within the document. This is a pretty powerful setting which be rather versatile.

By default, when the files are loaded to the list, it will be preset to include the entire range starting from page 1 to the last page. You can change the page range options but before you do, let’s go through some of the symbols used within this option. Symbols

Explanation

Usage Example

1

For a single page, you can include just the page number you require.

5

-

This denotes a range of pages and can either be in ascending or descending order.

1-5 (Ascending Order) 5-1 (Descending Order)

,

This separate a page number or range

1,5,3-4,10-7

You can mix and match the various options available above in each Page Range option. Usage Example Say you have a document with 100 pages and if you want to remove page 25 from the document, you can set the page range to 1-24,26-100. If in the same document, page 33 and 34 are in the wrong order, you can do a 1-32,34-33,35-100. To extract pages 40 to 50 from the document, just include 40-50 in the Page Range. For a more complex example where you need to merge a document in between page 11 and 12, you will first need to load this document in the list, followed by the document you want to insert and the original document again after as illustrated below

Save In Properties

These includes the commonly used settings which may vary from each processes. Image Format This setting determine the output file format which will be produced after the pages are extracted, rearranged and removed. There are 8 options here. Image Format

Explanation

Merge All Documents to a Single Multipages TIFF

All the documents and images on the list will be merged to a single TIFF file using the MultiTIFF/PDF Filename.

Extract One File to One Multipages TIFF

Each entry will be saved to their individual TIFF file after the pages have been reordered and processed. In most cases, the original filename would be retained in the output file. If saving in the same location, a “1” would be tagged behind the filename.

Extract to Multiple Single Page TIFF

Each page will be saved as an individual Single Page TIFF file. The Single Name Format will be used as the resultant filename.

Merge All Documents to a Single PDF File

This will merge all the documents and images on the list in the order into a single PDF file using the MultiTIFF/PDF filename.

Extract One File to One PDF File

Each line entry would be saved to their individual file name after they are processed.

Extract to Multiple Single Page PDF FIle

Each page will be saved as an individual Single Page PDF file using the Single Name Format parameters.

Extract to Multiple Single Page JPEG

Each page will be saved as a single JPEG File using the Single Name Format parameters.

Extract to Multiple Single Page PNG

Each page will be saved as a single PNG File using the Single Name Format parameters.

MultiTIFF/PDF Filename This entry is used by the Merge options in Image Format. Type in the filename you want the output merged file to be. It must be of the correct file extension. For instance, if the output file is a PDF, this filename will need to include a .PDF file extension and a .TIF for a tiff file. Single Name Format This option is used by the Extract options in Image Format. There are two macros that is used here. The {Filename} and the {PageNo}. The {Filename} will be replaced by the original filename and the {PageNo} will be replaced by the page number for the output file. Zero Padding This determines the preset number of digits for the {PageNo} option. If this is set to 4, the {PageNo} will be substituted to a 4 digit number. For instance, if the current number is 40, it will be padded to 0040. If however, there is more numbers than the set Zero Padding then the zero padding option will be ignored. Save In Folder Use the Select Folder to pick a folder to saved all the processed files. We encourage you not to overwrite the original files as any changes made to them cannot be recovered. Thus saving to a different folder location will ensure that your originals are safe and if you need to tweak the settings, you can experiment away.

Preferences On the Preferences tab, there are 4 distinct settings, General, Text, TIFF and PDF settings. We will look at each of them individually.

General Settings

Resizing Method There are 8 options in Resizing Method. Resizing Method As Is

All output files will not be resized

Downsize by Pixels

Using the Width and Height Settings to determine the Maximum Width and Height Dimensions for each page. The Keep Ratio Aspect option will determine if ratio aspect is maintained.

Downsize by Percentage

Using the Percentage slider will determine how the dimensions will be resized by.

By Paper Size

Use the Page Size to set the required Paper Size. The dimensions will be auto computed with the Dot Per Inch settings.

3/4x

Resize the Pages to 3/4 the original size

1/2x

Resize the Pages to half their original size

1/3x

Resize the Pages to 1/3rd of their original size

1/4x

Resize the Pages to a quarter of their original size

Copyright 2015 Complete Magic Apps

All the above mentioned Resizing Method will retain the Ratio Aspect by default. In the case of the Downsize by Pixels, only when the Keep Ratio Aspect is checked that it will be retained by setting the longer dimension of the image to the set Maximum dimension while the other dimension will be resized. Paper Size This option uses the preset paper sizes to interpolate the number of pixels for each of the dimensions taking into account the Dot Per Inch settings. Width and Height Setting any of this option to 0 will default it to the original dimension of the image or page. This is the maximum width and height before the images or page need to be resized. Keep Ratio Aspect By checking this option, you will ensure that when the Downsize by Pixels resizing method is used, the images and page will retain its original ratio aspect. Otherwise, the page will be stretched or downsize to the set Width and Height. Dot Per Inch Although this Dot Per Inch is sort of redundant when it comes to printing, it is nevertheless used here to determine the Paper Size in pixels. Percentage You can use the slider or enter in the box the percentage to resize to in there. This in conjunction with the Downsize by Percentage method will downsize the page to that size in relations to the original dimensions. JPG/PNG Quality (%) This determines the saving quality if the output file is set to JPG or PNG. The lower the quality will yield a smaller file size but lower image quality.

Text Settings

Batch TIFF & PDF Converter supports adding text captions to your documents or images. This can be in the form of a copyright text or anything which may be relevant to your document. Caption This will be the text that would be drawn on the image or page. If this is left blank, no text caption will be added. Font Type These are the font types which are available in your Mac Font Libraries. Do perform a test text captioning as there are some font type which may not work on the PDF file. Font Color Use the Select Color button to pick a font color. Font Size This set the size of the text. A Caveat is that for PDF output, the Font Size uses Point Size while for the other output formats such as TIFF, PNG and JPG, the Pixel Size is used instead. This will result in a slightly different font size. Alignment There are 9 preset alignment which includes • • • • •

Top Left Top Middle Top Right Center Left Center Middle

Copyright 2015 Complete Magic Apps

• • • •

Center Right Bottom Left Bottom Middle Bottom Right

If the alignment option is set to None then no text caption will be included. The alignment uses various settings such as page width and height and the text length and height to plot the location. Batch TIFF & PDF Converter does all the heavy lifting for you so that you do not need to worry about the fine details. Appear On As with TIFF and PDF, you can have more than one page and thus this option allows you to determine on which page you want the text caption to appear on. There are 7 options available which includes • • • • • • •

Every Page Every Page Except First Page First Page Last Page Even Pages Odd Pages Odd Except First Page

The above options are self-explanatory. However a point to note is that if there is only a single page in the output file then only the following options will yield a result • Every Page • First Page • Odd Pages

TIFF Settings

TIFF Compression There are 6 TIFF Compression algorithm which is supported here and they are • None • Packbits • LZW

Copyright 2015 Complete Magic Apps

• CCITT G3 • CCITT G4 • JPEG None will yield the largest file size as it comes uncompressed. For photos or color pages, opt for either Packbits, LZW or JPEG. JPEG format is a lesser used standard and may not work for all TIFF viewers. For black and white documents, select CCITT G3 or CCITT G4 which is based on the old fax machine standards. Copyright Tag TIFF supports embedding copyright tags into the meta header. Anything entered here will be added to the TIFF file meta header.

PDF Settings

There are a range of settings used specifically for PDF output generation. PDF Compression Filter Like in the case of TIFF Compression, the PDF Compression Filters are the compression algorithm used within PDF to compress image which is embedded within them. These are used when a TIFF, PNG or JPG is converted to be part of a PDF document. Currently, it make no difference for PDF to PDF extraction or merging. The options includes • LZW • CCITT G3 • CCITT G4

Copyright 2015 Complete Magic Apps

• Flate • Flate BW • JPEG PDF Compression Level This is a document wide compression setting which includes • • • •

None Default Fastest Maximum

Fastest would use the fastest means to compress the file while maximum will endure the highest compression level possible but it is the slowest method. PDF Encryption Level The Encryption Level settings is used when the PDF document is password protected or when one or more permission is turned off. The options are • • • •

40 Bit 128 Bit RC4 128 Bit AES 256 Bit AES

PDF User Password This is the user level password. Use this password option if you want to password protect the file for the user. When a password is entered here, the user will need to enter this same password to unlock the file to view it. If you do not want to create a password protected file, just keep this option blank.
The Show checkbox at the side will toggle to show or to hide this password. PDF Master Password Unlike the User Password, the PDF Master Password is the master key and when this is entered would unlock not only the PDF file by override any restrictions that may be set. If this password option is used but the PDF User Password is left out, the PDF file can still be viewed and the status listed as Secured. However, it works best when both Password options are entered. PDF Permissions - Allow Copy When this option is checked, the user can copy and paste the text within the PDF document and when it is unchecked, copying is disabled. PDF Permissions - Allow Printing If you do not want your user to print this document, uncheck this option and the Print button will be disabled from the PDF viewer.

Copyright 2015 Complete Magic Apps

PDF Permissions - Allow Annotation This option will allow your user to annotate the PDF document as and where the support is available. Unchecking this will disable this feature. Merge PDF Meta Data By default, if you do a Extract PDF method, the Document Title, Subject and Keywords for the document listed in the File Listing will be used. However when the Merge All Documents to a Single PDF option is selected under Image Format, the individual meta headers will be ignored and those listed here in this settings options would be used instead. PDF Flatten Form Fields If you are working will a PDF form which allows your user to enter the fields, the fields would be saved as a separate layer and would not be visible when the file is converted to a different format. To overcome this, checking this option will merge the entered fields as part of the PDF file. When this is done, the fields cannot be edited. Zoom Factor This does not directly affect PDF to PDF conversion but will affect the image quality during PDF to TIFF or PDF to PNG or JPEG conversion. The higher the zoom factor, the higher the input quality. The default Zoom Factor of 3 should suffice in most circumstances. This will potentially allow your user to zoom in up to 2 to 3x on a TIF file converted from a PDF file without affecting font quality.
