OTTAWA REAL ESTATE BOARD IN HOUSE SERVICES ELECTRONIC BULK MAIL As a service to members to assist them with promoting their MLS® listings to their fellow members of the Ottawa Real Estate Board, the Board offers a service called bulk electronic mail whereby it will link to flyers from Membership News. The cost to have a flyer linked to Membership News is $50 plus applicable taxes and is subject to review at any time. Members simply e-mail their flyers* in a PDF format to the Design ([email protected]) department at the Board Office. The following are the requirements and restrictions for the content of a bulk electronic mail flyer:

-the flyer must be in PDF format;

-the flyer must refer to a specific property currently listed on MLS® and must include the MLS® number of the listing; -the flyer may not include any reference to properties not listed on the MLS® system or web site addresses of any sites other than the individual member’s or the brokerage’s or contact information for any other person or company who is not a member of the Board; -there must be correct usage of any trademarks, including MLS®; -the member’s name and brokerage name and contact information must conform with RECO requirements; and -the flyer must include the notation “Bulk Electronic Mail”. - the flyer must include the notation “Trademarks are owned or controlled by The Canadian Real Estate Association (CREA) and identify real estate professionals who are members of CREA (REALTOR®) and/or the quality of services they provide (MLS®).” The Board reserves the right to return any flyers that do not meet the requirements and restrictions and does not accept any responsibility for any expenses incurred by the member. Bulk electronic mail flyers will be linked to Membership News which is sent to members on Wednesdays. The PDF document must be provided to the Board no later than 8:30 a.m. Monday. The link to the flyers will remain active for 7 days. The Board reserves the right to temporarily suspend or discontinue the bulk electronic mail service. Members will be notified by notices in Membership News or on Message of the Day. This service is not available between mid-December and early January. *Design services are also available. A new flyer will take anywhere from 1 - 2 hours to design. Turn around time varies due to Board work. Work on flyers is generally done on Mondays and Fridays. Contact – Gonzalo Lazo INTER-COMPANY COURIER DELIVERY This service is available to member firms that have more than one branch office which they wish to send mail to on a next bag delivery day basis. The cost of this service is $18 + applicable taxes per branch office per month. Contact - Noeline Penchuk NEXT BAG COURIER DELIVERY TO OTHER MEMBER OFFICES If you need to send letters or documents from one member office to another, why not use the OREB Internal Courier System? A standard 9 ½ inch by 4 inch envelope requires 1 (one) OREB Courier Stamp and a 12 inch by 9 inch large or oversized envelope requires 2 (two) Courier Stamps. Letters being forwarded from one member office to another will be delivered on the next Board Bag delivery day. The stamps (Form K5) are sold in bundles of 10 at a cost of $17.50 each + applicable taxes and can be ordered by using the OREB Order Form or by dropping by the MLS® Department. Please take note that any letter being forwarded from one member office to another must have the correct amount of courier stamps affixed to it. Members who forward letters through the OREB Internal Courier System but fail to affix the courier stamps will still have their letter forwarded on, however, their accounts will be charged $2.50 + applicable taxes for a standard envelope and $5.00 + applicable taxes for a large or oversized envelope. IN HOUSE PRINTING The Board can print one colour ink promotional material on white or coloured paper. The presses accommodate both 8 ½ x 11 and 8 ½ x 14 paper and can be either single or double sided. Prices vary based on quantities printed and paper stock selected. Turn around time also varies due to Board work. PRICES TEND TO BE MUCH BETTER THAN EXTERNAL PRINTERS. Give us a try! Contact - Aileen Clarke

INTERNET/E-MAIL CONNECTIONS If a member of the public wants to send a request for information to your e-mail address or if they wish to visit your personal website they may do so directly from the Board’s Web site. Just advise the Board Office of your e-mail and/or web page address. There is no charge for either of these links. Just think, a prospect can access you directly from the Board’s Web site, at any time, from anywhere. The Board can also arrange to create a link between a member's web page and a "View My Listings Button" which produces a list of all the active listings belonging to that member. Since the "View My Listings Button" links directly to the OREB web page, the information regarding your listings is automatically updated anytime you make a change to your listing on the MLS® system. Think of the time and money you could save not having to constantly make alterations to your web site every time you list a new property or make a change to a listing or sell it. The cost of the "View My Listings Button" is $2.08 per month plus applicable taxes. Contact – Maryse Paré MEETING FACILITIES AND AUDIO VISUAL EQUIPMENT As an OREB member you can rent REALTOR® Halls A & B when space is available. The rates per hall are $110.00 + applicable taxes for a half day and $220 + applicable taxes for a full day (9:00 a.m. – 4:00 p.m.) with 50 cups of coffee included in the rental fee. NO EVENINGS OR WEEKENDS. THE ROOMS ARE NOT AVAILABLE FOR MEALS or SOCIAL FUNCTIONS. The Board also has an LCD projector available for meetings which require computer demonstrations. With the LCD projector, the content of the computer’s display is projected onto a screen allowing a large group to view a computer demonstration all at the same time. Contact – Wilda Brown COMPUTER TRAINING LAB The lab will be available for members to rent to conduct their own technology classes. The lab can accommodate up to 11 students, each at their own computer, and the instructor who also has a computer connected to a projector. The software loaded on each computer includes: - Adobe Acrobat Elements, WyldFyre listings, Microsoft, Excel, Office Outlook, Office PowerPoint, Office Publisher and Office Word. No other software may be loaded on the computers. If you are interested in renting the lab please contact Wilda Brown at the Board office for further details. REAL ESTATE MARKETING A copy of REM is distributed via the Board bags monthly to each member who wants to receive the publication. TRADE SHOW BOOTH The Board has a Trade Show Booth that members can use free of charge. A damage deposit of $200 may be required upon pick-up and is fully refundable upon the booth's safe return.
