This guide will take you through how to insert footnote references and edit their style. Consult Desktop EndNote Guide 1 for an introduction to using EndNote, and for help with citations and bibliographies in Word. Inserting EndNote references within footnotes Selecting your output style Before you can create a reference within a footnote using EndNote, you first need to select an output style which is designed to be used with footnotes. To do this: 1. Open EndNote 2. Select Output Styles from the Edit menu and then select Open Style Manager 3.

Use the Style Info / Preview options to choose a style which  is designed for use with footnotes  is acceptable to your School or publisher Tip: Humanities output styles such as Chicago 16th Footnote are often most suitable. Avoid numbered output styles.

Details of the style you are previewing will appear in the comments box. Tick the check box against your chosen style.

To edit the style to make sure the footnote citations are output in the way you require, Click on Edit, on the right hand side of the screen.

Use the left hand menu to check and, if necessary, amend, the following options: In the Global changes at the top of the list: 

Page Numbers >Page number format

Under Footnotes – 

Author Lists for citing multiple authors



Repeated Citations to replace repeated data with Ibid (see below)



Title Capitalization

Refer to your School for guidance on what style is preferred. EndNote Guide 6 and the EndNote Help manual give more information on formatting output styles. Important: If you want the format of citations in your footnotes to be the same as in the bibliography at the end of your document, you may also need to alter the same options presented in the Bibliography section. 7.

Once you have made the changes, close the window. EndNote will save your edited style with a new name (eg Chicago 16th A copy) to a personal folder, the original style will still be in EndNote’s Styles folder. You will be prompted to save the changes you have made. You are now ready to insert EndNote references into footnotes within a Word Document.

Inserting a reference into a footnote within Word 2010 1. Open Word and click on the EndNote tab on the ribbon. 2. Select your amended style from the list of styles on the EndNote tab (ie Chicago 16th Footnote copy). 3. Place the cursor is in the part of the document where you wish to insert a footnote. Move from the EndNote tab to the References tab on the ribbon. Click the Insert Footnote button. ©University of Reading 2014

4. The cursor will move to the footnote space at the bottom of the screen. Now select the EndNote tab on the ribbon. 5. Click the Insert Citation button 6. Use the search facility to open your EndNote library and search for the reference you require. Highlight it, and then click on Insert. The reference you have selected will be inserted into the footnote space at the bottom of the page. A copy of the reference you have inserted will also be placed at the end of your document to form the bibliography. Follow this procedure for each footnote. Tip: If you want to select the form of marking you want for your footnotes – for example running Arabic or Roman numerals or a customised symbol – click the arrow box at the bottom of the Footnotes box on the references tab.

Check which style your School prefers 7. When you have the settings you require, click Insert.

Editing your references: inserting specific page numbers and italicising Ibid. 1. To edit footnote citations, highlight the citation within the footnote that you wish to edit and select Edit & Manage Citation(s) from the EndNote ribbon: Tip: This option will only work if the output style (see section Selecting your output style above) is designed to cope with ‘cited pages’. Note that the specific pages you have entered will not appear in the bibliography at the end of your document. 2. In the dialogue box which appears, type the page numbers in the box labelled Pages, then click on OK 3. If you have set up your style manager to insert Ibid. where a citation is repeated (see the section on editing output styles on pages 2 and 3 of this guide), you can italicise Ibid. Simply highlight Ibid in the footnote and from the Home tab on the ribbon click the Italicise button.

Removing the bibliography at the end of the document If you do not want a bibliography at the end of your document - if it is a short article for example or you do not need the full information which a bibliography will provide EndNote has a way to stop it appearing. 1. Go to the Style Manager as described on Page 1 and open the style you are using 2. Select File menu, then Save As, to save the output style under a new name eg Chicago no bibliography 3. In the left hand menu, go to Footnotes and select the Templates option 4. In the right hand window, make sure the box labelled Include citations in bibliography is unchecked 5. Close down the window. You will be prompted to save your changes 6. Switch back to Word and select your edited style on the EndNote tab on the ribbon to see the effect your change has made.
