1. Purpose & Field of Application These guidelines are intended to convey all requirements pertaining to the delivery and packaging condition of goods delivered to ZF Services. The logistic prerequisites presented in this document are intended to ensure a swift and efficient logistics process. The objective of these guidelines is to ensure that shipments received from suppliers fulfill the requirements described in this document. These Delivery Specifications apply to all products delivered to the locations of ZF Services unless no special agreements have been made in writing. Clutch parts (such as pressure plates, clutch disks, release bearings, fan drive clutches) are subject to special handling. Suppliers to ZF Services must handle their products before delivery in a proper, professional manner so as to prevent damage of any type before, during, and upon delivery. Compliance with these ZF Services Specifications is mandatory to ensure the products received exhibit no deviations in quality from the warranted product characteristics. This set of rules is intended to secure our product quality and a delivery process with minimal delays. Particular attention must be paid to the quality of the transport containers used. The transport packaging must be designed such that it will reach the ZF Services goods receipt plant in damage-free condition. Damaged packaging suggests product damage and may therefore not be accepted. Suppliers to ZF Services must voluntarily demonstrate and document quality-assurance measures to ensure adequate product preservation in accordance with the EC Directive 2000/53/EC – "Chromium VI". The supplier is responsible for compliance with the preservation specifications. These Delivery Specifications exist in German and in English and have been compiled based on the English-language International Commercial Terms (INCOTERMS 2010) among other references. All previously published Delivery Specifications are superseded herewith. This document is binding!

2. Description of Incoming Goods/Acceptance Process For every delivery, ZF Services conducts a visual-only inspection to determine the condition of the transport containers, identify any obvious damage, and verify the number of packages. If deviations are found, the goods may be accepted subject to reserve. Under no circumstances can acceptance of the goods waive the rights to statutory warranties on the part of ZF Services. The supplier shall waive its right to claim a delay in the receipt of the notice of defects. A quality deficiency notification will be generated in the system, and remedial and corrective actions will be agreed with the supplier and invoiced as required. These will be documented on a regular basis in Supplier Valuations, in which deliveries (quantities, for example) found to be defective are compared against incoming goods over a specified period. Additional criteria include product quality, packaging quality, and delivery reliability. The supplier will be informed of the valuation results. The supplier will then be required to take appropriate measures based on the valuation. Deliveries must take place by the agreed delivery date, corresponding to the time of arrival at the place of delivery or, if agreed, to the date of the shipment's departure. Delivery notes must accompany the delivery unsolicited and in a clearly visible place, in order to avoid unnecessary time spent searching and waiting at the incoming goods point.

4. Packaging Requirements The following points regarding packaging requirements must be observed. The annex also includes additional information. 

It must be ensured that internal product parts (particularly dampers) do not protrude beyond the confines of the container during transport. This is achieved, for example, by ensuring that the dampers are placed in the container with the piston rod pointing inwards. Weights must be evenly distributed.



As a precautionary measure to prevent mechanical damage to the product, empty spaces inside the transport containers must be filled. Materials that can be disposed of safely are to be used for this purpose. All packaging materials must be recyclable and free of pollutants. Likewise, the IPPC standard currently in force must be met. The nature of the packaging materials used and their waste code must be documented; plastics must be labeled.



For delivery of shock absorbers with product labeling according to the ZF Services standard, the inside walls of reusable goods carriers (such as wire-mesh containers) must be lined with corrugated cut-to-length cardboard measuring 1200 x 800 x 950 mm high to prevent faulty electrical switching of the automatic data capture system via light barriers within transport systems.



The technically flawless condition of EURO flat pallets and pallet cages must be ensured in accordance with the European Pallet Association EPAL exchange criteria.



Only packaging materials approved and released in accordance with IPPC Guideline ISPM 15, with due consideration of Regulation (EC) No. 2037/2000 (exclusion of methylbromide), are to be used for deliveries. The heat treatment for wooden pallets and packaging material includes a treatment of 30 minutes at 56°C. The use of methybromide is excluded without exception.



The use of disposable plastics should generally be avoided; if absolutely necessary, this must be jointly agreed upon in advance with ZF Services.

To reinforce cardboard containers, edge protectors or other types of reinforcement (such as triple-corrugated pallet boxes) must be used to prevent the box from bulging and bending. When using any type of wood, IPPC Guidelines ISPM 15 must be observed.

Secure the bottom with a nail to ensure that the cardboard container can be easily removed from the pallet with just one hand. 

Avoid bulges and tears on cardboard containers (see Fig. below). The width of the cardboard box must not exceed the width of a pallet. Protruding cardboard containers cause problems with the material handling and conveyor equipment and must be avoided under all circumstances.

The requirements mentioned above likewise apply to wire-mesh containers. In this case, protection (such as cardboard) is required between individual parts to prevent mechanical damage to the surface resulting from sudden impacts, scratches, etc., primarily during transport.



Reusable packaging is preferred; its cost-effectiveness must be determined in advance in consultation with Purchasing and with our Returnable Packaging Management and Logistics Planning departments. Exception: Deliveries of pre-packaged articles.



All deliveries must be sorted by article. Any deviation from this specification is permitted only upon prior consent and release by ZF Services (Purchasing). If this is not economical for transport reasons, arrangements with ZF Services must be made beforehand and approved. Mixed loading units may only be made if ZF Services has given prior consent to this in writing and, moreover, if it is ensured that item numbers are clearly labeled (for example, with the comment "mixed pallet" and the respective unique item numbers). Mixed pallets of sample shipments should also be avoided and should be clearly labeled as samples.



When securing cardboard containers to pallets, 4 nails at least and 8 nails at most (1-2 per corner) should be used.



Labels/information/notices attached to the outside of the cardboard boxes/wire-mesh containers must be securely attached to prevent them becoming detached or lost during transport.

It must be possible to stack the pallets. Stackability means delivering the container in a sufficiently stable condition to prevent tears, creases, and damaged pallets and to ensure that it can withstand any type of transport without becoming damaged. This feature encompasses the transportability as mentioned on page 7 (see Fig. on page 7), as well as the max. 2.50-m height limit for stacks. Priority should be given to utilizing the maximum load volume; however, it should also be noted that pallets on trucks must be stacked in such a way that they do not require turning again prior to storage and are ready to be placed directly into the warehouse.



Handling by means of floor conveyor equipment/forklifts must be ensured (for example, by providing appropriate clearance for pallet dimensions (min. of 10 cm)).



Packaging must be easy to open with a few hand movements by applying minimum force and without requiring tools.



It must be ensured that – under adherence and compliance with the corresponding requirements of the products to be delivered for a safe and appropriate transport without damaging the products to be delivered - an optimal loading container is chosen according to the delivered pieces (maximized batch).

Important: Please provide us in advance with brief documentation of the packaging you are using, including dimensions and material!

4.2. Marking A VDA 4902-compliant machine-readable goods label must be affixed to every loading unit. This is to enable automatic entry of all warehouse-relevant data into the system every time goods are transferred (goods received, shipped out, etc.) by scanning the barcode on the VDA goods label. Individual packages should be labeled with VDA Label 4902 Version 4 (210 mm x 74 mm for single loads and 210 mm x 148 mm for complete loads). For single deliveries (individual packages on mixed pallets, for example):

4.3. Duty to supply information: REACH Information We would like to remind you of your legal notification duty according to Art. 33 (EC Regulation No. 1907/2006 on the Registration, Evaluation, Authorization, and Restriction of Chemicals [REACH]). It is also necessary for suppliers outside of the EU to make the information listed below available in order for ZF to comply with the above-mentioned duty to supply information towards its customers. Please inform us for each delivered item whether it contains substances in a concentration > 0.1% that are included on the list of Substances of Very High Concern according to Art. 59 (“Candidate List”). In the case that substances of such kind are contained in the item, you must respectively state the corresponding concentration i.e. as a declaration of weight [g] and the version status (date) of the list used. The most current version of the Candidate List can be found at http://echa.europa.eu. The information is given during initial sampling, e.g., via IMDS.

4.4. Shipping documents 

Every delivery must be accompanied by package-related packing lists indicating:

Accessory parts must be listed on the packing list, the delivery note, and the goods label (VDA Standard 4902) of every package, with the note "loose" or "assembled".



The correct number of loose add-on components included in the delivery must be enclosed in each package.



Where appropriate, the delivery note and goods label for shock absorber deliveries should clearly indicate which label is affixed to the damper, and in which color (for example, SACHS/blue or BOGE/red).



Every supplier must submit a certificate of compliance with Directive 2000/53/EC on End-of-Life Vehicles and must voluntarily present a currently valid safety data sheet once a year.

All vouchers and markings should preferably be issued in German. In any case, delivery and freight documents used to identify the shipment must be written in German or English. If statutory regulations (such as customs requirements) require a different language, a German or English translation must be provided.

4.5. EDI & notification An electronic data interchange (EDI) system must be in place to allow data to be exchanged between the supplier and ZF Services. Please inform your ZF Services contact of the available EDI access options without delay. For all suppliers already working with EDI, a dispatch notification (via EDI, for example) must be issued (at least two days in advance) indicating at least the arrival time, product number, product quantity, origin, and number of transport containers. Notification must be sent by the supplier no later than upon dispatch of the shipment so that the data will be present and immediately available when the goods arrive. Communication between electronic data processing (EDP) systems must be coordinated in detail. It must be ensured that only one item number is packed in each transport container. Each single-item transport container must be clearly labeled with a barcode on the VDA label (slight modification of the standard in unrestricted-use fields). ZF Services will specify the code numbering system to be used and will notify the supplier. When using small load carriers, each carrier must be packed with a single item and labeled accordingly.

5. Packaging Disposal One-way packaging, when used, should be minimized in terms of weight and volume. As a general rule, environmentally-compatible, recyclable materials should be used for all packaging.

6. Additional Quality Requirements Parts must be packed in such a way that they are protected from all types of damage. This includes damage such as corrosion, soiling, breakage, etc. In the delivery condition, parts must exhibit reliable corrosion protection properties for two years. Corrosion protection can take the form of single-part preservation with an appropriate agent (as per the EC Chromium VI Directive) along with the additional use of volatile corrosion inhibitors (VCIs). Specifically pretreated parts (such as bonded clutch disks) must undergo a special corrosion protection procedure, such as individual packing in bags with VCIs. Products must be packed so as to be adequately protected from penetration of moisture and condensate. Before packing clutch parts into the shipping containers, suppliers to ZF Services must line the containers with a block-bottom bag to keep humidity out. Interlayers that cause corrosion to develop (such as cut-to-length cardboard) must not come into contact with metallic product surfaces. this case, the use of cut-to-length cardboard with film coatings or plastic interlayers must be specified in consultation with ZF Services. Sufficient amounts of VCIs must be added to the containers. Suspension- and Supporting joint (ball joint, outer ball joint, tie rod tail end) need to be delivered with a proper protection cap. The protection cap needs to protect the bellows and the ball stud against damages during the whole transportation – including potential storage in the meantime – from the suppliers till the end customer.

7. Export Restrictions, Preference Documents and Proofs of Origin A Supplier Declaration acc. to Regulation (EC) No 1207/2001 and indication of the country of origin (proof of origin) are required elements of every order. It needs to be ensured that the certificate of origin is made available at the customs management at ZF Services prior to the receipt of goods. Proofs of origin requested by ZF Services will be provided by the supplier with all the necessary information and made available properly signed without delay. This applies correspondingly to proofs regarding value added tax law in the case of foreign and intracommunity deliveries. The supplier will inform ZF Services without delay – if possible before the delivery to ZF Services if a delivery is wholly or partly subject to export restrictions according to German law or any other law. Suppliers from member states of the European Union are required to hand over ZF Services longterm supplier declarations in accordance with the European regulation prevailing at the time without being asked within 30 days from the acceptance of the order and afterwards in each case within the first two months of each calendar year. If this cannot be effected for particular supplies of goods, the corresponding proofs of origin must be supplied at the latest with the presentation of the bill.

8. Miscellaneous In addition to these delivery specifications the site-specific shipment instructions must also be followed. Amongst others the shipment instructions regulate especially the following points; please note, that the list is a non-exhaustive enumeration:

Complete customs documents are to be made available without prior request at delivery and prior to unloading. Potential discrepancies must be reported in time. ZF Services reserves the right to refuse the acceptance of goods if there is a lack of customs documents and to charge the costs, resulting from the lack of customs documents and the refuse of acceptance.

Locks and Plugs are only allowed to be opened by ZF employees. The acceptance of goods, opened by third parties will be refused and the costs resulting from the refuse of acceptance will be charged to the supplier.

Deliveries – time slot management o

The TRANSPOREON system is used to manage deliveries at ZF Services in Schweinfurt and Bremen. Time slots can be reserved until 15:00 the day before by the supplier or forwarding company. It is the freight payer's responsibility to ensure that the forwarding agent complies with these regulations throughout the entire transport route.

As a general rule, failure to observe these regulations can result in additional, costintensive internal procedures. ZF Services reserves the right to charge and invoice the hereby resulting costs to the supplier.

9. Annexes 9.1. Special handling of clutch parts Wire-mesh containers must be lined with VCI film.

Grid mats must be used as interlayers for pressure plates, clutch disks, and release bearings. The correct type of grid mats must be determined with the Quality Assurance department.

ZF Services recommends the use of deep-drawing films (inserts) for fan clutches.
