Daily Absence Report This is a flat report, grouped by Homeroom, providing student totals with academic session selection.

Sample Report

Report Setup •

Log in to InformationNOW and select Reports | InFocus.



Add/select report from the drop-down list.

Select Report Template of Tabular Report with Header and click OK.



On the Select or Modify Data Source screen’s Add/Remove tab, bullet Daily Absence, Academic Session and Student.

Select the Filter tab and then click the left.



The Add a Parameter option allows the user to filter out certain information. In the example shown below, the filter will be the academic year, with parameters set as follows:



(Add a Parameter) button at lower

o

Column: Select Academic Session.Academic Year.

o

Operator: Select Equal to.

o

Default Value: Select Specific Value (this will use an exact value).

o

Ask in Report: Check this box (the user will be asked for input).

o

Caption: Type What year (the text entered here will be displayed as the caption).

Click OK to proceed.

To delete or edit the parameters, click the red X or the paper icon under Actions.



Click OK.



This Table Columns tab will display next. This refers to the columns of information that will be shown in the report.



Select available columns to assign by double-clicking, highlighting individually or using Ctrlclick to select more than one column. When all selections have been made, click the right arrow in the center to the selected columns to the Assigned Columns list. Below, selected columns are: Academic Session.School, Student.Student Number, Student.Name, Student.Homeroom, Daily Absence.Date, Daily Absence.Absence Reason and Daily Absence.Absence Value. o



To remove a selection from the Assigned Columns list, double-click on the column name or highlight it and click the left arrow to move it back to the Available Columns list.

Click on the

(Save) icon at the top or select the File tab and click the Save As icon.

o

Report Name: Give the report a title.

o

Report Description: Describe what the report exports.

o

Report Expiration Date: Add a date at which the report will no longer be available for users. This may be changed at any time.

o

Destination Folder: Use the drop-down list to save the report in a selected folder: Shared, Personal or All Reports. Alternately, the user may select from the list of folders.



Click OK.



Click the Column Configuration tab. This tab allows the user to set up several options in the report: o

Column: Drag and drop any column(s) to change the order in which the columns show on the report.

o

Header: Change the descriptive name of the header label if desired.

o

Sortable: Select one or more column(s) that the user may choose for sorting.

o

Summary: Click on the summary icons to add summary rows to the report.

o

Format: Use the drop-down list to change the format of the column.

o

Visualization: Allows numeric fields to be displayed with a colored indicator such as a bar, color slider (backgroud), color slider (circle) and color slider (square).

o

Width:If desired, enter the width of the column in pixels according to the local monitor settings.

o

Alignment: If desired, use the drop-down list to change the alignment of the column (Left-or Right-justified, Centered).

o

Style: Select the style icon to add color or highlights to the report if set criteria are met.

Check the appropriate box to make the report sortable according to the column heading or click the Sortable box at the top to make all columns sortable.



(Summary) icon in the Absence Reason row, then click the Click on the (Add an Aggregate) button In the Label column, type the label to show in the report for the total of absence reasons. Example shown below.



Select Count for the Aggregate.



Leave Format set to none



Click OK to save or click the red X to delete the Aggreate Reason.

Click on the Grouping tab to group by one or several columns and to group by Not Grouped, Grouped Flat-Table or Grouped Drill-Down (Grouped Flat Table is selected for this example).

Not Grouped: No grouping on the export.

o

Grouped Flat-Table: Allows grouping on one or more column.

o

Group Drill-Down: Allows grouping by a column then drill-down for detailed information.

Click on the Add Grouping Layer button. Select Student.Homeroom from the Available Columns. Double-click or highlight and select the left arrown to move to the Grouped Columns window.



Click the Add an Aggregate Column button.

o

Column: Select Daily Absence.Absence Value from the drop-down list.

o

Aggregate function: Select Sum from the drop-down list.

o

Label: Type in the label to export in the report (Total by Homeroom).

o

Click OK to save the Group Aggreate or click the red X to delete the Aggregate.

Click on the Add Grouping Layer button Select Student.Student Number from the Available Columns window.



Click the Add an Aggregate Column button.

o

Column: Select Daily Absence.Absence Value from the drop-down list.

o

Aggregate function: Select Sum from the drop-down list.

Label: Type in the label to export in the report (Total by Student)



Click OK to save the Group Aggreate or click the red X to delete the Aggregate.



Click on the Save icon at the top.



Click on the Table Settings tab.

Title: Type the title of the report.

o

Show record count: If selected, the record count will show on the export.

o

Include row number: If selected, each row will be numbered.

o

Interactive Paging: Allows the user to type a page number.

o

Rows Per Page: Type in the number of rows to display per page.

o

Rows Per Sub-Report Page: In a drill-down report, select the number of rows.



Click on the Header Infromation tab to select to include the Date and/or Time on the export report.



Click on the Insert tab and select the Exports icon .

Make a copy of the original report by going back to the reports page. Click on the Actions arrow and select Copy.

o

Rename the report. Ex. Daily Absence Drill Down.

o

Change the Description. Ex. Grouped table with date and student totals.



Click Save.



The only change to make is in the Grouping tab. Change to Grouped Drill-Down.



Delete the Grouping Layers by clicking on the red X.
