Creating a PowerPoint Photo Show 1. Go to “File” > “New” (red arrow)

2. Select “Save As” [blue arrow] your presentation in the appropriate folder. 3. Before importing images, or other files, be sure to reduce the files sizes if possible for easy transitions from slide to slide. For instance, it is best to reduce image files in a software program such as Abode PhotoShop so that your images are no larger than 300K - 400K. Additionally, the image size should be reduced to a size such as 2” (Width) x (Height) 4” [green arrow] and a resolution setting no larger than 300 [green arrow].

Created By: Michael J. Brooks 4. Now you will want to import images for your slide show. You will need to select “Insert” > “Picture” > “New Photo Album” [red arrows].

5. A new dialog box (Photo Album) will appear after selecting “New Photo Album”. From this dialog box you will find and select the images you wish to place in your slide show.

7. After clicking on File/Disk, a new dialog box will appear. From the “Insert New Pictures” dialog box, click on the drop down arrow [blue arrow] and find the folder [black arrow] that contains the images you wish to import to your presentation.

Created By: Michael J. Brooks 8. From the folder select [red arrow] the images you wish to import into your presentation. If you wish to import all images in that folder, press CRTL A in order to select all images. If you wish to select individual images you can do so by holding down the CRTL key while left clicking on your mouse over each image you wish to import. Once you have selected the images you wish to import into your slide show select “Insert” [blue arrow].

9. After pressing insert you will have the same dialog box reappear from which you located the files you wish to enter into your slide show. On page 5 you can observe a listing of the files you selected to enter into your slide show [red arrow].

10. If the photos you are about to enter are not in the order you wish [green arrow], you can move them up and down to the configuration you wish. First, select the image you wish to move [blue arrow], next, use the up and down arrows [orange arrow] in order to move it to the desired position.

Created By: Michael J. Brooks 11. Once you have your images in order you can now load them into a slide show by pressing “Create” [red arrow].

12. On the left hand side of the page [blue arrow] you should now see all of the slides that were just created in your slide show. You can scroll up and down to see all images using the slider [green arrow].

14. If you double click on the first slide [blue arrow], which is the title slide, you can enlarge it to fit the entire screen where you can easily re-title that slide [orange arrow]. Enlarging a slide also makes it easier to change the font type, size and color [green arrows].

Created By: Michael J. Brooks 15. Next you want to select a “Slide transition” [red arrow]. If you wish to keep a transition simple, this is the easiest method. It also looks more professional if you have a smooth transition between slides. There are many transitions to choose from however, PowerPoint will provide you a preview when you click or select a transition [blue arrow]. Furthermore, it is also important that your slide transition is not a distraction. Therefore, using random transitions for each slide is not a good idea. In other words, don’t use a different transition for each slide, find one you like, such as “Box Out” [blue arrow] and use it throughout the slide show.

17. Next you will need to select how each slide will transition from one to the next. Do you want to manually transition by hitting your space bar or mouse click [orange arrow]? Or, do you wish to set your transitions to set time transition [orange arrow]? Next, select how quickly you wish for your transitions to take place at the “Modify transition” tab [green arrow]. Sounds are not recommended for transitions as they can be distracting.

18. Now you want to create a background for each slice. There are several choices you can make in creating a background. You can use the templates that are pre-loaded with PowerPoint, you can create one in PowerPoint or you can import a custom made background. First, we’ll discuss the pre-loaded backgrounds and how you can make a background using PowerPoint. Under “Format” > “Slide Design” [red arrows] you will see to the pre-loaded backgrounds [blue arrow] from which you can select a design.

By clicking on one of the pre-loaded background designs [blue arrow] that selected design [yellow arrow] will then be added to all current and slides added at a later time if done so. The next process in which you can add a background is a little more involved however; this process presents more options for the sake of creating a more aesthetically pleasing background.

Created By: Michael J. Brooks 19. If you wish to apply a custom background you can do so by first going to “Format” [red arrow] followed by “Background” [blue arrow].

20. Once you have selected “Background” a new dialog box will appear. In this dialog box you can select a solid color [green arrow] or you can create your own by going to “Fill Effects” [orange arrow].

Created By: Michael J. Brooks 21. Once you have opened “Fill Effects” you will have new dialog box appear. In this dialog box, “Fill Effects”, you can select a solid color or two colors [red arrow]. You can also select the angle or the “Shading Style of the two colors you choose [green arrows] for whichever colors you desire. A word of caution when selecting colors, it is best to select colors that are neutral and colors that will contrast with the color of the text to be used. Dark background colors such as black, purple, burgundy and the like are not well suited for all viewers as they can be hard to see in a darkened viewing environment. As well, dark text against a dark background is not a good idea.

Created By: Michael J. Brooks 22. After selecting you colors, click ok. A new dialog box will now appear. You select apply if you wish to apply that an individual slide by pressing “Apply” [blue arrow] or you can apply that new background to all slides by pressing “Apply to All” [red arrow].

You will now see the background you created as applied to all slides [green arrows].

23. At this point it may be a good idea to save your presentation. At step one the slide show was saved as, now it is only necessary to do a save since the slide show will not need to be re-titled. You can go to File > Save in order to save the file or you can use the short cut, “Ctrl + Shift”. 24. If you need to perform management on the content of individual slides it may be best to go back to the slide sorter view (see step 13 on page 7) or by using the slider on the left hand side as seen on step 13, page 6, green arrow. Double click on the image you wish to manage and it will enlarge in PowerPoint as seen below. If you wish to enlarge or reduce the size of an image, place your cursor over the image and click on it. After selecting the image you wish to manage you will now notice there are white dots on the corners and in the middle of sides of the image. Next, place your cursor [black arrow] on one of the dots [red arrow], and then left click on your mouse and hold down the left click followed by dragging your mouse. By doing this you can either reduce or enlarge the image. If you need to further manage the image, such as darken/lighten [green arrow], convert it to black & white or back to color [blue arrow], add more or less contrast [orange arrow], crop the image [pink arrow] you can do all of this through the toolbar that appears when you have selected an image for editing.

Created By: Michael J. Brooks 25. If you feel you have completed your basic editing save your completed slide show by pressing “Ctrl + S”. Now you can view your slide show by pressing the “Slide Show” icon.
