COUNTY OF MENDOCINO REQUEST FOR PROPOSAL ADDENDUM NO. 1 LIBRARY SELF-SERVICE CHECK-OUT SYSTEM RFP No.

33-13

Addendum Issue Date:

September 3, 2013

RFP Issue Date: RFP Submission Deadline:

August 22, 2013 September 5, 2013

VENDOR INQUIRIES/MENDOCINO COUNTY RESPONSES 1. Vendor Inquiry: Section XI, Scope of Work, Item A.2.c, page 9, and Item C.2.a-c, page 11 seems to indicate a more juke box dispensing and checkout type of device. These types of systems are typically very expensive and limit the number of items that are contained in the unit. Is this what the Library is looking for versus a disc media unlocker? County of Mendocino Response/Clarification: The County is looking for a unified system that has the ability to combine self-check with disc dispensing all in one location and can be used to checkout media and/or just for self-check. We are looking for a media dispensing system that is flexible and can grow with the collection but is part of the self-check system. 2. Vendor Inquiry:

How many units is the Library looking for?

County of Mendocino Response/Clarification: 10 3. Vendor Inquiry: Would the Library be interested in the options for self check-out systems that could unlock a locked CS, DVD case? County of Mendocino Response/Clarification: No – the County does not use locking cases and has no plans to convert the collection to locking cases. 4. Vendor Inquiry: Section III, Proposal Submission Guidelines, Item B, page 3, one of the items listed as a bid required submittal is “Proposal Cost plan and Narrative” – could you please elaborate on what is expected in this “narrative” other than completing Attachment H, the pricing worksheet? County of Mendocino Response/Clarification: If there is additional information necessary to describe the cost plan and/or items contained within the cost plan, this would be considered narrative.

5. Vendor Inquiry: Is the Library willing to accept bids for self check-out equipment without media disc dispensers as described in the RFP? County of Mendocino Response/Clarification: Media disc dispensers need to be a part of the RFP. If you do not have disc dispensers that are described in the RFP please provide information and pricing for the type that you do have. Also include information as to how they do not meet the RFP specifications. 6. Vendor Inquiry: document?

In order to generate a timely response, could the RFP be sent to vendors in a word

County of Mendocino Response/Clarification: The County has uploaded a word document to the website located at: http://www.co.mendocino.ca.us/gs/central/rfps.htm. 7. Vendor Inquiry: On page 37 of the RFP in regard to the six (6) Disc Media Dispensers, are they independent/separate systems (example: can be placed in different branches/locations) or are they part of the single Disc Media Dispenser System with high capacity (Example: all operations are done from a single control work station and all dispensers are located in one physical location)? County of Mendocino Response/Clarification: 5 different locations 8. The deadline for receipt of bids is hereby extended to September 10, 2013, at 2:00 p.m. ALL OTHER SPECIFICATIONS REMAIN IN FULL FORCE AND EFFECT. Acknowledgment of receipt of this addendum is required to be included in your proposal.
