MJog is an excellent way to send your patients Flu awareness messages quickly and cheaply. The feature will also allow patients to reply to messages which can be read coded back into their record. Before you build your campaign message, you will need to export the patients you wish to contact into a CSV file. You will only require the patient’s ID number* and nothing else, as below:

*If you use SystmOne, please use the NHS number instead of Patient ID and include ‘NHS-number’ in the first row. If you are struggling with the format of your CSV file, please see the file on CSV Troubleshooting available on the MJog website. You are now ready to build your message! From the homepage of MJog, select “Communicate with my Patients”

To the left of the page select the “Campaigns” tab, then the “Global templates” section. You can select the relevant flu template by clicking the radio button to the right of the template and then “Continue”. To view all available flu templates, select the Flu Filter button, or type “flu” into the filter search. To preview a template, click on the icon for the template you wish to view.

Once you have selected your template, you will be asked to choose how you wish to send it. Use the ticks to select the methods of communication you require. At least one option will need to be ticked.

Once you have clicked continue, you can choose the priority of messages. Drag the boxes to be in the priority that you prefer. For example, in the picture , the message will be sent to all patients who have a mobile number via a text. For those patients who don’t have a mobile number in their record, but do have a landline number, the message will be sent to them by “voice”. If a patient doesn’t have a mobile number or a home number listed, but do have an email address, they will receive an email. Patients who have a mobile, an email address and a land line number will only receive a text.

Next step is to select your patients.

As you have already created your CSV export file, it is simply a matter of uploading it.

MJog will tell you how many patients it has found. You will need to select “Start” so that MJog can import the data.

Once MJog has matched the data, you will get a sample of the patients. This proves the data has imported correctly and to how many people you can send the message. If you are satisfied, click “Continue”.

You will be taken back to the main campaign page and will have a tick to show you have successfully set up your message and selected your patients.

You can move onto the next step, “Select Delivery Options”. This gives you the choice of when you want your message sent.

From the calendar, you can select the date you wish your campaign to go – this can be as far into the future as you like. In addition, you can choose the time of day your message is sent. “Daytime” is classed as 10am until 6pm; “Evening” is 6pm until 9pm; and “Anytime” is between 10am and 9pm. Once you have selected your time of day, you can continue. You will get a tick to say you have successfully completed the delivery option setup. The next step is to add read codes. This can be done at the point of setting the campaign up, or up to 14 days after your campaign is sent. If you prefer not to add read codes, you can move straight on to sending your message.

Selecting the “Setup Response Filters” link will take you to a page where you have the option of adding read codes to four areas: ♦ ♦ ♦ ♦

Custom Response Area; where you can read code patient responses. Messages Delivered; messages that have successfully reached the patient’s phone Failed Messages; messages we’ve tried to send, but haven’t got through Patients not included; this is patients for whom you do not have a mobile number

You can flick between voice and text filters using the tabs to the left. To add a read code, click the green plus and select the first option, to “write information back to your PAS”.

You will then be presented with a box where you can either search for codes, or simply add the code if you already know it.

You can also add a comment which provides more information about your campaign. For example, you may want to note that it is the first attempt at contacting a patient for a recall. Once you have added your read code, click “Add Action” and the read codes will be automatically added to your selection once the campaign has been sent, or will appear shortly if you are read coding retrospectively. When you have added all the read codes, you can click “Continue” and this will take you back to the “steps to complete” page. You are now on the final stage, “Sending”. 5 of 8

Clicking on “Send Message” will not mean your message is sent yet. It takes you to a page where you can review your message and, if you wish, send yourself a test message before you send out to your patients.

When you are happy with everything, you can click “Send Messages”. If you have opted for the message to be sent out the same day, there will be a gap of an hour before the message starts to go out to your patients.

You can choose to send yourself a test message before it goes to your patients.

Alternatively, you can tick the box to have the message sent to you at the same time your patients receive it.

Your message will alert you when it has been sent. You can then continue.

You can review the delivery status by clicking the link “View detailed delivery status”.

From here, you can use the filters to review the status of the messages.

To return back to the campaign overview, select to go back to the previous page, or if you have finished, you can return to the home page.

If you wish to revisit your campaign once it’s sent, you can find it again by selecting “Communicate with my Patients” from the homepage and then at the bottom, there is a button called “Manage my Activities” which will give you a list of all of your current campaigns.

You can then select the campaign you wish to review by clicking “Go”.
