Job Aid: How to Look Up a Proposal/Award/Project/Contract

PROPOSAL SEARCH 1.

In the Menu on the left side of the screen, navigate to the Maintain Proposal search screen (Grants > Proposals > Maintain Proposal.)

2.

Verify that you are on the Find an Existing Value tab.

3.

In the Business Unit field enter UMSPR if it does not default in. You can also use the lookup on the right side of the field to find and select this value.

4.

Enter additional search criteria in any of the fields to narrow the search and limit the results. When specifying search criteria, you can enter a full or partial value for any key field. You can also use operators to narrow the search. These include ‘begins with’, ‘contains’, < (less than), and > (greater than).

The search criteria most likely to be known and used to search for a proposal will be: PS Proposal ID PI ID Sponsor ID Dept ID Short title Sponsor Proposal ID 5.

15 characters long, starts with CON and has 12 numbers after that Principal Investigator’s EmplID Customer ID assigned to the funding agency Department ID associated with the proposal - usually the Dept ID of the Principal Investigator’s home department, but not always Proposal Title Funding agency’s assignment code for the proposal, if any.

PROJECT SEARCH If you do not know at least part of the Project Number, you can still search for it if you know part of the Project Title. The Project Title may be different from the Award Title. If you do not know enough of the Project Number or the Project Title, you will need to use the Proposal or Award search to find the Project Number and then come back to use the Project search. 1.

CONTRACT SEARCH using Customer Contracts The Contract Number is the same as the Award Number and the Proposal Number. If you do not know at least part of the Contract Number, you can still search for it if you know part of the Award Title or the funding agency. If you do not know enough of the Contract Number, Award Title, or funding agency, you will need to use the Proposal or Award search to find it and then come back to use the Contract search. 1.
