As System Administrator, when you log into your J. J. Keller Mobile account, you will have functions available to set and configure many company-specific items for your J. J. Keller Mobile system.

J. J. Keller Mobile™ Settings J. J. Keller Mobile has just a few settings that must be configured prior to utilizing the system. Additionally, all users will need to be setup. To adjust J. J. Keller Mobile settings, look to the Keller Mobile Settings box.

The settings that are configurable in the section are: • • • • • •

Mobile Company Settings, such as activation code, communication type, etc. Mobile Location Codes for times when GPS is not available Mobile User Logins for setting drivers up, one at a time, with credentials to access the J. J. Keller Mobile application Mobile User Logins— Drivers can be set up all at once in large groups or one at a time, with credentials to access the J. J. Keller Mobile application EOBR Device List to view all EOBRs and assign to specific unit numbers Map Landmarks for setting up distribution centers, customers, etc. for viewing on the map

Page 5

The ‘Mobile Company Settings’ play a critical rol The ‘Mobile Company Settings’ play a critical role in tying the EOBRs, J. J. Keller Mobile software, and J. J. Keller Mobile web together. Additionally, there are some controls here that can adjust the way the EOBR performs. These settings maybe configured, initially, by your J. J. Keller Project Manager. The ‘Activation Code’ is setup once and is used to activate the J. J. Keller Mobile software for your company on your drivers’ devices. This may be specific to each company location. The ‘Log Day Purge Count’ is how many days worth of logs will be kept on the drivers’ devices within the J. J. Keller Mobile software. This does not affect how long the EOBR will keep data. The ‘EOBR Communication Mode’ should be USB then Bluetooth, unless you are strictly using Bluetooth, then set to ‘Bluetooth’. The ‘EOBR Discovery Passkey’ is critical to tie the EOBRs activated for your company to the drivers’ devices with J. J. Keller Mobile software together. The activation code lies within each device—the EOBR and the driver’s mobile device and tie the two together. If you are using Bluetooth, you should change the default to ‘Use Company Passkey,’ and create one specific to your company. The default System Passkey is ‘All Devices.’ The ‘EOBR Sleep Mode Minutes’ determines how long until the EOBR USB COM shuts down. When the USB COM shuts down, the EOBR is no longer charging your drivers’ devices, so it is recommended to set this number to the highest value allowable (9999), depending on how long your trucks may sit without activity. The ‘EOBR Collection Rate Seconds’ is how often the EOBR is gathering ECM data. The default is 1 second. You should always leave this setting ‘as is.’ The ‘Number of Days to Include in FTM Trips’ defaults to 1, but if your trips are typically a distinct number of days, you may wish to configure this to that particular number of days. The ‘Driver Start Distance’ (miles) is how far the vehicle can move before J. J. Keller Mobile application indicates a driving status. This is to eliminate driving time from the shop to the yard by a mechanic, etc. that is in need of reconciliation. ‘Driver Stop Minutes’ is how long you want the J. J. Keller Mobile application to wait before automatically changing the status from driving to onduty. For example, if the driver is stopped for more than 8 minutes, you may want the system to default to on-duty status. In that case, you would enter 8 in this field. The ‘Max Acceptable Speed’ (MPH) is the maximum speed at which you wish your vehicles to travel. This does not govern the vehicles, but simply allows you to view time spent over this threshold. The ‘Max Acceptable Tachometer’ (RPM) is used for threshold exception alerts, as well as daily information, such as time spent over this threshold. Set this to an RPM that you do not wish your vehicles to surpass. ‘Hard Brake Deceleration Speed’ (MPH in 1 second) determines what is considered a hard brake or sudden stop by your company’s standards. The default is 7MPH in 1 second, so if a vehicle decelerates 7MPH in 1 second, then a hard brake alert will be generated. 7MPH may be too tight for your company. For some companies, 15MPH deceleration is appropriate in 1 second.

Page 6

Mobile User Logins The Mobile User Logins setting is used when adding one driver login at a time. Each driver needs a username and password to access the J. J. Keller Mobile software, so you may choose from employees you have in the system to create usernames and passwords for. Prior to setting up any m obile user logins, the

driver(s) need to be added to the system under the ‘Employees’ tab w ithin the Driver M anagem ent portal in Encom pass.

When adding your drivers, it is critical that a ‘Rule Set’ is selected under Employee Rules, so that the system knows what rules to use when auditing logs. Additionally, a hire date is important, as that will be the day that the system starts expecting logs. Once drivers are added, proceed with creating mobile user logins. *These logins are very different than the users you setup to view J. J. Keller Mobile web. These logins are ONLY for the J. J. Keller Mobile application on the Windows devices, and will not give that driver ANY access to the web. You may view all drivers already setup, edit and delete those drivers, as well as change their passwords. To add a new driver login, select Add New Login.

Choose the employee to create the login for, by selecting him/her from the Employee drop-down. Then assign the driver with a username and a password (password must be a minimum of 6 characters). *You should be aware, when setting up usernames and passwords, of the type of device being used by the driver. For example, if the driver is using a device that has letters and numbers on the same keys, you would not assign him/her an alpha/numeric username or password. You would want to keep it as simple as possible and utilize just a few alpha characters. If a driver is using a device with three letters per key, it is easiest to only assign usernames and passwords that utilize the first letter on each key. You may also select Change Password Next Login. This will allow the driver to enter the username and password that you have created for him/her upon their first login to the J. J. Keller Mobile application, but they will then be prompted to change their password.

*Many companies find it helpful to also create a login for mechanics so all tim e/ distance driven by a mechanic can easily be reconciled. To do so, setup your mechanic under the em ployees tab and then select their name on the Add User Login screen.

Page 7

Mobile User Logins – Add Multiple The Mobile User Logins – Add Multiple setting is similar to adding driver logins, one at a time, but is more efficient, when adding multiple driver logins. Each driver needs a username and password to access the J. J. Keller Mobile application, so you may query from employees you have in the system and generate a list of drivers to create a login for.

Query for Company Levels, Job Classes, Employment Statuses, etc, then select Get List.

If you have any drivers/employees in the system that do not have driver logins already, you will be given a list of them to generate a username and password.

Select the desired option for Username and Password, then select Save. A username and password will now be created for each person that was listed.

The options for Username and Password include: Employee Code, FLastname, FirstnameLastname

Page 8

EOBR Device List (For Utilization After EOBRs are Installed and Configured) The EOBR Device List shows all EOBRs that have been activated for a company. This screen populates automatically when EOBRs are configured. The following information is available on the EOBR Device List screen. • • • •

Serial Number: s er ia l number on the EOBR Tractor Number: a s entered into the handheld device and stored on the EOBR (on handheld, tractor number should be entered in same format as unit code stored on web) Unit Code: the unit the EOBR is assigned to (tractor number and unit code should be identical, but if not, you may still assign an EOBR to the proper unit) Databus Type: indicates what communication protocol method is being utilized

If the tractor number does not exactly match a stored unit code in the system, you will need to assign that EOBR to a unit code. To do so, select the EOBR serial number, then select Assign. You will be prompted to choose from units in system. This is also where you would unassign a unit. You will need to unassign a unit any time you move the EOBR from one unit to another and/or move the unit from one company to another.

Page 9

Map Landmarks If you would like to see certain places, such as distribution centers, hubs, customer locations, etc., visible on the map, you may set them up as landmarks. To add new landmarks, select Add Landmark.

Simply enter the name of your landmark, as you would like it displayed on map, and enter address, city, and state. The system will then plot that point on the map.

*Enter all zeroes in zip code to have map plot the exact street address. Enter zip code if you would like the landmark plotted at the center of that zip code.

Page 10

J. J. Keller Mobile™ Company/Employee Level Rules J. J. Keller Mobile has several parameters that can be adjusted for each level and/or location within your company. By selecting Company Level Listing under Maintain Company Info on the Setup page, you will be able to adjust these parameters. Additionally, you have the ability to adjust these rules for individual units as well. If you adjust the settings for the company levels, those rules will filter down to all units in those company levels/locations. However, if you go to a unit record and adjust the Unit Rules, then those rules do not affect any other units. To configure Company Rules, select Company Level Listing.

Next, select Edit Rules.

Page 11

There are many company rules available to configure. For J. J. Keller Mobile, it is critical that you configure the ‘J. J. Keller Mobile rules’ to align with your company’s operations. The ‘Driving Start Distance’ (miles) is how far the vehicle can move before J. J. Keller Mobile software indicates a driving status. This is to eliminate driving time from shop to yard by mechanic, etc. needing reconciliation. ‘Driving Stop Time’ (minutes) is how long you want the J. J. Keller Mobile software to wait before automatically changing the status from driving to on-duty. For example, if the driver is stopped for more than 8 minutes, you may want the system to default to on-duty status. In that case, you would enter ‘8’ in this field. The ‘Max Acceptable Tachometer’ (RPM) is used for threshold exception alerts, as well as daily information, such as time spent over this threshold. Set this to an RPM that you do not wish your vehicles to surpass. The ‘Max Acceptable Speed’ (MPH) is the maximum speed at which you wish your vehicles to travel. This does not govern the vehicles, but simply allows you to view time spent over this threshold. ‘Hard Brake Deceleration’ (MPH in 1 second) determines what is a hard brake or sudden stop by your company’s standards. The default is 7MPH in 1 second, so if a vehicle decelerates 7MPH in 1 second, then a hard brake alert will be generated. 7MPH may be too tight for your company. For some companies, 15MPH deceleration is appropriate in 1 second. ‘Days Before Not Utilized’ is the number of days the vehicle doesn’t transmit data, before you want to be alerted on your dashboard. The default is 2 days, so if the vehicle doesn’t transmit data within 2 days, it would be an indication that either the driver(s) using the vehicle isn’t logging into J. J. Keller Mobile software OR the vehicle really isn’t being utilized. ‘Average Idle Time per day of Operation’ is how many minutes of idle time is allowed. This is utilized for the Driver Performance Scorecard report. ‘Target Fuel Economy’ is utilized for the Driver Scorecard report. A driver has points deducted from his/her scorecard for fuel economy less than what is indicated here. ‘Max Hard Braking Occurrences Per Day’ indicates how many hard brakes (sudden stops) are allowable. Anything over this threshold are counted against the driver on the Driver Performance Scorecard report. If you do not want performance stats viewable in the system, de-select the checkboxes for ‘Is Unit/Driver Performance Reportable.’

Page 21

Installation Steps (Do Not Mount the EOBR Without Following These Steps First) 1. Locate the diagnostic port on your vehicle. It will be located on or under the dash near the driver’s left knee or on the floor just behind the driver’s seat. Your diagnostic port will have 6 or 9-pins. For vehicles with a 6-pin port, you should have received the 1708 harness. For vehicles with a 9-pin port, you should have received the 1939 harness.

Note: Some 9-pin ports send engine data out over the 1708 databus, and the 1939 harness is constructed to account for both 1708 and 1939 data. 2. Connect the Harness to the Diagnostic Port Turn the head of the harness to snap into place.

IF USING THE Y-CONNECTOR, YOU WILL NOT CONNECT THE HARNESS DIRECTLY TO THE DIAGNOSTIC PORT, BUT INSTEAD FOLLOW STEPS BELOW: Disconnect the Current Diagnostic Port from Dash If using the optional Y-Connector, you will not plug the harness directly into the diagnostic port, but instead, detach the current port from the dash mount. You will plug the male end of the Y-Connector into your current diagnostic port. Mount the Y-Connector Where Original Diagnostic Port Resided You will plug the EOBR harness into one of the female ends of the Y-Connector. The other female end of the Y- Connector will mount where your original diagnostic port resided. 3. Attach the Green Ground Wire on a Clean, Grounded Metal Surface in the Vehicle 4. Route the Clip End of the Wires to the Location Where You Would Like to Mount Your EOBR 5. Connect the Wiring to the Bottom of the EOBR First, place the gasket provided in the grooves on the bottom of the EOBR. Then, route the wiring through the grooves provided (you may elect to remove the wire tie closest to the clip end of the harness to allow greater flexibility in routing the cable). 6. Connect the GPS Antenna to the Bottom of the EOBR Using a Needle Nosed Pliers Ensure it is secured in place. You will feel a ‘click’ as the GPS antenna’s cable sets into position. Tuck the cable of the antenna into the groove along the bottom of the EOBR. It is critical that the GPS Antenna is connected before the diagnostic cables. 7. Attach the White Plastic Tip of the Harness into the Bottom of the EOBR If you are receiving power, the LED will light up on the side of the EOBR. You should see a solid RED light. You may see other LED colors as well (see next page).

Page 22

If you are not receiving any power, ensure the harness is connecting securely to the diagnostic port and the bottom of the EOBR. If you need to disconnect the GPS antenna and/or harness from the EOBR, remember to use a needlenosed pliers and always attach the GPS antenna before the power supply. 8. Secure the Harness Into the Grooves on the Bottom of the EOBR 9. Mount the GPS Antenna Place the GPS antenna in a place where there is little blockage from the sky. It has a magnetic backing, so affixing to a metal surface is best. 10. Secure the Harness to the Vehicle If you would like to secure the harness, use the mount provided, secure the harness to the vehicle using the one- way screws and torque bit provided. Additionally, you will need to tighten the screw at the base of the mounting bracket 11. Permanently Mount the EOBR Lastly, secure the EOBR in a position where the driver can see the LED, but it is out of the way. Use the one way screws provided to mount the EOBR tightly to the dash, floor, seat, etc. If desired, you may mount the handheld device or laptop within the vehicle as well or let them sit freely in a secure position in the cab.

Admin Oversight

There are several areas within the system that contain data and information for you to utilize to track and monitor driver usage and compliance with your J. J. Keller Mobile solution. Compliance and Performance data will be fed into Encompass so you can manage electronic logs, monitor idle times, MPG, hard brakes, run IFTA reporting, etc. You will want to establish policies, processes and procedures to monitor your ‘e-data’ on a daily basis. Once you can validate that drivers and Encompass users are comfortable with and accepting of the technology and process changes you implemented, you may be able to alter your procedures in order to optimize you daily activities.

~Key Areas of Focus~ Home Page Alerts The Home page of each Encompass main tab (Driver Management, Vehicle Management, Performance Management) provide an overview of critical information via ‘Alert Boxes’ that should be checked daily. The key areas to focus on, initially, from the Home page of the Driver Management tab include: Unassigned Log Events, Missing Logs, and Critical Violations. You can also utilize the Reports & Forms section for more detailed information. Unassigned Log Events (Driver M anagement Tab) There are a variety of things than can cause unassigned log events to occur. For example, if a driver is not logged into or connected to the EOBR due to loss of Bluetooth signal, an unassigned log event will generate. Unassigned log events are only displayed in Encompass when a driver submits a log, and there are driving events not claimed by the driver on his/her device. *Note: Best practice is to train your drivers to check for any unassigned drive time prior to submitting their logs. To check for Unassigned Log Events, from the Home Page of the Driver Management tab, click on Unassigned Log Events.

You can select multiple events for one driver on one day when assigning unassigned log events.

Page 36

Always review the Unassigned Periods, then choose Select Employee to Assign.

You will be brought to a screen where you will review ‘Resulting Log Information,’ ‘Log Image,’ ‘Hours,’ and ‘Resulting Locations.’ If all information is accurate, click Assign Event to Employee.

*Note: Edits/changes will always show in green.

Page 37

Missing Logs (Driver M anagem ent Tab) Review missing logs on a daily basis; ensure drivers are creating off-duty logs for days not worked. If a driver is missing logs, his/her Hours Available will be inaccurate.

*The Missing Log alert will only show once a driver has accumulated a certain number of missing days of logs. To adjust the # of days of missing logs allowed before a ‘Missing Log Alert’ shows, go to Setup (within the Driver Management tab)>M aintain Log Checker Info> View Log Checker Settings>Edit> M issing Log Alert Grace P eriod. Critical Violations (Driver M anagem ent Tab) Critical violations occur when a driver has violated one or more DOT regulations. You will be alerted to all incurred critical violations on the Home page of the Driver Management tab within Encompass. As an administrator, you will set and define the critical violations you want to be alerted to by going to the Driver Management tab, then Setup>Company/DOT Violation.

Unassigned EOBRs (Vehicle M anagem ent Tab) It is critical to manage all unassigned EOBRs as your company is implementing locations. This ensures electronic data is tied back to the correct unit. It is recommended you perform a daily check throughout implementation, then periodically post-implementation. From the home page of the Vehicle Management tab, an alert will show in the Unit Alerts section if there are any unassigned EOBRs. To assign an unassigned EOBR, click on the # Unassigned EOBRs in the alert box.

From there, choose the EOBR you would like to assign.

Once you’re in the View Unassigned EOBR screen, click on Select Unit to Assign. You’ll then be taken to a screen where you’ll chose the Unit number to assign the EOBR to. From there, you’ll confirm information and click Assign EOBR to Unit.

EOBR Calibration (Vehicle M anagem ent Tab) Once a month drivers are prompted to calibrate odometers. If this is not done accurately or not done at all, the mileage can be ‘off’ on trip reports. As an Administrator of the program, it is important for you to review the calibrations monthly, initially, to ensure calibration values are valid. To review odometer calibrations, go to the Vehicle Management tab. From the Vehicle Management tab, go to Setup>EOBR Device List.

The monitoring of odometer calibrations is primarily done from the EOBR Device List screen. Simply click on the serial number of the EOBR you would like to view.

Within the EOBR Device Info screen, you’ll see the current offset as well as the previous one.

*When drivers calibrate they are required to enter the correct number on their device. If a driver enters a value that is off by a percentage from the last calibration, he/she will receive an error message.

Trips/Fuel Taxes (Vehicle M anagem ent Tab) *P remium Edition Only

It is critical to review for the presence of trips for all units each day, initially. This will help you ensure data is being collected and transmitted to the web. If you expect drivers to enter fuel purchases on their device, ensure those are also present on daily trips. Comparing paper trips to electronic trips in system will reinforce proper data is being transmitted.

Trip reports can be viewed from either the View Employee Log page or from the Fuel Tax tab.

To access trip reports via the View Employee Log page, simply click on View Trip.

To access trip reports via the Fuel Tax tab, go to the Vehicle Management tab, then click on the Fuel Tax tab. Within the Fuel Tax tab, simply click on All Active Units, then select the applicable Unit number. Once you’re in the View Unit Trips page, click on the date for the trip you would like to view.

You will now be able to access all relevant trip information.

Mapping Data (P erform ance M anagement Tab) *P remium Edition Only

View mapping data to gauge where your drivers are located compared to delivery sites. Map Views: Review map location. On a daily basis, check to ensure vehicles/drivers are displayed on the map. If a vehicles/driver’s current time stamp is not showing up as current time on the map, the driver is not logged into the system. Tip: If a vehicle shows no movement on the map, but you are aware that it is being operated, then the J. J. Keller Mobile system is not logged into and connected in that unit. To access mapping data, click on the Mapping tab within the Performance Management tab. Once you are on the mapping screen, you can access detailed driver information by clicking on the number of the driver you want to view. *Note: Zoom in to see multiple units in one location.

When viewing driver detail on the map, the time zone set up for that driver/company/location in Encompass will be reflected.

Auto Refresh Map Set the ‘Refresh Interval’ to the time period in which you would like the map to automatically refresh.

Reference the Map Legend at the bottom left side of the screen to get the movement status for specific units.
