Why 12 grade? Why 12th grade? • Scope and Sequence for science & social studies varies widely across Colorado in grades 9-10 and does not significantly overlap until 11th grade. • To enable optimal coverage of the high school standards, the earliest a science & social studies assessment could be given is 11th grade. • Districts across Colorado voted for Fall of 12th grade.

STR and SAL Relationship

The Role of the STR The STR will… • Attend STR training • Work with administrator to ensure technology readiness • Conduct System Check on all devices • Software set-up and updates, when applicable • Work with SAL to ensure training for test administrators includes familiarity with technology aspects of testing • Onsite support to troubleshoot any technology issues that may arise during testing. • Review Ethics power point and sign agreement.

Before Testing: STR Prep The STR must complete the following before the first day of testing: • Prepare Student Computers and Test Administrators’ computers for testing (~45 min/computer lab/classroom) • Develop a plan to charge devices and/or keep them charged during testing • Plan for easy access to extra device, keyboard, mice, microphone (if applicable). • Recommendation: Have one extra set per classroom. SAL & STR: Consult and confirm all computers used for testing meet minimum requirements for computer-based testing (refer to the PearsonAccess User Guide for details on infrastructure and system requirements)

STR Responsibilities Before Testing… •Attend STR training •Update Java 10/15 •Infrastructure Trial w/ SAL • With SAL, develop a system to track devices and loan additional devices during testing •Sign Security Agreement and submit to SAL •Set-up printer to print Student Authorization tickets •Develop plan to keep devices charged before, during, and after testing •Ensure each testing location has extra devices, keyboard, mice, headphone (if applicable)

During Testing…. •Be available to support technology issues •Be prepared to switch out testing devices as needed •Monitor testing rooms to ensure there are no technical issues •Report any testing irregularities to SAL •Prepare computer devices for the next round of testing •Daily review of STR wiki for urgent technology issues and fixes

After Testing… •Delete test content from proctor caching computer (charters) •Inventory of devices used and store in secure location

SAL & STR Partnership

Collaboration is the Key!

Technology Readiness • Devices – Laptops, Desktops, Chromebooks • Mice (encouraged with laptops)

– iPads • Wired Keyboards (required)

– Headphones and microphones not required unless used for accommodations: Text to Speech or Spanish Audio – Spring Assessments will require headphones

• Software – Proctor Caching - Traditional Schools Set up at a District Level – Java (Java fixes/questions addressed later)

• Other – Electrical Outlets

Accommodations Accommodations must be based on an individual need documented in the student’s approved IEP, 504, or English Learner plan *The SAL will maintain a master list of all students and their accommodations. These will need to be recorded in PearsonAccess (after testing), and includes text-to-speech. Accommodations are available for computer-based and paper-based administration. Paper-based form is itself intended to be an accommodated form

Text-to-Speech with Caution While Text-to-Speech (TTS) is available to all students, it may not be appropriate for all students. Student should be using similar access strategies during instruction. 3 MAJOR issues to consider before assigning TTS: •

Training: Students must know how to use it before testing

Security: There is only one form for text-to-speech

Network Performance: File sizes for items with TTS are 4-10 times larger than regular item files. Network and computer performance estimates are based on the standard file size

*Students using TTS in a group setting must use headphones

Test Text-to-Speech before Sign-in • •

Remember to test the audio before signing in After student signs in, audio cannot be adjusted

Text-to-Speech

Spanish Audio Students select the Play button to hear the text in Spanish Students can control volume

Infrastructure Trial

What is an Infrastructure Trial A Dry Run! An infrastructure trial provides an opportunity for schools and students to prepare CMAS testing by simulating test-day network utilization, and it introduces students to the online testing interface – called TestNav 8. The Trial will confirm that: • TestNav 8 is configured correctly • Devices can successfully run TestNav8 • Participating staff who what to do for CMAS • Students are familiar with the computer-based tools and format

Why Administer an Infrastructure Trial? Here are the benefits to administering the Infrastructure Trial: • Schools will create a similar testing environment (e.g., testing rooms, number of testing devices, power supplies, etc.) that will be used for CMAS testing. • Early detection of school technology readiness issues can mitigate possible problems and delays during assessment administration. • The Sample Items and Tutorial can be used to provide practice for students.

Schedule your Trial All schools testing in November are required to conduct an Infrastructure Trial at your school. Please complete this form and scan/email ATTN: Karen Lutz to [email protected] ARE will provide you with a CMAS Infrastructure Trail Guide in advance of your trail date. DoTS will be staffed and prepared to support you on the day of your scheduled Infrastructure Trial.

Proctor Caching Introduction Proctor Caching is Pearsonsupplied software that is used in conjunction with TestNav to reduce bandwidth requirements and accelerate the delivery of test content. The Proctor Caching 8 installer and training will be available in early 2014. For schools on DPS Network, this is set up at a District Level. Proctor caching: • • •

allows you to pre-cache test content to your local network before a test; reduces the burden on your internet service provider (ISP) by eliminating redundancy in requests for test content; and stores an encrypted local copy of all pre-cached tests.

iPad Setup

iPads Two Options: How are you planning on using the iPad’s? Considerations: Single App Mode

Guided Access Mode

iPads will be used for the assessment only: The iPad’s will only be used for the CMAS Assessment during the testing window.

The iPads will be used for the assessment and other purposes: The iPad’s can be used for the CMAS Assessment and then switch them to other activities during the testing window.

The iPads are Supervised, with a Mac Computer dedicated to them.

The iPads may or may not be supervised by Apple Configurator.

It takes time to move the iPads out of Assessment mode.

Its fairly quick to move iPads out of Assessment mode.

iPads get connected to master computer App has to be installed on each iPad and via USB and settings are quick to configure. then manually configured.

iPad Setup There are several ways the TestNav App can be distributed to iPads 1. Use Apple Configurator via USB (used by most schools) 2. Use a Third Party MDM (used by few schools) 3. Use Guided Access mode (for a stand alone iPad)

The App must be configured to run in Single App or Guided Access Mode for th App to run. The Pearson TestNav App is available in the App Store as a free download. https://itunes.apple.com/us/app/testnav/id818779127?mt=8 The App is available now, but updates will be released on March 17th.

Single App Mode

Single App Mode: Most iPads in DPS are set up to be managed through the Apple Configurator. This method consists of a master computer connected to a group of iPads through a USB connection. ● Apple Configurator and Third Party MDM configure Single App Mode, Supervised. ● This mode locks the device to only run the TestNav 8 app. ● A profile must be configured with the App lock feature for TestNav 8. ● The profile must be turned off through Apple Configurator or MDM. ● Switching profiles can take some time.

iPad Setup - cont. Single App Mode Details

Single App Mode: Use Apple Configurator via USB To enable single app mode on iPads using Apple Configurator, you must first put iPads in Supervised mode for your organization. Putting an iPad in Supervised mode will wipe the iPad. Be sure to back up the iPad if you wish to retain any data or applications. You may restore the iPad after testing by placing the iPad in Supervised mode to put data and apps back on the device. 1. 2. 3. 4. 5. 6. 7. 8.

Important Things to Know Label Mobile devices: Chromebook/iPad Devices students take the Assessments on need to be tracked. This is covered in the SAL Training. Suggestions are numbering by cart and device. If device malfunctions, files may need to be retrieved manually to submit to Pearson Access Java updates: A Java Release is planned for October 15th. This release will be pushed via Landesk. Mac computers without the Landesk client will not receive the push. Other Mac options for a push is Apple Remote Desktop Ethics training: This training is required for those that enter the testing environment. Your SAL is the resource for this training.

Other Mobile Device Considerations ● Chromebook/iPad Devices students take the assessments on need to be tracked. ● This is covered in the SAL Training. ● Suggestions are numbering by cart and device. ● If device malfunctions, files may need to be manually retrieved and submitted to Pearson Access.

When Things Go Wrong !@$&V*T? Technology problems will happen. We know that they will. ARE is setting up a new Hotline Number. The STR or SAL is the point contact to call this number. Calls to this number are prioritized Call this number instead of the Pearson Access number. We will have a Technical Account Manager ARE works with. Issues will be escalated to group that will move to resolve. Technology ● Test Device Issues ● Network Issues

● ● ●

Pearson Access Test needs to be reinstated (student exits too early) Test session Student Response File (SRF)

The number will be published prior to the test window opening.

Mobile Device (Chromebook and iPad) Logistics

Past issues have shown that sometimes the SRF file is not moving to Pearson. (This is Rare) Signs this is occurring: ● Pearson Access Test Session is not registering the student progress of the test. ● Test Administrator should be monitoring test session to review this. ● Pearson access should show progress every three answers the student submits. If this is not taking place, move the student to another device. ● We expect that the student will start the test from the first question.

If Student Response was never recorded in Pearson Access: ● Report the problem to the ARE Hotline ● Keep track of the device the student took the test on. ● (earlier we mentioned to lable the devices i.e. Cart# Device#, and keep a log of student/Device) ● Cached SRF files will need to be taken off of the device manually ● SRF file submitted to Pearson by ARE ● The next slides cover how to retrieve files ● DoTS Site Techs assist with this

Finding Your Log Files 1. Connect the iPad to your computer using the Doc Connector and a USB cable. 2. Launch iTunes, version 9.1 or later. 3. Click iPad from the listed devices in the iTunes window. 4. Click the Apps tab and then scroll down to the bottom of the page. View the list of apps currently installed on the iPad under File Sharing. 5. Select the TestNav App. A list of TestNav log files displays under TestNav Documents. 6. Select and open the log file you wish to view.

Finding your Log Files on a Chromebook 1. Launch the TestNav app. 2. Focus your cursor in the username or password field. 3. Press z and the File Viewer box appears. If the File Viewer does not display, click on the window and then press z again. 4. Plug in your USB memory stick. 5. Click the download button next to the log file(s) you wish to download. 6. When the window opens, select the USB memory stick, and click Save.

Early Warning System (EWS) The Early Warning System (EWS) is integrated functionality that gives TestNav a high degree of fault tolerance and provides additional failsafes in the event of unexpected network disruptions during online testing.

Early Warning System Design Minimal interruptions for students. Multiple physical file backups to safeguard against data loss. Notification Screens designed for Test Proctors. Early Warning System notifications often involve IT staff so an understanding is necessary to correct any issues during testing.

Student Responses – SRF Files The EWS writes continuously in the background to the student response files. Both the Primary and Alternate files are written to at the same time. The SRF file has a response data threshold that once reached will trigger TestNav to send response data to Pearson. Uploading of response data is continuous. If an upload fails, TestNav will cycle and attempt another upload. If the response data upload is successful, TestNav will create a new empty SRF file and begin the process again. TestNav will only delete an SRF file once it is successfully uploaded.

Student Responses Identification A combination of the test ticket ID combined with the session token is used to uniquely identify a Student Response File (SRF). TestNav can identify the correct student response file if a test is successfully resumed. The SRF can only be used the next time the student resumes a test.

Recovering from Problems on the Same Device When a student logs in to resume a test, TestNav checks the designated response file location(s) to determine whether a saved response file (SRF) exists by looking for a file with an extension of .srf or .SRF. If the student is resuming the test on the same computer or device that was used originally, this is what to expect:

• If an SRF is found, the file will be loaded and the student can continue testing. • If more than one file is found, such as one in a primary and another in a secondary save location, then the one with the newest time stamp will be used. • If no file is found and the student is in Resume status in the system, the test taker will continue with the test from where they left off according to the last item uploaded to Pearson. • If no file is found but the student is assigned Resume-Upload status in the system, EWS will display a message.

Recovering from Problems on a Different Device It is recommended that tests be resumed on the same computer or device, whenever possible. However, if the EWS saved a student’s response file, but the student must resume the test on a different device, there is a way to use the SRF from the original device on the new device.

1.

The file must be moved from the original device to the new device. •

This could be done by saving the file to a shared location, by transferring it using a USB thumb drive, or any other method you prefer.

2.

The student must be marked Resume-Upload by the proctor.

3.

When TestNav is launched on the new device and the student logs in, the system will look in the default location for the SRF on the new device.

4.

When it is not found, an on-screen message will direct you to browse for the file so that it can be retrieved.

5.

Once the file is found by TestNav, it will automatically be uploaded to the testing server.

TestNav 8 Error Codes The TestNav 8 Error Codes should be available to all test proctors to help support students as they test.
