CLUB FUNDING PETITION Indiana University Northwest NOTE: PETITIONS NOT FOLLOWING THESE GUIDELINES WILL NOT BE CONSIDERED. All registered student organizations have the right to petition funds from the Student Government Association (SGA) for projects. 1. A complete petition includes the following: a. A copy of the minutes of the meeting in which the petitioning organization voted to petition SGA. i. The minutes must specify the activity for which funding is desired. ii. The petitioner(s) must demonstrate that the proposal represents the will of the majority membership. b. A completed petition form, which includes a budget proposal. 2. Petitions must be submitted to the Student Activities Office at least a week prior to the next scheduled SGA meeting and at least one month prior to the event. The Student Activities Director will notify the petitioner of the date, time, and location of the next SGA meeting. 3. If the requested amount is under $1,000, the Director has the discretion to fund the event without approval of the trustees. 4. A student representative of the petitioning club must be present and prepared to support the petition at the Student Government Association meeting. 5. All meetings concerning petitions will be open; however, the final discussions and voting are closed to the public and open to SGA members only. 6. The petitioner will be notified within three days by the Student Activities Office of the action taken by the Student Government Association. 7. Projects will be considered using the following criteria: a. In many instances the SGA will provide only a limited amount of funding. No student club should assume that funds will be granted, regardless of the worthiness of the event. Students are responsible for any expenditure beyond SGA allocations.

2 b. The student club must be registered with the Office of Student Activities c. The SGA does not normally provide funding for travel to activities (such as conferences) or other associated expenses for clubs or their members. i. Trustees may fund all or part of registration fees, at their discretion. d. All funded activities must be open to the general campus community. e. Funds awarded may be dispensed through the student organizations account with the Bursar’s Office. Any withdrawal requires the signatures of the club’s faculty advisor and treasurer. f. Money shall be used for the express purpose for which it was allocated. g. Clubs must keep records of expenses, attendance, and evaluation of events. h. No funding will be provided to events occurring during times when no classes are in session. i. No funding will be provided for events during summer sessions. 8. Funds may not be used for the following: a. To support any political campaign for public office or to influence the public legislature. b. To support any sectarian religious activity. c. For direct or indirect support of any organization not eligible for SGA funding. 10. SGA discourages the use of funds to pay guest speakers, because of the costs of honorariums, travel, hospitality and the generally poor turnout for these events.
