Please make sure that you read this leaflet carefully to help you get ready for your photographs. PLEASE NOTE: Clinical Photographs are taken with flash lighting and are similar to photographs you may take yourself. For studio photography several flash units are used. If you have epilepsy please inform the photographer before photographs are taken. Sometimes specialist equipment is used but we will explain each stage of the process. Please ask questions at any time and we will do our best to answer them.

How do I prepare for my photograph? There is no preparation, but to obtain clear pictures, we may ask you to remove makeup, jewellery and necessary clothing, but we only ask you to undress to a level you feel comfortable with. Please discuss any concerns you may have with the photographer. In the studio there is a curtained changing area, disposable gowns and modesty garments are available if required.

Your agreement for uses other than for your confidential record must be sought. See “What happens to the photographs?”.

Why are photographs taken?

How will I be photographed?

Your doctor or healthcare professional can use the photographs or video recordings in various ways, the most common use will be for your confidential medical record. Visual records provide useful information about your condition to ensure your care is effective.

You will be photographed by a qualified Clinical Photographer, identified by their I.D. badge. You can request a male or female photographer and a chaperone can be provided if required. If you would like to take advantage of this option it may not always be possible to take the photographs on demand, and an appointment can be made for you. Most

teach other healthcare professionals, help with research or publish the images in textbooks, journals or on the internet. If you do not want to be photographed or you do not want your photographs to be used in these ways please let the doctor or the photographer know at any time.

photography takes place in our dedicated studio or the photographer may come to the ward or clinic.

How long will it take? We offer a walk in service for patients referred from outpatient clinics, and patients are seen in order of arrival. If you would rather have an appointment we will try to arrange it at a quieter time, but if there is a queue, your patience will be appreciated. If you attend the department we aim to complete the photography within 15 minutes of your arrival but this cannot always be guaranteed. It may take a little longer during busy periods, if you have limited mobility or if an extensive number of images are required. Our operating hours are: 9:00 to 13:00 and 13:30 to 16:30 Monday to Friday excluding public holidays.

What happens to the photographs?

Interpreters

It is our policy that photographic images are taken with your consent, either verbal or written. Your doctor may ask us to take images when you are unable to consent. This will only be done in your best interests and those images can only be used for your confidential record unless you later consent for other uses. Limitations of use will be discussed with you when we ask for your consent. All images are stored electronically and will be archived according to health record guidelines. The photographs will form part of your electronic record, enabling health professionals responsible for your care to access the images wherever and whenever they are needed. We have a duty to keep your record confidential and secure and control access to it according to the limits you have decided.

If you are not able to telephone please contact us via email on: [email protected] Please include your name, address, date of birth and hospital number (if known) on all correspondence. Please help us to cut our waiting lists. If you need to cancel or change your appointment call us as soon as you can, so that we can give it to another patient.

If you need a translator for your examination please call the department so that we can try to arrange this, or there is information about translation services on the back page of this leaflet.

I need an ambulance, how do I arrange this? If you need an ambulance there are contact details on your appointment letter. Please inform the Clinical Photography Unit if you are arriving by ambulance.
