CHAPTER 23: WORD PROCESSING AVImark allows full access and integration with Microsoft Word for all your word processing needs. You will be able to use several special merge words in the text of any MS Word document, which will insert the correct information from your data files, along with importing digitized images and pictures of your clients, animals or images linked with medical records. Your hospital logo may also be included on any document. AVImark has the ability to use the Sun Microsystems’s products; StarOffice® and OpenOffice®, as alternative word processors. OpenOffice® is a free open source where as StarOffice® can be downloaded at a minimal charge. Although Microsoft is not an absolute requirement, it is a recommended program for at least one computer on your network. As of this printing, StarOffice® and OpenOffice® do not have the capability to print reminders in AVImark, nor does AVImark support the spreadsheet capabilities of these products. Use Merge Words By typing merge words in the text of virtually any correspondence, AVImark will insert the correct information, at that position in the text. When using a merge word that would require a text box - that is, animal-pictures, graphs, or weight-graphs - AVImark will not allow this document to be printed through OpenOffice®/StarOffice®. To print a photo or graph using these products, the text box must be removed. When using merge words in a document or in an AVImark notes window, include the less than () symbols, before and after the word as shown below. AVImark

Use Merge Words for Additional Data Fields If and when you define additional data fields related to clients, animals, treatments, inventory items, and/or diagnoses, AVImark allows you to use the name you assigned to each of the fields as a merge word to be used in any MS Word document. AVImark also allows you to merge photos into MS Word documents using More Stuff data fields of type Photo. • •

Type the name of the additional data field into the document text. Enclose the name with the Less than () symbols.

Work with Microsoft Word AVImark gives you the ability to work with and create new documents using Microsoft Word. Although working with Microsoft Word is very beneficial, it is obviously beyond the scope of this manual to try to explain the details of this software product. Open an existing document from the CID • •

On the CID, open the Applications menu. Click MS Word to display the MS Word Document display window. On the MS Word Document display, open the File menu. Click Open to display the Open Window.



Select the document you wish to work with. Click Open to display the document.

After the necessary changes have been made, open the File menu and click Save or Save as. You will need to close MS Word.

Create a new document from the CID • • • • • •

On the CID, open the Applications menu. Click MS Word to display the MS Word Document display window. On the MS Word Document display, open the File menu. Click New to display the New Document window. Choose from among the sample templates to begin with an appropriate document style and click OK. Use the prompts on the sample form to type the new document, using the appropriate merge words if applicable. On the File menu, click Save as to display the Save as window. In the File name window, type the name you wish to save the document as and click Save.

Delete a document from the CID • • • •

On the CID, open the Applications menu. Click MS Word to display the MS Word Document display window. On the MS Word Document display, open the File menu and click Open to display the Open Window. Select the document you wish to delete. Right-click and from the shortcut menu click Delete. You will need to click Yes to confirm.
