Letter from the Camp Director I would like to welcome you all to Camp Hiawatha! I am glad you and your Scouts have chosen to stay with us at Camp Hiawatha this summer. We are located near Lake Superior and Pictured Rocks National Lakeshore in the Hiawatha National Forest. There are many opportunities to explore the U.P. and enjoy all that we have to offer at camp. Thank you for taking the time to read this guide to make sure you and your Scouts not only are PREPARED for a fun camp experience but a safe one as well. This Leader’s Guide is intended to provide you with information that will help you plan your summer program. Much of the information given is required for Camp Hiawatha to meet State and National Standards for Boy Scout Resident Camps. Being familiar with this guide will help you be prepared for camp so please share it with your other leaders as well as all parents and your Senior Patrol Leader. Our goals for your campers is to improve their physical fitness, share outdoor skills and leisure pursuits, develop self-confidence and self-esteem, examine lifestyles and values, and understand and appreciate the ecology of the natural environment. We want to help your Scouts achieve these goals while having fun meeting them in a safe environment. Our staff is always there for you and your Scouts and we all want to make sure you’re having an awesome experience at camp. It is my sincere desire to not only make sure Camp Hiawatha has a well trained staff, but also that they put on a quality and safe program for each Scout who comes through our gates. Our staff is selected based upon experience; training; ability to counsel; love of Scouting; and a sincere wish to make a lasting impression on your Units. PLEASE NOTE: The last few miles into camp are not paved and may be rough due to environmental factors.

Important Information Medical Forms: Medical forms MUST BE MAILED to the Camp Two weeks prior to arrival. (SEND IN COPIES. KEEP ORIGINAL HEALTH FORMS) This is necessary so the health officer can review the forms for any errors, special needs etc. Failure to mail medical forms will result in delays at check-in.

Early Arrivals: If the Unit is planning to arrive early on Saturday, they must contact the Council Center for Scouting at least two weeks prior to arrival. Failure to do so could result in additional fees. Please see page 15 for details.

Site Assignments: Units may reserve a particular site during their reservation process. Patrol shelters are assigned by the Camp Director. Please use the patrol shelters assigned. If there are any questions, please let the Camp Director know.

Commissary: Some items are loaned to Units from the Commissary i.e. egg containers, bottles used for soap and sanitizer, syrup dispensers, etc. These items are purchased by the camp and can be expensive to replace over time. Please ensure these items are returned to the commissary prior to checking out. Failure to do so could result in addition charges to your Unit.

Vehicles: All vehicles must be parked in the parking lot and participants must walk in. This includes any visitors to your Unit. If someone needs to have their vehicle in camp due to a disability, please see the Camp Director.

Visitors: ALL Visitors must report to the office prior to going to see their Unit. If your visitors have not been to the office, please escort them up to be checked in.

Evaluations: An evaluation form will be given to Unit Leaders and SPLs during their stay at camp. It is very important to us that you meet with your Unit to complete this form and turn it in to the Camp Director before you leave camp. Make notes during the week so that all items of concern are addressed when you submit the evaluation. A follow-up letter may be desirable to completely address items if remembered after the Unit has returned home. These should be mailed to the Center for Scouting Office, in Appleton, WI. Your evaluations are important so that we know what Unit Leaders and Scouts are thinking; what are we doing right, what is wrong, and changes that you would like to see made. Ideas or suggestions for new program opportunities are always welcome! If you have a problem and are not satisfied during the week or observe an unsafe situation please see the Camp Director immediately so that we may rectify the problem now – Please don’t wait until Saturday.

Camp Costs A $50.00 site deposit is due at the time the reservation is made. This is non-refundable deposit and will be applied to overall cost for summer.

Scout Costs:   

The total camp cost is $300.00 per youth. $100.00 non-refundable deposit per youth must be paid by March 1, 2016. The remaining balance is due by May 1, 2016.

New Scouts / Webelos Crossover Scouts: Joining your Troop after the March 1st & May 1st deadlines will still qualify for regular camping fees until June 1st. After June 1st, these Scouts are subject to the late registration fee. A late charge of $35.00 will be added if final payment and participant registration online is not received/completed by May 1. Discount – If a Scout attends a week of regular summer camp at Gardner Dam, Bear Paw or Hiawatha, he/she can attend a second week of summer camp at Gardner Dam, Bear Paw or Hiawatha for an $80.00 discount off the original price. Attending NYLT does not qualify as the first week of regular summer camp towards this discount opportunity.

Adult Costs: 

The total camp cost is $155.00 per full week adult or $26.00 per day due by May 1, 2016.

All costs for Scouts and Adults are non-refundable. Costs may be transferred to another person not currently signed up to attend camp. A Scout may replace another Scout & an adult may replace another adults spot. But a Scout may not replace and adults spot or vice versa. Contact Laura Daigle at the Center for Scouting Office to replace a current registered Scout with a new Scout.

Camperships: Scouts registered with the Bay-Lakes Council are eligible to apply for camperships through the Council. No Scout will be denied the opportunity to attend summer camp because of finances. The Bay-Lakes Council is committed to financially assist Scouts and their families provided there is an effort to raise funds through Troop fundraisers such as, popcorn sales & battery sales, and the campership application is received in the Center for Scouting no later than 4:30 pm on March 1, 2016. Late applications may not be guaranteed a campership. All campership requests must be on the most recent copy of the campership application. Additional applications are available at the Bay-Lakes Council Center for Scouting or on the Council’s Website. All camperships are on an as-needed basis. The Bay-Lakes Council does not grant full camperships or fund individuals attending an out-of-council camp. Applicants must be BSA registered with a Bay-Lakes Council Troop or Crew in order to receive the campership.

Refunds: Criteria used to consider a refund will include the following reasons ONLY and appropriate documentation must be submitted with your Refund Request Form. 1. Scout’s Illness – Written statement is required from physician. 2. Extreme Family Emergency – Written statement is required from parent. 3. Required Summer School – Written statement is required from Principal or Guidance Counselor stating that summer school is necessary in order to advance to the next grade. 4. Adults whose work schedule was changed due to their employer/business – written statement required from employer/business. We will work with you to attempt to get youth into another session of summer camp if at all possible. Refund forms can be obtained only while you are at camp or from the Center for Scouting after you attend summer camp. These forms are not on the Council Website. All refund forms are due in the Center for Scouting no later than September 15, 2016. Forms submitted after this date may not be guaranteed a refund.

Registration BSA Membership: Only registered youth members of a Boy Scout Troop or Venture Crew will be accepted as campers. A “camper” is defined as anyone staying on the camp property overnight. No other youth are allowed.

Adult Leadership in Camp: There must be a minimum of two adults with each Troop attending camp. The Troop Leader or anyone serving as the Troop Leader must be at least 21 years of age and a registered member of the Boy Scouts of America. The second adult may be a registered Scouter 18 years of age or older, or a parent of a participating youth member.

BSA Annual Health History and Medical Record Form (680-001): No other health form will be accepted! Everyone attending must have a current health history and medical record form. Double check all medical exam forms for completion and attached copy of health insurance card before your arrival at camp. Make sure all forms have: 1. Doctor’s Signature - Dated within the past 12 months prior to arrival at camp. 2. Youth Medicals - Need parent’s signature dated within the past 12 months. 3. Adult Medicals – Individuals signature dated within the past 12 months. 4. Copy of health insurance card(s). MAKE A COPY OF ALL HEALTH FORMS AND INSURANCE CARDS AND KEEP THE ORIGINALS! Mail the forms directly to camp, please do not fax, two weeks before your Unit arrives at camp. This will greatly speed up your check-in process when you arrive. 7

Day Visitors: Any day visitor wishing to participate in any camp program/activity OR if staying overnight, MUST have a current Annual Health History and Medical Record on file. This means the entire medical, parts A, B (2 parts) and C, must be completed with a doctor’s signature and a copy of the individual’s health insurance card.

72 Hour Myth: There is NO “72 Hour” provision in the Boy Scout long term resident camping program. Cub Scouting, Yes but Boy Scouting, No. The event you are participating in is Boy Scout Summer Camp and this event lasts six days. The actual length of a person’s stay in camp has no bearing in this matter. EVERYONE, youth and adults attending, spending a night or participating in events, MUST have ALL parts of the medical form completed; parts A, B (2 parts) and C.

Medications: The following provisions for medications are required by the State of Wisconsin Department of Health and Family Services and are separate from and in addition to the completed BSA medical forms. All prescription medication for youth to be taken while in camp must: 1. Be listed on the health and medical form and signed off by the doctor. 2. Be in the original pharmacy container and labeled with the pharmacy information. 3. Each separate medication must be in a separate container. It is the Unit’s responsibility to ensure that all of its attendees meet the above requirements. All medication cards must have the following: 1) Specific instructions regarding the medications. 2) Contact information for the prescribing doctor. 3) It is the Troop’s responsibility to ensure that all of its attendees meet the above requirements. Please mail (do not fax or email) 1 COPY of each Annual Health History and Medical Record and necessary medication card and insurance card TO CAMP two weeks prior to arrival at camp. Bring an extra copy of each Annual Health History and Medical Record to camp (keep with you in the campsite). **Note: that an additional copy will be required if there is cross-programing between Bear Paw and Gardner Dam for all cross-programing activities. KEEP THE ORIGINALS AT HOME – Camp copies will NOT be returned since State Laws require the camp to maintain a copy on file for several years.

Insurance: The Bay-Lakes Council provides secondary coverage for accident and sickness insurance for its traditional membership. Who is covered? All registered Cub Scouts, Boy Scouts, Venturers and adult leade4rs are covered. This includes seasonal staff and any new members who join throughout the year. Guests who are being encouraged to become registered leaders or Scouts are automatically covered while at a scheduled activity. Other guests are not covered. Troops attending from outside Bay-Lakes Council must provide their own accident and sickness insurance. Please send proof of insurance to camp along with your health forms. 8

When an injury or sickness occurs in the course of a Scouting activity, the claim must first be made through the family’s primary insurance carrier. Any costs incurred due to the accident or sickness not covered by the family’s primary insurance carrier should be submitted directly to HSR (Health Special Risk) along with an HSR claim form, which may be obtained at camp or by contacting the Center for Scouting, (920) 734-5705.

Provisional Camping Provisional camping is available for a Scout when the following conditions occur:  He cannot attend when his Troop attends.  His Troop is not attending Camp Hiawatha; however, the Scout wishes to participate.  The Scout would like to attend for an additional week(s). In any of these situations the Scout has the option to attend Camp as a Provisional Camper. In such a case a Tent, Troop equipment, and qualified leadership will be provided through another Unit scheduled to attend camp. Advance notice must be given in order to obtain adult leadership within another Unit. All interested participants must contact Camp Hiawatha and the Bay-Lakes Council, Center for Scouting to make arrangements.

Online Registration/Roster Instructions Some things you’ll need to know before making reservations & creating the “roster” online:  Names of the Scouts & Adults attending with your Unit.  If an adult will be attending a full week or only a couple days and which days those are. 3: Idea of what Merit Badges each Scout would like to take.  What option for payment the Unit would like to use.  Pay Online (incurs a 7% service charge for using credit card)  Pay by sending in check or cash to the Bay-Lakes Council Center for Scouting in Appleton, WI  Pay by Unit Account on file (For Bay-Lakes Council Units. Send in a copy of the confirmation page with a note stating to take costs out of Unit Account.)

Step 1) Go to the Bay-Lakes Council website, www.baylakesbsa.org, and select the Camping Tab, Boy Scout/Venture Camping tab. Click on the summer camp attending. Select the week you wish to attend. Review and retain the camp information on the event details page. Please choose 1 of the 3 options below that pertains to your Unit Registration. Step 2: Option 1 – I Have Already Registered the Unit for Summer Camp & the Site Deposit is Paid: For Units that have already submitted the reservation form / site deposit and have reserved a site & week, at the bottom of the page there is a sentence, “To edit an existing registration click here”. Select the click here and login using the contact persons user name & password. It is crucial that it be the contact person information as it was their e-mail address and information used to reserve the camp site. If you do not remember your user name & password, select Forgot Password and follow the information requested. Then continue at Step 3. Step 2: Option 2 – I Have Not Registered the Unit for Summer Camp but I Have a Username & Password from registering online for other events on the Bay-Lakes Council Website: At the bottom of the information page select the Register button. It will direct you to either Sign In or Create New User Profile. If you have already registered online for other events on our website, please sign in using that user name & password and continue to Step 3. If you do not remember your user name & password, select Forgot Password and follow the information requested. Step 2: Option 3 – I Have Not Registered the Unit for Summer Camp & Do Not Have a Username & Password: If you have never registered online for an event, select Create New User Profile and complete the set-up for username and password. For only those Units that needed to create a new user, after completing the new username & password, it will prompt for Group Information. Complete the required information for the Unit and select continue. Then Skip to step 4. Step 3) Click the View Detail under Registrations & Reservations table- Actions. On the next screen that populates click Update button on the bottom of the screen, in between the
