ASSEMBLING YOUR PLANNING TEAM Prayer Putting together a top-notch team does not start with great recruiting skills or powerful motivational abilities, but rather the starting point must be prayer. As you start to pray about your upcoming banquet, one of the most important elements to pray about is your core planning team. Ask God: • Who He wants on your banquet planning team • To move the hearts of the people He wants involved • For the right people to be put in the right roles with the right plans

Structure The banquet team (describedin more detail later in this training module) is made up of four key areas: Executive, Administration, Promotion, and Program roles. Each role has different responsibilities for your banquet. You may have more than one person for each of the key roles, or some people may be tasked with more than one role. View the structure as flexible, and adjust it to fit your banquet plans and your organization.

Prioritization It is important that you and others involved make your banquet a focused priority. Do what you can to free up your schedule and allow time to plan and conduct the banquet. Do not try to add this on top of an already-full calendar of activities or you could significantly diminish the potential results. Make sure that every prospective team member has the mission at heart.

Best ways to contact people Start by contacting staff, actively engaged board members, commited volunteers, dependable friends and others from church and the community.

In this era of e-mail, instant messaging, and chat rooms, human contact is still the most effective way to share your heart with others and invite them to join your efforts. Avoid vague e-mail blasts to friends and volunteers simply asking them to “help with this year’s fundraising banquet.” The best ways to invite others to help are: 1.) In person, 2.) On the phone, or 3.) Through a personal letter or e-mail

What to say when contacting The following is a sample script you could use when inviting people to join your banquet planning team. Modify to fit your organization and style: Hi! This is (YOUR NAME) from (ORGANIZATION NAME). How are you today? Listen – am I catching you at a bad moment, or do you have a quick minute to talk about something really important? You probably know that our organization has a mission to (DESCRIBE MISSION.) Our ministry is holding its annual fundraising banquet on (DATE) to ensure the success of that mission. We are currently assembling a small team of people to help plan and conduct that banquet, and I would like you to prayerfully consider helping on that team. I’m not asking you to commit to anything right now and would certainly want you to pray about this before making any decisions. We’re having an introductory planning meeting to go over what we’re trying to accomplish through this year’s banquet – and how you might be able to help. Would you be able to get together on (DAY) at (TIME) to talk about this? (Then provide location details.)

Your first meeting A good starting point is to pull prospective team members together for a first meeting where you can: • Pray together • Share your heart about the organization and its work, and your vision for this year’s fundraising banquet • Review your banquet results from the previous year • Go over the vision and mission of the organization • Set goals for this year’s banquet • Share your personal commitment to the banquet • Discuss possible team roles • Ask people to prayerfully consider serving in one of the roles • Ask for the commitment of other potential team members • Assign team roles • Pray together and dedicate your efforts to the Lord

Meeting schedule Try to assemble your team about 20 weeks before your banquet to begin planning, if possible. If your banquet is sooner than that, assemble your team over the next week or two. While not having to worry about the color of the napkins, this role can be result focused and make personal contact with the people who will attend the banquet, fall in love with the mission, and give generously. The Executive Role invests time into the people and the program that will take your banquet to the next level. This role also supervises all the other roles to ensure that the entire banquet is on track. Administrative Role: The Administrative Role takes care of the technical aspects of the banquet that can sometimes get overlooked in the midst of planning a major event. This role is very hands-on in arranging the necessary details to make the banquet a reality. The Administrative Role also allows the Executive Role to focus on donors and not details of the dinner while leading up to the event.
