General information: Astute is an electronic data exchange service. Astute provides you with financial product information from various financial institutions. The current list of Content Providers can be found on the Astute website home page under “Products”.

The Service Astute currently offers Consolidated Client Portfolio (CCP) Information on Life and Risk products, with related investment information, within the Life Assurance industry,Unit Trust and Linked Investment products within the Investment industry. The service is accessible from the following: 

All Astute certified Financial Needs Analysis systems (FNA) that integrate seamlessly with Astute. For a list of integrated FNA systems, click on FNA Systems on the Astute website. When downloading via an FNA system, the information will also be available in the user’s message box on the Astute website for a period of 5 days.

A request performed is sent to the Content Provider(s) selected. The Content Providers will then respond with all the information available for the requested client, where this client is either the life assured and/ or the owner. The information may also be downloaded into the FNA that you requested the information from. The financial adviser is required to have the signed Astute client consent form where the client gives consent to the financial adviser to obtain his/her policy information prior to performing a transaction. The Astute client consent form can be obtained from the Astute website under “Legal and Compliance”. Compliance audits will be performed by Astute, at which time the user must produce this written consent.

Astute Website Access the Astute website by connecting to the Internet and then opening your web browser (eg. Internet Explorer). Go to www.astutefse.com to open the Astute website. Tip: Once the site is open, add it to your favourites for future access. NOTE: Screen Resolution The website has been optimised for viewing with a resolution of 1024 x 768 or greater. To confirm your resolution settings, go to your Control Panel; click on Display, then on Settings. Increase or decrease your resolution on this page, then click on “Apply” to save the settings. You are able to navigate in various ways: Tabs: You can click on the tabs found at the top of the web page, which is displayed in 2 rows before Login and 3 rows after you login. Breadcrumbs: These are quick navigational links found immediately beneath the dark blue bar as you access different parts of the website. If your mouse pointer changes to a pointing hand, it indicates a link allowing you to return to that point. Links: If you click on most underlined words or phrases you will be linked to the underlying content (your mouse pointer will change to a pointing hand to indicate a link)

For the individual: By clicking on the line or its button, individuals will be able to see who has accessed their personal information within the last 45 days. NB: This is NOT for users/intermediaries to use for their clients and a declaration needs to be accepted that the information requested relates only to your personal portfolio. Register NOW and experience a new world in electronic information services: Clicking on the button next to the above line (found in the middle of the Astute home page) will allow you to register online for the Astute service. NB: If you are affiliated to member organisation DO NOT complete the online application! FIRST check the registration process – click on “Help” and then “Application Procedure” and follow the steps indicated there. Newsflashes: Below the online registration you will see important newsflashes: Astute uses this to raise new and important information with you. Click on the link “More” immediately below the newsflash to get the full information as well as access to our newsletters and other news articles relating to Astute.

Lost Password: Below the login boxes is the “Lost password” button where you will be able to request your password if you have forgotten it. Login Boxes: Enter your user name or ID number and password into the login boxes in order to login onto the Astute site. Below the login boxes is the “Lost password” button” where you will be able to request your password if you have forgotten it.



Landing Page

Once you login, you will be presented with a personalised landing page. The user name that you logged in with is displayed in the top banner on the right hand side between the 2 rows of tabs. TIP: Clicking on your User Name will return you to your landing page. Your Landing Page gives you easy access to the following:  Access your last 5 Transactions and your Message Box  Details of your billable and non-billable enquiries and access to your billable transaction report.  Your personal information is displayed and you have the ability to “Update my details” and “Update my password”  Access to the 5 most recent news articles as well as the news archive

Landing Page Tabs The landing page contains the same tabs as on the Astute home page with the following additional tabs in the dark blue bar: Transactions tab: This tab is used to request client information. Point to the tab and you will have the option to request a Consolidated Client Report and then chose to obtain information on:  Life and Risk Only  Unit Trust Investment Only Linked Investments Only  All Products – Life and Risk, Unit Trust Investment and Linked Investments Message Box tab: This tab is used to retrieve requests for client information or view the status of current requests Administration tab: This tab provides access to all administration functions and the following may be accessed (depending on the users profile/permissions)  Change Password  My Profile – allows you to edit your user details  User Management – allows you to add or delete sub-users  Power Search – allows you to quickly find a user in your Group - When searching for a User, please select which register to verify Users details against  Reports – allows you to retrieve management reports Log Out tab: Log off the Astute site. NB: Remember the registered user will be held responsible for any transactions performed under his user name.

Registration: Requirements: You are required to be a member of the following organisations in order to be a user on the Astute system:    

A member of FSB, if you are a South African user, A member NAMFISA, if you are a Namibian user, An FSB Registered Intermediary, if you are a South African, or A LAAN Registered Intermediary, if you are a Namibian user.

Independent intermediaries An Independent intermediary who is a member of an Intermediary Association, and wants to qualify for special rates should register as follows: Download the form applicable to your association from the Astute website under “Help” and then “Application Forms”. Complete and fax the form, together with a copy of your ID document and a copy of your FSP/NAMFISA certificate to Astute Administration at 086 670 0041 or +27 11 7879710. Tied Agents A financial adviser employed by a life insurance company needs to follow their registration processes. The process is summarised in the relevant document that can be found on the Astute web site under Help and Application Procedure.

Tied agents should NOT register on-line, but follow the registration process for the company they are tied to. On-Line registrations On-Line registration requires you to have the following before you start with the process.   

The debit order details Your FSP number, if you are a South African user. Your NAMFISA number, if you are a Namibian user.

The process: Click on the “Register” button on the Astute Home page. Accept the overview and then complete the on-line registration form, using the same ID Number that is registered on the FSB/LAAN. This is required for the system to link your user profile to the FSB/LAAN system. You need to select the subscription band that you wish to register for – the minimum is 20 transactions per month. Once you have finalised the registration process, you must print and sign the debit order form. Fax the debit order form, together with a copy of your ID Document, your FSP/NAMFISA certificate and proof of banking details to Astute Administration at 086 670 0041 or +27 11 7879710 PLEASE NOTE THAT YOU WILL NOT BE ACTIVATED AS A USER OF THE SERVICE UNTIL ASTUTE RECEIVES THE SIGNED DEBIT ORDER FORM, PROOF OF BANKING DETAILS, A COPY OF YOUR ID DOCUMENT AND A COPY OF YOUR FSB / NAMFISA CERTIFICATE. Your profile will be activated within 2 working days after we have received all the required documentation. You will be notified by e-mail as soon as you have been activated as a user of the system. This e-mail will contain your Astute user name and password, as well as supporting information. Upon initial activation to the system, your debit order will be created. A double payment will be deducted the following month on the "Date of subsequent payments" as chosen by you during the registration process.

Requesting information from the Astute website: Requirements You must be an FSB/LAAN Registered Intermediary, or have been authorised by an FSB/LAAN Registered Intermediary, to request a Consolidated Client Portfolio transaction. You must be in possession of a valid client consent form from the client, duly authorising you to obtain their information.

Transacting as the Primary User Enter your user name or ID number and password into the login boxes in order to login onto the Astute site.

Please use either Username and Password, or ID number and Password. Not all options together.

Click on “Transactions” and then select “Consolidated Client Portfolio”, then chose either “LifeAndRisk”, “UnitTrustInvestment”, “LinkedInvestments”, or “All Products”.

Capture your client's details. Please note that the minimum criteria required to perform a transaction are the client's initials, surname and date of birth. Initials must be typed next to each other with no commas, full stops or spaces between them.

Click on “Select All” under Life Offices and/or Unit Trust Managers and/or Linked Investments or All Products to request information from all companies. Individual companies may also be selected / deselected by clicking the appropriate tick box. You may further refine the search by indicating a policy number/contract number per Life Office/Unit Trust Management Company where available – this will be required where a duplicate client exists on a Content Provider’s database.

Should you wish to submit more than one request you may do so at this stage by clicking “Perform another transaction” at the bottom of the page and repeating the above procedure. You may submit up to 10 requests at a time. A list of all the transactions to be submitted is displayed at the bottom of the page and requests may be deleted if no longer required.

Once you have captured all your client(s) click on “Continue”.

Read and accept the declaration if you are in possession of a valid client consent form by clicking “Accept and Submit All Enquiry(s)

Replies will be sent to the Message Box on the Astute website.

Transacting as an Assistant User Click on “Transactions” and then select “Consolidated Client Portfolio”.

Select the Primary user you would like to transact on behalf of from the drop down box, then chose either “LifeAndRisk”, “UnitTrustInvestment”, “LinkedInvestments”, or “All Products”.

Capture your client's details. Please note that the minimum criteria required to perform a transaction are the client's initials, surname and date of birth. Initials must be typed next to each other with no commas, full stops or spaces between them.

Replies will be sent to the Message Box on the Astute website.

Retrieving information from the Message Box: After submitting your enquiry(s) you will receive the following confirmation: To retrieve the requested information, please go to 'MESSAGE BOX' located next to the 'TRANSACTIONS' tab on the Astute web page. To access the information, click on this message or click on “Message Box”. Please take note that the information in the message box will remain there for only 120 hours (5 days). Also please take note that the Content Providers have 24 hours in which to send back information. Do not request the information again if you do not get an answer back immediately.

The "Message No." is the tracking number of your request. The "Description" indicates the request type, and the client name. The "Time Requested" reflects the date and time that this request was submitted. The "Replies Received" shows which Providers have replied to your request. The “Outstanding Replies” shows which Providers must still reply to your request. If you have not received the full number of replies, click on the "Refresh" icon of your browser or re-click “Message Box” to retrieve additional replies. Please note that the content providers have up to 24 hours in which to send a response to your request. If their systems are all running, you should receive the information within minutes. In order to view the client detail, please click on the "Message No." relevant to the information that you wish to view.

The information views: 1st View: This view is a consolidation of all products received from the content providers from which you requested information. The information is classified according to Active and Inactive statuses per Product Type per Content Provider. The responses are colour coded. In the row at the top of the page you can see the information you entered when you did the request. Please check this information for correctness should you not receive all information. Click on “LIST ALL POLICIES/PRODUCTS” to navigate to the 2nd view for a consolidated portfolio of all the policies/products.

2nd View: On this view, the consolidated products are supplied by content provider. The information is split to reflect each separate product, together with the product number, and information that is pertinent to that product. The product number is underlined on this view. By clicking on the product number, you will be able to navigate to the 3 rd view for more information.

Old View: You can also click on the Old view button to take you to the old view/Policy Schedule view. This view opens up as a separate window, which can be maximised. This view displays the full product detail as supplied by the content provider per individual product.

3rd View: The 3rd view opens up as a separate window, which can be maximised. This view displays the full product detail as supplied by the content provider per individual product.

When you select any of the personalities on the policy (on view 2) it opens up the 3 rd view. This view will reflect the personal details as supplied by the different insurance companies. This allows you to compare the details and assist the client in updating them where required.

Administration The administration system allows you to do the following:     

Change your password My Profile: Change your personal detail User Management: Adding or deleting groups, users and Assistant Users by using the User Administration system if you have this functionality on your user profile. Power Search: Allows you to quickly find a User in your group Request management reports

Change Password: Users may change their own password, by clicking on "Administration" and then on "Change Password" or clicking on “Update my password” on the landing page. The system will prompt users to enter their current password, and then enter and confirm their new password. A change to the user password will be confirmed to the user via e-mail.

Lost password: If you forgot your password, you can request it by clicking on “Lost password” on the Astute home page. You then need to enter your identity number or your user name and submit. Your password will be sent to your e-mail on record. The user password may also be reset by the root user, or by Astute. The new password will be communicated to the user, via e-mail.

Change Details Users may change their own detail by clicking on “Administration” and then on “My Profile” or by clicking on “Update my details” on the landing page. Please update your details regularly as our primary method of communication with you is via e-mail. Should we have the wrong e-mail address on the system, you will not receive important notifications or passwords.

User Management The User Administration System has been designed to allow every organisation to customise access to the system according to its own needs. The User Administration System allows the following facilities: Users:

Groups: Billing Objects:

Additional users can be added to the system. These users can either be principal users or users who transact on behalf of a principal user/s (Assistant users). Please note: In terms of the Intermediary Agreement, the principal user is responsible for the transactions of all users added to his profile. These Assistant Users will, after being added, automatically have the same rights as the principal user. The principal user has the facility to restrict the rights of these assistant users, by removing their "add, edit, or delete" rights. The principal user can also prevent the assistant users from transacting, by not linking the assistant user to a billing object. Under these circumstances, the assistant user will be able to act in an administrator function only. The Astute system allows for an Assistant User to be linked to more than one (multiple) Primary user in different groups, within the same root, and vice versa. This allows the Assistant User to perform transactions for one or more Financial Advisers thus allowing for flexibility between the two. Upon registration a default group is created. The principal user is automatically linked to this group. The principal user can create additional groups if required, to logically group users together. The billing object represents the account against which the subscription and connection fees are debited. A user must be linked to a billing object in order to transact.

The process: Login on www.astutefse.com. Click on "Administration" then "User Management”.

Your organisation’s name will be displayed on the left hand side of the screen, with a + sign next to it. Click on the + sign, to display your default group and billing object.

You will need to "refresh" your screen after having effected any changes in the User Administration system, before the changes will become visible. To refresh your screen, click on the refresh button of your Internet browser.

Please note: The following functionally of the system is dependent on your user role and access rights. If you cannot do some of the following, your user rights are probably limited. In such a case, contact our Accounts department. Root user: This user will be able to add, edit, disable and delete any group and user detail within your organisation as well as move a group or user. The user will also be able to add, edit and disable any billing object detail. Group user: This user will be able to add, edit, disable and delete any user detail within their own group. User: This user will be able to edit their own user detail, as well as add, edit and delete any Assistant user detail linked to them. Assistant User: This user will only be able to edit his/her own user detail. RIGHT clicking on a Root, Group, User or Assistant User will display a menu of available actions.

Group Management:   

Add a new group: Click on the name of your organisation. The Root Management will appear on the right hand side of your screen. Click on the "Add A New Group To This Root" icon. The system will now allow you to enter new group detail. Complete this detail and submit. A new group has now been created. Edit group detail: Click on the group name on the left hand side of your screen. The group detail will appear on the right hand side of the screen. Click on the "Edit This Group" icon. You may now change the group detail if required. Once you click on "SUBMIT", the group detail will be updated. Delete a group: Click on the "Delete This Group" icon on the Group Management screen. The system will display the message: "Are you SURE you want to delete this Group?" Click "SUBMIT" to confirm the delete or “Cancel” to return to the Group Management. Please note: If there are users linked to a group and the group is deleted, the system will delete the group and keep the linked users on the system for a few months till proper clean up is done. Disable a group: click on the “Disable This Group” icon on the Group Management screen. The system will display the message: “Please state a reason for setting the Group to INACTIVE”, choose a reason listed on the screen to disable the group. To enable a previously disabled group: click on the “Enable This Group” icon on the Group Management screen. The system will display the message “Please state a reason for setting the Group to ACTIVE”; choose a reason listed on the screen to activate the group again. Move a group: Right Click on the group. Select “Move this object” if only the Group must be moved. Select “Move Child Elements” if group and users must be moved. Proceed with the steps in the wizard to complete move

Billing Object Management: Click on the name of your organisation. The Root Management will appear on the right hand side of your screen. Click on the "Add A Billing Object To This Root" icon. The system will now allow you to enter the new billing object detail. Complete this detail and submit. The system will now request the required band assignments for this billing object. Please select the required transaction types and the billing band for each and submit. A new billing object has now been created. Please note: Before the new billing object can be used, the object must first be Vetted by Astute. To edit the detail pertaining to any given billing object, click on the billing object on the left hand side of your screen. The Billing Object Management will appear on the right hand side of the screen. Click on the "Edit This Billing Object" icon. You may now change the billing object detail as required. Once you click on "SUBMIT", the billing object detail will be updated. To edit the billing object’s band assignments, click on the “View Subscription Levels”. The Billing Object Band Assignments screen will appear on the right. Click on the “Edit This User’s Products” icon. You may now change the band assignments as required and click “SUBMIT” to confirm the changes. Please note that you will be required to fax a new debit order to Astute if the account detail on the billing object has been changed. Click Show Debit Order on the Billing Object Management screen to display the new Debit Order form, which you can then print and fax. A billing object cannot be deleted. You may however mark the billing object as inactive. This will prevent future subscription and connection fees being charged to the account. Any user linked to this account will no longer be able to transact. To mark a billing object as inactive, click on the "Disable This Billing Object" icon. The system will display the message "Please state a reason for setting the Billing Object to INACTIVE" Choose a reason listed on the screen to mark the billing object as inactive. Reports: The following reports can be obtained: Billable Transactions: A detailed view of all transactions performed over a defined period or a maximum of a 45-day window period. Upper Limit Breached: A report highlighting when you have exceeded your upper limits of the transaction band you have subscribed to. Upper Limit Reached: A report highlighting when you will reach your upper limit of the transaction band that you have subscribed to. User Transactions: A detailed report of all the transactions performed per billing band and by an individual user.

User Management:   





 



Adding a user: Click on the name of the group. The Group Management will appear on the right hand side of your screen. Click on the "Add A User To This Group" icon. The system will now allow you to enter new user detail. Complete this detail and submit. A new user has now been created. Adding an Assistant User: Select the principal user from the list on the left hand side of the screen and click on “Add A New Assistant User” icon. The system will now allow you to enter the new sub-user detail. Complete this detail and submit. A new Assistant User has now been created and linked to the selected principal user. Linking an Assistant User to multiple Primary Users: Click on the user name on the left of the screen. The user’s details will appear on the right. Click on the “Assistant Link Management” icon. Select the Primary User to be linked from the list on the left, then click the “link available Primary user” icon to link the Primary User to the selected Assistant User. Press “save” and the selected Primary User will be linked to the Assistant User. To assign a user to any given billing object: click on the user name on the left hand side of your screen. The User’s details will appear with the assigned products. Click on "Edit This User". You may now check the box of the service that this user has access to and select the billing object you wish this user to transact against. Click “SUBMIT” to confirm the new user products. The user will now be able to transact. Please note that an Assistant User may only transact against the same billing object as the principal user/s who they are linked to. To remove user rights: click on the user name on the left hand side of your screen. Click on the "edit user" icon. Scroll down to the "add, edit, delete" rights. Uncheck the box of the rights that you wish to remove and click "SUBMIT". The user will no longer have the right to perform the functions that you have removed. To change a user's detail or the user’s rights, click on the user name on the left hand side of your screen. Click on the "Edit This User" icon. Change the required detail, check or uncheck the rights and click on "SUBMIT". Please note that the identity number of a user cannot be edited. For security reasons, the e-mail address of any user can only be changed by the user or by Astute. To disable a user: click on the “Disable This User” icon on the User Management screen. The system will display the message: “Please state a reason for setting the User to INACTIVE”, choose a reason listed on the screen to disable the user. To enable a previously disabled user: click on the “Enable This User” icon on the User Management screen. The system will display the message “Please state a reason for setting the User to ACTIVE”; choose a reason listed on the screen to activate the user again. To delete a User/Assistant User: click on the “Delete This User” icon on the User Management screen. The system will display the message “The following User or Assistant(s) will be deleted and will no longer have access to the system” and “And the following User or Assistant/s will be de-linked:” Note that upon deleting an Assistant User; the Assistant User will be delinked from all Primary Users. Move a user: Right Click on the user. Select “Move this object” and proceed with the steps in the wizard to complete move. Note: Users can be moved to another Group or Root.

Glossary Billing Object: The billing object represents the account against which the subscription and connection fees are debited. A user must be linked to a billing object in order to transact. Billing Transaction: Any transaction where a positive result has been received from any content providers. If no content provider can supply information, then there will be no cost. The cost is fixed irrespective the number of Content Providers information is requested from. Child Elements: Child elements are elements that belong to a parent – i.e. Assistant user is a child element of a user; user is a child of group; group and billing object are children of root. Landing Page: When you login onto the Astute website, you will be presented with your personal landing page. This page will display the 5 most recent messages in your message box, your enquiry statistics, and a summary of your personal details together with links to update these details and to change your password. We have also added links to the 5 most recent news articles for your convenience. Root: This is the main root under which you are registered with Astute. You could be registered under your own Root, or the root of an intermediary association or life insurance company.
