Welcome to the Show! Welcome to the 2016 Circle Ten Council, East Trinity Trails District Spring Camporee! This guide contains all the materials your unit will require to have a successful and fun filled time including registration forms, a schedule, check-in/out procedures, and more!

General Rules and Regulations 1. REGISTRATION a. All Troops, Teams, Posts, Ships, and Crews are invited to attend. In addition, 4th and 5th grade Webelos dens may attend and must register with and be hosted by a Troop, Team, etc. b. All units should plan to register on CampMaster (see Appendix A for more information) before March 19th. c. Participant fees if registered prior to 03/19/2016 are $25 per person. This covers patches, facilities, awards, etc. d. Walk-ins with units, as space allows, will be accepted at the rate of $30 per participant. Patches and other items with limited supply will be issued to walk-ins as supply allows. 2. AGENDA NOTES a. Youth Leader Meetings will be the main source of information at the camporee. The SPL, Captain, President, Boatswain or his designee should be present at all Youth Leader Meetings scheduled. b. Please be mindful of the time and verify that preparations are made to honor the “lights out” time on the schedule. Remember, a Scout is courteous. c. Each unit present at the Saturday evening campfire is expected to be ready to present one skit and/or song. Skits and songs are required to be turned in for review at the Saturday lunchtime d. Changes to the agenda may need to be made before and during the camporee. We appreciate your understanding, and we will communicate changes to the best of our ability as they occur. 3. LOCAL TOUR PERMIT a. A local tour permit must be filed by your unit at least two weeks prior to your travel to the camporee. Please have copies of your permit and your unit’s current BSA medical forms at check-in. 4. REFUNDS a. Due to budgeting, ordering procedures, and money handling procedures, we reserve the right to refuse refunds of fees and payments. However, if a participant is unable to attend the camporee, another participant may take the open slot.

Check-In Procedure Summary: 1. Drive to pre-designated parking area. 2. Go to check-in table. 3. Turn in paperwork (local tour permits and BSA medical forms) 4. Saturday check-outs must be arranged NOW. 5. Go set up tents in campground. Details: 1. Drive to (the designated parking area). Have your Local Tour Permit current BSA medical forms ready to turn in. Staff will help to direct you to the parking area. 2. A Check-In table will be located adjacent to the parking area. Please meet the registrars at the Check-In table. 3. At the Check-In table, you will turn in your BSA medical forms and Local Tour Permits for all unit members attending the camporee. 4. If your unit plans to leave the campgrounds Saturday, you must inform the registrars at the Check-In table at this time. Failure to inform the registrars may result in the unit’s forfeiture of their camporee patches. 5. After Check-In, please go to (the designated campground) and set up your tent and equipment for the night. Note: Scouts are responsible for stowing personal equipment properly. Staff are NOT responsible for any loss of personal equipment.

Camporee Information 1. Campsites will be assigned according to the headcount submitted. Each unit is responsible for providing their own tents, cooking equipment, food, and while the camporee will have some first-aid supplies you are expected to have first-aid supplies for your unit. 2. Participants are expected to obey the Scout Oath and Law. Scouts will be allowed to demonstrate their leadership skills. Misconduct and/or unsportsman-like conduct may be cause for asking a Scout and/or unit to leave the camporee. 3. A Scout is Trustworthy. A Scout’s honor is to be trusted. Scouts, Venturers, and Sea Scouts attending the camporee are encouraged to have a good time, but at all times all attendees are expected to set a good example and to put their best foot forward. 4. Two-Deep Leadership is required by National directive. Please ensure that you have a minimum of two leaders (one adult must be over 21) with your unit. Leaders must camp with their units. Webelos must have proper participation as outlined in the Guide to Safe Scouting. 5. First Aid needs for minor injuries are the responsibility of the unit. Any serious injuries must be brought to the attention of the camporee staff. Ensure your unit has a Medical Release Form and Parental/Legal Guardian Permission release for all participants in your unit. 6. CHECK OUT: Any unit not officially signing out with a staff member and having their campsite inspected may forfeit their camporee patches 7. SATURDAY CHECK OUT: Any unit checking out Saturday must make prior arrangements with the camporee admin at check-in. This will insure that a proper campsite inspection takes place before that unit's departure from this year’s event. Failure to follow this procedure may result in that unit's forfeiture of their camporee patches. Those departing units must clear their campsite before the start of the evening assembly. 8. LEADERSHIP: Unit SPLs, Captains, Boatswains, and Presidents are in charge of and responsible for the conduct of the units at all times during the camporee. Units are expected and required to ensure that they comply with National BSA policy regarding Youth Protection, Two-Deep Leadership, etc. 9. HELP: If help is needed, the camporee committee and staff will help as much as we are able. Ask for help at any time to help solve any misunderstandings or conflict. 10. GUESTS: If you encounter someone who is not affiliated with the camporee, please treat them with respect and courtesy. Also, please notify camporee staff of any suspicious or dangerous behavior.

11. RESTROOMS: Restroom facilities are available. Please be as respectful with them as if you are in your own home. 12. LOST AND FOUND: The Camporee lost and found will be at the camporee HQ. Be sure to mark your equipment and clothing, and please turn in any stray items that you may find. 13. Prior to each unit’s departure from camp, a staff member will inspect campsites to approve site condition. Remember to leave it better than you found it! 14. Unit/patrol flags are optional yet encouraged during assemblies and competition. 15. All units will be encouraged to have a spirited yell. 16. Relay Race: Run around a track in camp and at every stop compete in a One-Minute Challenge. Each participant will complete the challenge and then hand of to the next runner. There will be 5 legs of the race. Event names for the race will be given out at check in. Minimum participants needed: 5 Time of event: Afternoon 1 PM Type: Troop (full camp) Brain Rush: Each patrol must answer a trivia question. If they get it right they run a distance, run back, and tag their teammate. If wrong, they run a farther distance and run back. Best total time wins. Participants: 7 Type: Patrol Putt –Putt Each patrol will attempt to putt a golf ball into a hole. The closer they get to the hole the more points they score. Participants: 2 Type: Patrol Bingo: This event uses classic bingo rules. Each time won gives your patrol points. Your patrol may play this game as many times as it wants. Minimum participants needed: 2 Type: Patrol

American Scout Warrior: This event is a game of ultimate Frisbee. All teams compete in a tournament style competition. Must sign up at check-in. Participant number: 5 Type: Patrol Who’s who in the zoo: Scouts are given an animal/plant and they need to go to each panel and identify each animal or plant. Each correct answer is one point for their troop. Minimum participants: 5 Type: Patrol Pull what where?: Each unit builds an A-frame sled. Each unit will need to carry one member on the sled across a specified distance. Every process is timed up until completion of the race. Fasted time wins. It is recommended that each troop brings a member with knot and lashing skills to this event. Participants: Minimum of 3 Type: Patrol Creaser’s Challenge: This is a giant game of Jenga. Each unit must build a tower and the team with the highest tower with the fastest time wins the competition. Participants: As many as needed Type: Patrol

Jackpot Bowling: Each patrol throws a Frisbee at 2 liter bottles set up in a bowling formation. Each patrol will gain points based on their performance. Type: Patrol Participants: 5 Flag Tag Patrol members will have a bandana that is sticking out of their belt. Coming from opposite sides of the playing field they will steal the other patrols flag. The last patrol to have a member with their flag intact is the winner. Type: Patrol Participants: 7

Each event will be weighted the same in occurrence of points. 1ST will equal 100, 2ND will equal 50, and 3RD will equal 50.

Camporee EMS/Fire Plan Location: Camp James Ray 71 Camp James Ray Rd, Pottsboro, TX 75076 Contact Numbers: EMS/Fire/Police: 911 Poison Control Center: 1-800-222-1222 Pottsboro Fire Dept.: (903) 786-2495 Pottsboro EMS: (903) 786-3010 Medical Emergency: Prevention: All day events will be supervised and facilitated by competent and able bodied staff. All camporee staff will have been trained in basic safety principles relating to weather and their individual events. If anything prevents the safe administration of events, said events will be postponed or canceled. Reaction: Multiple staff members will be certified with the American Red Cross to administer basic first-aid and CPR. We have a dedicated staff member who is a Registered Nurse who is designated as the event’s medical officer and will be posted at a designated location (see attached map). All roads in camp will be monitored throughout the weekend by staff to ensure accessibility by ambulance. If a medical emergency occurs, emergency medical services and the event’s medical officer should be notified immediately. Staff will be dispatched to the gate to ensure the park is ready to receive an ambulance. Another staff member will retrieve the medical documentation for the injured person received at check-in. The subject of the emergency will be cared for by trained able bodied persons until EMS arrives. Fire Emergency: Prevention: All fires will be made in proper containers (such as fire ring that is provided) and will comply with any policy or ordinance currently in effect, such as burn bans. Stoves and their fuel will be placed in stable and safe locations that are not subjected to extreme heat or sparks. Means to extinguish fires shall be present wherever a fire lay is created. Reaction: In the event of a fire emergency, the local fire department will be notified and evacuation procedures will be initiated. All able staff not helping to direct the evacuation will use available firefighting tools to help retard the spread of fire prior to evacuating. The park gate will be left open by staff on their exit to ensure that the fire department has access to the camp. Unit leaders (Scoutmasters, SPLs, Coaches, Captains, Advisors, Presidents, Skippers, and Boatswains) will be responsible for moving their units to the rally point (see attached map) and counting heads to ensure their entire unit is present. Leaders will notify the camporee staff of the status of their unit as soon as they are able to ascertain it.
