JuJy 2013 Conditions Intent: The purpose of this bid is to secure a contract on the purchase of Computer 1Igrdw~re and Software. This contract is for a one (1) year period to commence on the date awarded. The contract may be extended for additional one (I) year periods if mutually agreed between both parties providing there are no changes to the terms. Either party may terminate the agreement for proper cause with 30-days written notice. General: Bid price must include delive~’, with freight prepaid to the Tulsa County Information Technology Department, 633 W. 3~ St., 2 Floor Receiving Room, Tulsa, Oklahoma 74127. The bidder must list either “cost plus %“ ~ the percent discount from the manufacturer suggested retail price (MSRP) per specified product type at the time of bid. Tulsa County may contact product manufacturer to confirm MSRP at any time. As items are priced during the award period, the bidder must provide updated pricing with market fluctuation every 30 days after the bid is awarded. Tulsa County reserves the right to confirm changing MSRP values after the vendor selection process. Percent discount of merchandise must remain at the same value discount throughout award period. Sample price lists on pages 3-5 will be used for evaluation of discounts provided on pages 1 and 2. Multiple bids by the same respondent shall be submitted separately and will be evaluated as independent bids. Bid may be split if in the best interest of Tulsa County. The bidder shall state if his bid is submitted on an all or none basis in the event of a split award. If a bidder does not bid all items, please state if certain items must be awarded together for the bid prices to apply. Tulsa County reserves the right to reject any and all bids, to accept or reject any or all of the items in the bid, and to award the contract in whole or in part if it is deemed in the County’s best interest. Bidder must state if the discount will apply to all items that may be requested at the time of ordering. Bidder must supply current and new product model numbers as well as notification of discontinued or upgraded hardware or software. Bidder must describe availability of online ordering or configuration options and degree of inventory tracking or maintenance. As identified products are discontinued or new versions are released, discounted pricing must apply at the same quoted rate on replacement models and software versions. Status of open orders must be provided at the first of each month by mail, e-mail, or through a secured Internet account. Compatibility of cards and software should be cross-checked with PC model number by vendor to insure proper functionality prior to purchase. Vendor will pay return shipping costs on incompatible hardware. Tulsa County will be notified of any item back-ordered for 14 days or more and has the option to request the item to be exchanged for a similar mutually agreed upon replacement in-stock item.
