AFTRS EQUIPMENT BOOKING SYSTEM MANUAL. Please note: areas requiring your activity or attention are indicated by a green box.

This is the first page you will see. Your ID is your first initial and surname. Type them in lower case. The Password is your student log in. There is no 4-digit pin. The Tech Store staff do not have your log in information. When you have entered both these fields click on ‘Ok’.

You will then see the screen below. If you want to only book one item, click on ‘Single Bookings’. (If you want to book more than one item, click on ‘Bulk Book’ see page 6).

If you have clicked on single booking you will see the screen below. You need to choose a category from the ‘Category’ drop down menu. When you have chosen your desired category, click ‘Go’.

You will see the screen below. Below the list of equipment (bottom left) is a colour key indicating the availability status of each item. Choose the item you want to book. Use the scroll bar on the right of the window to view more items. Click on the item you wish to book.

3 Click on the calendar icon to select the start date for your booking. A calendar for the month you are booking in will pop up. Click on the date you want to start the booking on, and do the same to choose the ‘End Date’.

Then select the project you are making the booking for. When you click on ‘Please select a project’, a list will pop up. Click on the required project.

4 When you have selected the project, the screen will look like this. Click on ‘Save booking.’

If your booking was successful, the page will look like this.

5 If your booking was not successful, the screen will look like this. The reason why the booking was unsuccessful is displayed below.

6 To book more than one item, you can select ‘Bulk Book’ on the first screen after you’ve logged in where you see the screen below.

The page will look like this. Select an equipment category from the dropdown menu. When you click on Select Resource Category a list will appear. For example: Cameras/Lenses.

7 You can select multiple items by holding down the shift key while clicking on items or click and hold on the first item you want to book and drag the mouse down the list. When you have selected all your required items click on the arrows pointing right. The screen should look like this.

Use the calendar icons to select your start and end dates. While you are choosing your start and end dates, the screen will look like this.

8 Once you have selected the dates, select the project you are booking for from the ‘Please select a project’ drop down menu.

Click ‘Check Bookings’ to see if all items are available.

The page will look something like this, depending on what is available. The items available to be booked are green. The items unavailable to be booked are red. (If you wish to book the items in red, you will need to try booking other items or choose alternative dates. If you are happy with the booking as is, click ‘book available items’.)

9 The list on the bottom half of the screen indicates successful bookings in green and unsuccessful bookings in red.

To check your final bookings, click ‘My Bookings.’

10 The screen will look like this, depending on how many bookings you have made. In ‘My Bookings’ you can check the bookings you have made today, bookings made for future dates and any bookings you have cancelled. You can also cancel bookings by clicking the scissors icon.

This pop up will appear on the screen. To cancel click OK.

If the cancellation is successful, you will see this message.

To go back to the booking page, click ‘close.’

11 To exit the program, click ‘logout.’

If you see this page, you have successfully logged out.
