PROSPECT IDENTIFICATION CASE STUDY: VISUAL DISCOVERY™ IN ACTION The Need Your team is kicking off a campaign to raise money for a new soccer stadium and the opening event is next month in Chicago. Your team needs to know which individuals are most likely to support a new soccer stadium and, from that list, who to invite to the kick-off fundraising event.

RETENTION / ACQUISITION & APPEAL TARGETING The Challenge Retaining current donors, re-acquiring lapsed donors, and acquiring new donors is the name of the game in annual giving. The challenge is that the messaging and approaches that work best with one group are often very different from what will work well with another group. VOLUNTEER ASSIGNMENT The Challenge Many advancement offices depend heavily on the hard work of their volunteers in soliciting donations. CALL CENTER EFFECTIVENESS The Challenge Call centers have been a mainstay of many fundraising organizations. However, many have done very little to target their efforts or study how to improve their efficiency and effectiveness. However, some leading edge call centers do use best practices that leverage their data and provide answers to questions such as:  Which calling days and times are most effective? Can we cut back some of our calling times and become more effective?  What script has worked best on what segment of the constituency population? For example, did the “new president” script work best on young alumni or on reunion classes? I. The Challenge The Cycle of Pain Most conventional reporting systems deliver reports and scorecards that provide summary level “snapshots”, but don’t answer the “why’s” and “how’s”. New Technologies Enable Better and Faster Decision Making

In-Memory Data Management With ADVIZOR, all data being visualized resides in a Data Pool in main memory on a desktop or laptop computer, or server. Data may be added to the Data Pool from a variety of sources. Currently supported data sources are text files, Microsoft Access, Microsoft SQL Server, Oracle, Microsoft Excel spreadsheets, MySQL, and Salesforce.com. Customers with other database types will typically load data from text file extracts. In addition to loading directly from a wide variety of data sources, ADVIZOR will also load from multiple data sources at once. This ability to bring all relevant data together in one place to give the most comprehensive picture of operations is of high value to our users, maximizing their existing investment in core systems and the data they already create and store With ADVIZOR, there is no need to preconfigure data. ADVIZOR can access your data in its raw form from various data sources and link and join the necessary tables within the software application itself. In addition, ADVIZOR includes an Expression Builder that can perform a variety of numeric, string, and logical calculations as well as parse dates and rollup tables – all in-memory. In essence, ADVIZOR acts like a data warehouse, without the

complexity, time, or expense required to implement it! If a data warehouse already exists, ADVIZOR will provide the front-end interface to leverage the investment and turn data into insight. Data in the memory pool can be refreshed from the core databases / data sources “on demand”, or at specific time intervals, or by an event trigger. Capacity and Performance ADVIZOR is designed and implemented to handle large volumes of data with strong interactive performance. There are no built-in limitations for data size (i.e. number of tables, number of rows in tables, number of fields in tables) or visualization complexity. Performance and capacity are limited only by the amount of memory and speed of the CPU hosting the visual components. ADVIZOR can comfortably handle tens of millions of rows of data across typically 20, or 40, or 60 or more tables. ADVIZOR has numerous fundraising clients and even the largest ones can fit their entire database in-memory on standard PCs and servers. An ADVIZOR Project A key capability of ADVIZOR is to organize sets of charts into Pages comprised of multiple linked charts that work together to address a business question or problem. In business analysis many questions are too complicated to answer with a single chart. A wellengineered page contains a set of charts that function together to answer a specific set of questions. Each chart shows the data from a different viewpoint in a complementary manner. A set of Pages, designed around a focus area, make up an ADVIZOR Project or Dashboard. Each of the charts on each of the Pages is completely interactive, and a selection made on one chart is automatically applied across all the charts on all the Pages. III. Solution Implementation Implementation Steps and Timeline ADVIZOR’s professional services teams work with its customers to deliver a fully functional “project” or dashboard that refreshes from the core systems each night. We also train our customers’ end-user teams and get them up-to-speed in the use of ADVIZOR. Training is “hands-on”, and revolves around using ADVIZOR to answer key questions and improve fundraising results. In order to minimize the workload on IT, ADVIZOR loads existing data tables. ADVIZOR installs a small script and a .exe on one file server that will access the source data tables each night for refresh. The .exe will create the ADVIZOR dashboard project file (.advm) that the individual users will access. The individual users will need access to this shared file, much like they would for a shared Excel file. ADVIZOR Server (for web delivery) runs this same project file(s) and delivers it to end-users through a web portal. The key steps to implement an ADVIZOR project take a few weeks, and include: 1. Working with the customer end-user team to refine their key issues and needs. 2. Identifying the core data tables necessary for decision making. We typically load the following tables. Note in many cases not all of these are available or populated. We can will work with whatever is available: i.Entity table (one row for each entity). Descriptors for key codes that are in these tables Getting access to the data tables either by secure FTP, or via remote VPN access. ADVIZOR then tunes its templates to the needs of its customer end-users, adjusting the dashboard pages and overall layout using the customer’s data. This is run by various members of the client team for feedback and refinement. This is done in 2 to 3 webinar sessions, and also offline via feedback on screenshots in PowerPoint. As part of the project build ADVIZOR will: i. Determine how to link and join the data tables in the ADVIZOR memory pool. We will create the necessary links and joins ii. Create any necessary calculated expressions, hierarchies, parsed date fields, giving bins, segments, etc. that are not in the data tables iii. Identify and work with all necessary security and access issues. Set up daily auto-refresh on customer’s file server: i. Define the process to feed the data tables to ADVIZOR on a regular basis ii. Install small script and ADVIZOR .exe that creates the ADVIZOR dashboard project file (.advm) that the individual users will access. We anticipate that this script will run each night at, say, 3am – after the text files have been created iii. The users then access the ADVIZOR .advm file, which is selfcontained with the full data load Provide hands on training to key end-users on how to use the ADVIZOR project to answer key fundraising questions. This includes providing "best practices" from other universities (this is done onsite) Provide hands on training to key “power users” and/or project “authors” on how to build and modify the ADVIZOR project.

The charts in the dashboard(s) are interactive, and allow the development team to easily drill into the data through ADVIZOR’s patented Visual Discovery™ technology. It is expected that the dashboard(s) will improve focus and decision making, while at the same time reduce the load on IT to produce “special reports”.

Hardware ADVIZOR is a Microsoft .net application. Our client software runs on Windows XP, Vista, and 7. Our server software runs on Windows Server 2003 or 2008, and delivers through all standard browsers – IE, Firefox, Safari, Chrome, etc. Our Server is a multithreaded 64 bit application that can support multiple concurrent users. While there is one data pool for each dashboard, each user has a separate “session” with the data pool and hence he / she can do different analyses and see different results at the same time as others.
