Introduction

Upgrade overview

This document will guide you through the setup of your new company iPhone 6S. It will also show you how to export data and settings from your old iPhone 4 or 4S to your new iPhone 6S.

Skanska is pleased to provide you with a new iPhone 6S. This is a powerful, secure and user-friendly device that will support you with smarter and more flexible ways of working. You can learn more about your device and upgrade process at: www.skanska.co.uk/phoneupgrade

Your old iPhone must be surrendered in exchange for the new phone. Your old iPhone must: • Be unlocked from iCloud • Have the passcode number removed or recorded • Be in good condition and not badly damaged • Have all data you wish to retain backed up elsewhere Skanska reserve the right to withhold issue of the new phone if any of the above conditions are not met.

Apple has developed the free online iCloud service to simplify the process of upgrading to a new device. iCloud is easy to setup and allows you to store up to 5GB of data and settings into the cloud, which can be easily retrieved to setup your new phone. The transfer of data and settings from one device to another is your responsibility and neither Skanska IT nor Onecom can be held liable. www.apple.com/icloud/ This guide has been developed on the assumption that users have not upgraded their iPhone 4S beyond iOS version 7.1.2 (as supported by Skanska IT). Instructions are located at the end of each section for iPhone 4S users who may have updated beyond iOS version 7.1.2.

Contact Onecom if: • Your old iPhone has a serious fault • Your old iPhone has been lost/stolen in the last 24 hours • Your new iPhone will not switch on • You need to activate a new SIM supplied with your new iPhone • You cannot make voice calls on your new iPhone

Contact Skanska IT if: • You are unable to get email or calendar content on either iPhone • The Skanska configuration process does not work when setting up your new iPhone • You need more general support about the process described within this document

Initial checks for your iPhone 4 or 4S The following instructions can be carried out at any time before your phone swap. We advise you to complete the process in the days leading up to the handover. It is not advisable to wait until the handover day in case you experience any difficulties. The first step is to check how much space you have used on your current phone. 1

Open your iPhone Settings.

Scroll down and tap on General.

Scroll down and tap Usage.

After a few seconds a summary of your device’s storage will be displayed. An example summary of how much data your apps are using is shown opposite.

If the total storage used is less than 5GB, you can automatically backup all data using iCloud. If the total storage used is more than 5GB, you will need to manually backup your photos and videos (this is the data that generally takes up the most space). Certain applications can take up lots of space but are automatically backed up and don’t need to be included in the 5GB allowance, such as:

Music – is linked with your iTunes account and all data can be easily downloaded to your new device without a backup.

Email – is backed up at regular intervals throughout the day. Your emails will automatically update when you setup your new device.

Facebook – automatically backs up whenever the application is opened.

Manually backup photos and videos Due tothe 5GB storage limit on iCloud, you may wish to consider manually saving your photos and videos to your PC. If you choose to backup photos and videos via this process, please be aware that there is no simple way to manually restore your backed up photos and videos onto your new iPhone 6S. As an alternative, you can upgrade iCloud to include 50GB of storage for approximately 79p/month. Please note that this is a personal choice and cannot be expensed to Skanska. 1

Connect your iPhone to your PC using your USB charging cable.

A notification will appear on your iPhone, tap on Trust.

On your PC, open File Explorer or My Computer. Expand My Computer, select your iPhone from the list.

Open the Internal Storage (this is the memory on your iPhone). A folder called DCIM will appear.

Right click on the DCIM folder and select Copy.

Move the cursor to the Pictures folder, then right click and select Paste.

The file transfer will now begin. This may take a few minutes depending on the number of videos and pictures.

Open the Pictures folder. You will now find a folder called DCIM. This folder will contain all photos and videos from your iPhone.

Create your iCloud account In addition to storage, iCloud lets you seamlessly transfer all of your contacts, messages and settings from one device to another without the need to manually re-enter this information. This section will guide you through the setup of a new iCloud account. Please skip this section if you already have an iCloud account. 1

Open your iPhone Settings.

Swipe down and tap iCloud.

Tap Get a Free Apple ID.

Enter your date of birth and tap Next.

Enter your first and last name and then tap Next.

Select Use your current email address and tap Next.

Enter your Skanska email address and tap Next.

Create your password, enter it again to verify and then tap Next.

Select a question, enter the answer and then tap Next. Repeat this three times.

Enter a rescue email (this is another email address you have access to e.g. a personal account), then tap Next.

Choose whether you want to receive email updates, then tap Next.

Read the terms and conditions, then tap Agree.

Tap Agree on the notification.

After a few minutes you’ll receive an email from Apple. Click on the verification link found in this email. Enter your Skanska email address and the password you assigned to your iCloud account.

Open iCloud on your iPhone by tapping Settings, then iCloud. A notification will pop up asking if you want iCloud to access your location. Tap OK.

Determine what will be stored in iCloud This section will show you how to select which settings, data and contacts from your iPhone 4 or 4S will be backed up in iCloud. 1

Open iCloud by tapping Settings, then iCloud.

Choose the content that you wish to be stored in the backup. You can determine what should be stored using the switches: White switch: Function is disabled and related data won’t be backed up Green switch: Function is enabled and related data will be backed up The following configuration will be suitable for most Skanska users. Content such as email, calendars and reminders are automatically backed up through Outlook and don’t need to be enabled. Function

Backup your content to iCloud Once you have created your iCloud account and determined which data should be stored, the next step is to complete a backup of your device.You must be connected to a Wi-Fi network to use iCloud. 1

Open your iPhone Settings. Swipe down and tap iCloud.

Swipe down and tap Storage Backup.

Swipe down and tap Back Up Now. Your iPhone will begin the backup process after a couple of seconds. It usually takes 10 – 15 minutes to backup an iPhone, but it can take much longer if you have a lot of data. Once the backup is complete, you should open iCloud to confirm that your data has been stored correctly.

Prepare your iPhone 4 for handover Once your iPhone has been backed up and your content is safely stored in iCloud, the final step before returning your device is to erase all content and linked accounts. There is a simple two stage process that will help speed up the handover process but this should only be completed immediately prior to the swap. Remove your iCloud account from your iPhone4

Erase all content and settings

The following steps will remove all content from your phone. Do not complete these steps until you are ready to swap your phone. 1

Open your iPhone Settings. Swipe down and tap iCloud.

Swipe down and tap Delete Account.

You’ll be asked if you want to delete your iCloud account. Tap Delete.

You’ll be asked if you want to delete your synced iCloud data from the iPhone. Tap Keep on My iPhone. This information will be wiped from the device during the next stage.

Enter your iCloud password and tap Turn Off.

Your phone will now configure itself and remove your iCloud account.

iOS 8.1 and above 1. Open your iPhone Settings 2. Swipe down and tap iCloud 3. Scroll down and tap Sign Out 4. Follow the on screen instructions to complete the sign out process

Erase your settings and content Once iCloud has been removed from your device you need to remove all content and settings. Please double check that you have successfully backed up all of your content before completing this section. 1

Open your iPhone Settings and scroll down, tap on General.

Scroll down and select Reset.

Tap on Erase All Content and Settings.

Enter your passcode.

Tap Erase iPhone to remove all content. Your iPhone 4 or 4S should now be free of personal data, files, contacts and settings and is ready to be returned to Onecom.

Set up your new iPhone 6S The following instructions are supplied for the iPhone 6S but can also be applied to other new Apple iPhones and iPads. 1

Use the SIM eject tool to open the SIM port on the right hand side of your phone.

Insert the SIM card that is supplied in your Onecom box. Plug the phone into the mains using the supplied plug and lead. Please note that your new SIM must be activated by Onecom in order for your existing number to transfer across the network. This is not something you can do yourself. The old SIM from your iPhone 4 or 4S will not fit into the iPhone 6S, even if cut to size, so please do not attempt this.

Turn the iPhone on.

Start to configure the device You will need to connect to a Wi-Fi Network in order to carry out this configuration process. This section of the guide will assume that the configuration is taking place in a Skanska office and that you can access the SGUEST network. 1

Swipe right from the Hello screen, then select English as your language.

Set your region as United Kingdom, then tap on SGUEST.

Enter the current SGUEST username and password, then press Log In. The SGUEST login information can be found around most offices or on the IT page on OneSkanska. Contact the IT Service Desk (0344 561 3777) if you need help accessing SGUEST.

Tap Enable Location Services. The Setup iPhone screen will now display. At this stage you need to choose the appropriate set up options: 1) Set Up as New iPhone is suitable for users who do not have a backup created in iCloud (see page 22). 2) Restore from iCloud Backup is suitable for users who have created an iCloud backup of their data and settings (see page 29). Note: Ignore the Restore from iTunes Backup option.

Option 1: Set Up as New iPhone Setting up as new iPhone means that your phone will have none of your previous settings or content available when the configuration process is complete. Your contacts and emails will be available once your email has been setup. If you have created a backup of your settings and content, it is recommended that you configure your iPhone using Option 2: Restore from iCloud Backup (see page 29). 1

Select Set Up as New iPhone.

Tap Next to start the Skanska configuration process.

Enter your BC number (e.g bc968774) and network password, and then tap Next.

You will be asked to set up Touch ID. We will skip this for now. Press Set Up Touch ID Later and then Continue.

Create a passcode for your device. Select Passcode Options, then 4-Digit Numeric Code. Enter a passcode, then tap next. Enter your passcode again to confirm and then tap Next. Make sure that you choose a memorable passcode. If you forget it, you will need to send your phone to IT so it can be reset.

You’ll be asked to Sign In or Create an Apple ID. We will come back to this later. Tap Don’t have an Apple ID or forget it? Tap Set Up later in Settings.

You will be presented with Apple’s terms and conditions. Tap on Agree and then Agree again when prompted.

Confirm whether you want to use Siri. An explanation of what Siri does can be found at the bottom of the screen.

Tap Choose a View, select either Standard or Zoomed and then tap Next.

Tap on Get Started to access your iPhone. After a few minutes you will be told Cannot Verify Server Identity. Tap Continue.

Enter your network password and tap OK You may get a prompt stating that your carrier may charge for SMS messages used to activate iMessage. Please press OK.

Your email, contacts, calendar, tasks and reminders will now start to download from your Outlook profile. This can take a while so please be patient. Your phone should be fully configured once this process is complete.

Option 2: Restore from iCloud Backup If you’ve backed up your old iphone to iCloud, you can import these settings onto your new device. You must be connected to a Wi-Fi network to complete this process. 1

Select Restore from iCloud Backup.

Enter your iCloud login details and tap Next.

You will be presented with Apple’s terms and conditions. Tap Agree and then Agree again when prompted.

iCloud will begin the setup process. When prompted, select the latest iCloud backup.

If you used an Apple ID with your old phone, enter the Password and tap Next. If you didn’t have an Apple ID on your old phone, tap Skip this Step.

Your iCloud profile will now start to download, which can take a few minutes. The device will restart when the download is complete. When prompted, click on Continue to complete the process.

You will be asked to set up Touch ID. We will skip this for now. Press Set Up Touch ID Later and then Continue.

Create a passcode for your device and tap Next. Re-enter your passcode to confirm and press Next again. Make sure that you choose a memorable passcode. If you forget it, you will need to send your phone to IT so it can be reset.

Connect to the SGUEST Wi-Fi network and then tap Next. Your iPhone will confirm that it is about to be configured. Tap Next when prompted.

Enter your BC number (e.g bc999911) and network password, and then tap Next.

Enter your iCloud password and tap Next.

You may be asked to setup Apple Pay. Press Next and then Set Up Later in Passbook at the bottom of the screen.

You will prompted to setup iCloud Keychain. An overview of its functionality can be found at the bottom of the screen. Tap Set Up Later to skip.

iCloud will continue to update. You’ll be asked to sign up to iCloud Drive. Tap Not Now.
