DATES AND DEADLINES In order for your troop to participate you must: Be registered for the current 2015-2016 membership year. Have a current ACH on file with the council. 3. Have had a background check with the council in the last 3 years. 4. Sign the Troop Manager Agreement and complete training. 5. Not owe debt from any past sale. 1. 2.

NOW – OCTOBER 27 – Girls may sell online. Go to www.gskentucky.org and click on this link. OCTOBER 1 – Girls may sell in person. OCTOBER 28 – All nut/candy/magazine orders must be entered into the NutE computer system by midnight. OCTOBER 29 – All paper magazine orders and completed Reach Out Booklets must be delivered to Service Unit Manager. NOVEMBER 16-17 – All nut/candy orders are delivered to Service Unit sites. Please check with your SU Mgr. for pickup location information. DECEMBER 4 – All money from sales must be deposited into troop bank accounts. DECEMBER 7 – All Uncollectible Debt Forms due to council on families owing. DECEMBER 10 – ACH sweep happens, automatic sweeps from troop bank accounts for money due council. 3

BE A READER: Use the fun and enriching leadership activities in the BE A READER FOR GIRLS to earn their Be a Reader Patch, repeater bee, and/or Be a Reader Certificate. Complete activities from the Be a Reader Activity poster and order the patches from any of the shops at the Service Centers.

TROOP BASICS What is the Fall Product Program? Fall Product Program is a fun, easy way for new troops to earn start up funds for the year and existing troops to add to their troop funds for activities and trips.

Let’s Get Going! The 2015 Fall Product Program Theme “Reach New Heights” aims to encourage girls to look forward and see all they accomplish through this program.

This short term program offers girls the opportunity to learn and develop an entrepreneurial spirit and learn and practice 5 Basic Skills that will help them every day. It’s a great start to get ready for the Girl Scout cookie program too.

-Encourage your girls to set troop goals and individual goals. -Hold a family meeting and inform adults what the girls have planned for the 2015 Fall Product Program. -Collect a signed permission form for each participating girl in your troop.

Remember, when adults understand the importance of the product programs, they give their full support and help their girls do everything it takes to be successful. Let the girls inspire their families!

Who can participate? All registered Girl Scouts with a signed permission slip can participate in the program. All troops must be compliant to sell (registered for current year, signed Troop Manager Agreement, have ACH bank account information on file, background checked within last 3 years and have no debt from previous sales.)

Keep in mind, the Girl Scout Fall Product Program is much more than “just another sale”. It is an opportunity for girls to learn and practice many life skills while having fun and making a difference in their troop, their council and the world!

TROOP BASICS: Who’s responsible and for what? Troop is financially responsible for: 1. Any product ordered through NutE. Troop must be aware of total number of items submitted in NutE order – check for incorrect totals before hitting submit. 2. All girl payments received for product. Troops should provide all girls with receipts for money collected. Troops should make timely deposits of all money into the troop account. Any lost or stolen money is troop’s responsibility. 3. All girl rewards earned by the troop. Troop must distribute all girl rewards to each girl upon receipt. Rewards for any girl with outstanding debt should be held until payment is made. Family is financially responsible for: 1. All product ordered by their Girl Scout. Troop should utilize Nut E and receipts for products received by each girl and obtain responsible adult’s signature. Use receipts for all product and money transactions. 2. All money collected from customers for the product cost. Families must turn in payments to troop by given date. Any lost or stolen money is the responsibility of the guardian who signed the girl product permission form. What’s the return policy? There is NO return policy on Fall Product Program (nuts/candy). If a customer is not satisfied with a magazine they can contact QSP (Magazine Company) for a change or adjustment. What if product is damaged? If an item is damaged, the item can be exchanged at any Service Center for a non-damaged item of the same flavor. 6

TROOP BASICS - SAFETY TIPS:           

Adults must monitor, supervise and guide the product activities of all age levels. Always use the buddy system; never sell alone. Girl Scout Daisies, Brownies and Juniors must always be accompanied by an adult. Girl Scout Cadettes, Seniors and Ambassadors must be supervised by an adult. Only sell in familiar areas of your neighborhood. Never carry large amounts of cash with you. Girl Scout Daisies should let adults accept all money. Never enter someone’s home while you are selling. Never sell to people in cars or in other areas away from public access. Only internet sales permitted are via Ashdon Farms and QSP online link. Customers will pay through the online system with credit card. Girls are encouraged to use emails to market the program to family and friends.

TROOP BASICS: Receipting and Banking -Parents are responsible for all product and money received. -Have parents, not girls, sign receipts. -Receipts can be generated from the G-2 report in the NutE. -Make sure parents count product before signing receipt. -Count money in front of parent before signing receipts. -Parent receives one copy and the troop keeps one copy. Protect yourself! Always use a receipt for every product and/or money transaction.

ACH PROCEDURES      

Troops must have a troop bank account with proper signers and have an ACH bank form on file at the council. Troops should deposit money often during the sale. Troops accepting personal checks must make sure to deposit in a timely manner to avoid overdrafts. Troops with families owing must turn in an Uncollectible Debt Form by December 7, 2015 in order to have the adjusted amount withdrawn for payment. ACH SWEEP from troop account will occur December 10, 2015. Total amount due to council is listed on T2 Report in the NutE on the bottom line.

TROOP BASICS: Due from girls to troops by October 27: 1. Nut and candy order cards/have girls circle reward choices. 2. Magazine order forms. 3. Reach Out Booklets Total each girl’s nut/candy order form by variety and enter into NutE system. Total magazine orders. Enter number of subscriptions and dollar amount into NutE system. Troop Basics: Reach Out Booklets: Girls turn in 5 complete coupons for patch. 1. 2. 3. 4. 5.

Coupons must be printed in blue/black ink clearly. Complete address including zip code. Council – GSWRC, troop number XXX and girls name must be on coupon. .Incomplete coupons will not be counted/credited toward rewards. Duplicate or fictional names will not be counted/credited toward rewards.

Girls may only turn in one booklet (5 complete coupons) for credit towards rewards. Troops will earn $2 troop proceeds for each completed booklet turned in on time.

Online Orders Online orders will automatically be entered into the NutE system under the girl. Payment will show under the deposit tab.

NUTE/TECH NutE is the online ordering system from Ashdon Farms/QSP. You may receive NutE updates and announcements via email throughout the sale. DO NOT unsubscribe to these emails; you will miss important up to date announcements and information. GETTING STARTED: Web site: ashdonfarmsnute.com

Use login and password given at training from your Service Unit Fall Product Manager. SERVICE UNIT OR TROOP TAB Enter all your information. The council will enter the delivery date.

The council or your Service Unit Manager will set up one service unit or troop user in NutE for each troop. Troops may add users under the Troop tab. GIRL ORDERS TAB All registered girls will be automatically uploaded into NutE. Uploads will be run weekly to ensure all newly registered girls are entered. After registering a new girl, it may take up to a week for her information to upload. If she does NOT show up contact your local Service Center.

To enter a girl’s order, click on the pencil by her name and enter the orders under the correct column. DO NOT hit the submit button until all girl orders are complete.

As girl orders are entered, troop will also be prompted to select any reward choices. Reward choices can be edited until final deadline.

TO SUBMIT YOUR ORDER: Review the totals. Check to make sure you have entered the flavors in correct columns. Remember, once you submit your order the product belongs to your troop. Click the SUBMIT ORDER BUTTON.

You can SAVE and EDIT as many times as you need to, but you can only SUBMIT your order once. After you SUBMIT you will not have access to change any order information. Troop orders must be submitted by 12am EDT, October 28, 2015.

REPORTS TAB: Under this tab, reports can be found for use at delivery time, distributing orders to troop/girls and distributing rewards to troops/girls.

T2 – Nuts/Candy & Mag. Report is the most important report for troops and Service Unit Managers. G2 – Nuts/Candy & Mags Report is used for receipts to parents/families. EMAIL TAB - Allows Service Unit Managers to send emails to all troops listed within their service unit.

DELIVERY PROCEDURES Delivery is scheduled for November 16 or 17, 2015. DELIVERY PICKUPS – Check with your Service Unit Manager for location and date. Arrive as close to your scheduled time as possible. Bring enough vehicles to fit your entire product. Have your NutE T2 product report with you for product counting. Count and sign for all products. DELIVERY TO YOUR FAMILIES – Distribute the product to your girls as soon as possible. Divide entire troop inventory by girls before distributing to families. Verify counts before families pick up product. Make sure each family counts all product and signs receipt (G2) for them at pick up time. Girls should deliver their orders, collect money due and turn into troop. Families should sign receipts any time product or money are exchanged between troop and family. DELIVERY TO CUSTOMERS – Girls should deliver orders as soon as they receive their product from their troop. Troop should decide if checks are accepted and if they should be made out to troop or girl. Girls should turn in money often (especially if checks are accepted so they have time to clear the bank.) Providing a transaction receipt each time product or money changes hands keeps a record of who is financially responsible. Protect yourself, protect your troop, and protect your Girl Scouts – GIVE A RECEIPT!

REWARDS Project THANK YOU Show appreciation by purchasing a can or two of Honey Roasted Nuts. A $5 gift will support Project THANK YOU and provide a variety of delicious nuts to Operation Troop Aide. Girls can earn a SHARE 2015-2016 PATCH by getting 5 “Thank You” nuts. All “Thank You” orders and payments will count towards troop profits and girl rewards.

Troop Rewards Troop will earn 15% of the total (gross) sales from magazines and nuts/candy. Online orders will receive an additional 3% troop proceeds on those online sales (total 18% troop profit for online sales.) If Junior, Cadette, Senior or Ambassador Troop opts out of the girl rewards, they will earn an additional 5% in troop proceeds. This must be a majority girl vote. They will still be eligible for earning patches. That would mean they would earn 20% troop proceeds on all orders and 23% on online orders. Troop will receive $2 troop proceeds for every REACH OUT BOOKLET with 5 completed coupons received on time.

SERVICE UNIT FALL PRODUCT SALE MANAGERS BASICS This section is for Service Unit Fall Product Sale Managers only. Information and dates/deadlines included here are ONLY for Service Unit level and NOT TROOPS! SU DATES AND DEADLINES:

Who to call for help? Contact your local Service Center for help. Phone numbers may be found on the last page. There is many staff in each office that can help you.

September – Train troops; give them their NutE access information if they are compliant. Check your SU set up in NutE. Make sure information is complete and accurate. Check troops tab for list of troops. Delete any troops no longer in your SU and add any new ones.

Training Your Troops: Distribute troop and girl materials. Using this guide covers important information. Cover the following points:

October 29 – Ccheck all troop submissions against paperwork. Make sure your delivery station information is correct in NutE (this is extremely important)!

-Programs -Troop basics -NutE and tech -Delivery -Websites and help -Rewards (girl and troop) -Troop Checklist

November 16 & 17 – Accept delivery of product. Count against NutE report and sign delivery ticket. Divide and distribute product to troops. Make sure you bring 2 copies of the T2nuts/candy report to delivery. Have troops sign both copies. You keep one.

Materials! What is available and where do I get them? All troops will receive the following from their Service Unit Fall Product Program Manager:       

Large troop envelope Fall Product Program Guide Uncollectible Debt Form Troop Manager Agreement Permission Form (one per girl) Girl Packet (one per girl) Money collection envelope (one per girl)  Product and Reward samples Additional materials are available at your local Service Center.

December – accept delivery of girl rewards. Count and verify and divide by troops. Distribute to troops. Print out 2 copies of T2-recognition report. Have troops sign and you keep one copy. 20

Selecting a Delivery Station:

If you find DAMAGED product after opening the cases, contact your local Service Center for replacement.

Delivery locations should be selected and entered into the NutE system by October 29, 2015. Exact date will be entered into the NutE by the council AFTER delivery agents set their driving/delivery schedules.

After Delivery – What are my duties? -Remind troops of the ACH withdraw date (December 10th) and that all money should be deposited into their own troop bank account by December 4th to give time for checks to clear.

Stations should: -Be easily accessible for trucks to deliver and volunteers to pick up. -Be clean, reasonably well-lit, insect free with a sturdy and clean floor. -Have phone access (cell phone of delivery station manager may be used.) -Make sure to secure enough help for day of delivery. Delivery drivers will unload from truck but Girl Scout help may be needed to divide orders by troops.

-Remind troops that if they have a family that still owes, the troop leader will need to fill out a UDF (uncollectible debt form) and submit it electronically with supporting paperwork NO LATER THAN December 7th to [email protected]. -Check NutE for YOUR CORRECT SHIPPING ADDRESS for your rewards. NO PO BOXES.

Day of Delivery: Count and sign for all products BEFORE dividing out or giving to any troop. Troops will need to count and sign for product they pick up from station (reports generated from NutE – T2-nuts/candy).

Rewards: Rewards will be shipped to address listed in the NutE. Verify actual count with shipping spreadsheet count BEFORE sorting by troops.

Make sure signed receipts are given to troop and a signed copy is kept for SU.

Divide by troop lists in NutE and distribute to troops immediately.

REMEMBER – NO PRODUCT MAY BE RETURNED!
