Welcome to Key and thank you for choosing ACH Direct. This booklet will provide you with important information you need when using this service. Your Cash Management Sales Officer activated the following services on ACH Direct. Please review the appropriate sections within this booklet for each of the services checked below.

1.1 Overview of ACH Direct ACH Direct is comprised of five functional modules allowing real time functionality with Key’s ACH system. The modules include: •

Online Control Totals ACH Originators can submit file control totals online, allowing you to add, view, modify or delete totals for originated files, replacing phone initiation.



E-mail File Collection Alerts E-mail Notifications for ACH Originators throughout the file collection stages, including arrival and collection.



Online ACH Origination Calendars Submit your yearly Origination calendars online instead of paper calendars.



ACH Transaction and File Inquiry Through our Transaction and File Inquiry feature, you can either view the detail of their ACH Origination files or query details of your received ACH transactions.



ACH Debit Protection through Electronic Payment Authorization (EPA) Protect your account against electronic debit fraud by using our EPA service. EPA allows you to exercise more control over which entries are allowed to post to your accounts by limiting the transactions to only those that have been authorized. Choose to block all debit activity or establish and maintain authorization records to allow certain trading partners to debit your account.

1.2 ACH Direct e-mail Notifications With the exception of ACH Transaction Query module through our warehouse functionality, you will receive event triggered email notifications. Each notification type is assigned a number making it easy for you to identify the type of notification and any action required. Sample subject line on email notification would be as follows: F800 ACH Direct Notification The number after the “F” above details the notification type. Look within the specific module overview to gain an understanding of the notifications available within each of the modules. 1.3 Storage of Notifications Given the sensitive nature of the information contained within these notifications such as account numbers, routing numbers, etc. it is recommended that any printing and storage is secured.

Notifications are sent daily when event occurs. Key processes and sends ACH received information four times during the day. The number of items received against your account will ultimately determine the number of times a notification is received.

1.5 Getting Started on ACH Direct ACH Direct provides added security. For Existing Key Total Treasury (KTT) clients your KTT sign-on will not give you access to ACH Direct. Password and log in information will be mailed to your location.

2.1 Electronic Payment Authorization (EPA) Overview of Service Overview of Service Electronic Payment Authorization through ACH Direct is comprised of two components: 1. Notifications sent to each company associate designated during set-up alerting them of events 2. A web-based portal through Key Total Treasury allowing you to decision pending items, input authorizations and query authorization records. The default for Electronic Payment Authorization is to “block all” ACH debits coming through the account. If there are trading partners who should debit the account, you inform Key through an authorization submitted online via ACH Direct.

Typical Day-to-Day Operations The following diagram highlights what a typical day could look like. AM

2.3 Electronic Payment Authorization (EPA) Functional Overview Entering EPA 1. From ACH Direct Main Menu, click on EPA 2. EPA Main Menu contains the following functions: •

EPA Add – Used to add authorizations to your service. These are partners you are authorizing to debit your account.



EPA Authorization Search – Used to search for authorizations already on the system.



Reject Decisioning – Used to decision items, i.e. pay, reject items.

EPA Add (Adding an Authorization) The account number selected will be displayed at the top of the page for informational purposes only. 1. The following data must be entered on the add page: Number of Transactions to be Accepted with this Authorization •

Single Use – To authorize only a single transaction, this value should be set to 001.



Specific Number of Transactions – Enter the specific number of Transactions that should be authorized. For example, if the user wants to authorize ten transactions, this value should be set to 010.



Unlimited – To indicate that an unlimited number of transactions should be authorized, this value should be left blank.

Transaction Type: Debit. Authorization Date Range (Begin Date): The date the authorization will become active. Authorization Date Range (End Date): The date the authorization record will expire or will be considered inactive. Note: If no expiration, type in 12/31/2099. Maximum Amount: The maximum amount of the transaction(s) that can be authorized using this authorization record. Specific Amount: The specific amount of the transaction(s) that can be authorized using this authorization record. # of Transactions: The number of transactions that can be authorized with this authorization record. Company ID: The company id of the entity originating the payment. Reference Number: Optional, reference number to be contained within the individual id field of the incoming transaction detail record. 2. Click Submit.

Authorization Change/Delete Once you have completed an authorization search, you are able to delete and/or modify these records.

Reject Decisioning Once you have received an e-mail notification regarding a pending entry, you can log into ACH Direct and perform a decision on the item. You have three options: •

Accept—allows entry to post to account



Refuse—item will be returned



Pending—decision not known at this time. You have until 4:00 P.M (EST) of the return date listed on the email notification. Note: If pending items are not decisioned, they will be returned.

Some important tips regarding decisioning •

It is important to note that any changes or additions to authorization records made during the acceptance session will only impact future transactions.



Decisioning can only be performed until the item has been recollected, i.e the return date.



When selecting “Accept”, you are indicating the item should be allowed to post and will not look for or use any existing authorization records.



During the acceptance process, you will be given the option to view (and potentially change) an existing authorization record (if one was present) to determine why the item rejected and make any appropriate modifications to allow future transactions to post.



If the detail item rejected because no authorization record was located, you will be given the option to add an authorization record so that future transactions will not reject.



If you determine the entry should be returned, select the REFUSE option and the item will be recollected and returned on its effective date (or on the following day if collected on the Effective Date).

2.4 ACH Transaction and File Inquiry Overview of Service Overview of Service You can query ACH transactions via our warehouse functionality. For ACH Originators, you can view status of files, batches, and detail transaction information. For receivers of ACH transactions, you will be able to view the detail of the individual transaction. You can view the following information: 1. Originator Browse – Used by ACH Originators to view files sent. 2. Originator by Account Number – Used by ACH Originators to view originated information. 3. Receiver by Account Number – Used by ACH Receivers to view information for ACH received. There are no e-mail notifications for this module.

2.5 Using ACH Transaction and File Inquiry Functional Instructions Entering ACH Transaction Query (Warehouse) 1. From ACH Direct Main Menu, click on Warehouse. 2. Warehouse Main Menu contains the following functions: •

Originator Browse – Option is used by an ACH Originator to browse their file, batch, and detail information without necessarily looking for a specific transaction.



Originator by Account Number – Option is used by ACH Originators where the account number is known.



Receiver by Account Number – Option is used by receivers of ACH transactions.

3. Within browse functionality, you have the ability to drill down to the addenda detail of an originated or received ACH transaction. This information is contained at the detail level for each individual transaction.

Originator Browse (Search) This option can be used by an ACH Originator to browse their file, batch, and detail information without necessarily looking for a specific transaction. For each level, the information can be scrubbed further using specific search criteria. The table below highlights the type of information contained in each level. For each detailed information record, you are able to perform searches on items designated by an asterisk (*). 1.

Date File Processed: fields are used to enter the specific date (or range of dates) a file was processed. Only files on the warehouse that were collected on the date (or date range) entered will be displayed. File Status: drop down box is used to select either all files, or all files with a particular status. File Immediate Destination: Processing Bank Routing Number. Immediate Destination Name: Processing Bank Name. Immediate Origin: ACH Originator number, e.g. company tax id number.

2.10 Using Control Totals Functional Instructions Entering Control Totals 1. From ACH Direct Main Menu, click on Control Totals 2. Control Total Main Menu contains the following functions: •

Control Total Add – Used to add control totals. It is recommended that you add control totals prior to sending your file.



Control Total Search – Used to search and modify any control totals already entered

For whole amounts, enter the decimal point. For example, if 2500 is the desired amount, enter $2500.00 in the field.



If you are sending a file with the offset, enter both credit and debit amounts in the required fields. If Key Bank is generating the offset for the file, enter only the appropriate amount in either the debit or credit field.



When the Control Total Add request is processed, the Control Total Add Confirmation page will be displayed of the successful add and provide a Control Total Reference Number. You can print this page for your record, and record the time and date for your reference.

Required Fields 1. Credit Amount – Credit amount of file (or batches) being submitted (including decimal point). 2. Debit Amount – Debit amount of file (or batches) being submitted (including decimal point). 3. Control Total Search You can specify search criteria on this page to limit the Control Total lookup. 1. The following fields can be used as search criteria for control total entries: •

Application Name : Show control total entries only for a specific application.



Date Range: date range during which the control total was added by the user.



Credit Amount: Credit amount of file (or batches).



Debit Amount: Debit amount of file (or batches).



Entry or Entry/Addenda Count: Entry count of file (or entry and addenda count).



File Id Modifier: File id modifier from file header.



Hash Total: hash total of file (or batches)



Control Total Reference Number: Specific reference number.



Control Total Status: Show all control totals with a specific status.
